## Short answer

Autodesk Vault Professional manages Inventor and AutoCAD files, Items, BOMs, lifecycles and change orders on a server with a SQL database. A private AI layer can search files and Items in plain language, summarize change orders, compare BOMs and check Vault Items against the ERP item master, using the Vault SDK or supported connectors and keeping design data in your environment.

## Intro

Vault is where many Inventor shops manage release. Files carry properties and lifecycle states, Items represent the manufacturing view of a design with a BOM, and change orders move revisions through approval. A job processor handles background tasks such as publishing PDFs and syncing properties. The ERP, meanwhile, wants stable item numbers, accurate BOMs and trustworthy revisions.

In practice, the CAD manager becomes the human integration layer. Questions like "which released assemblies use this purchased part", "what changed between these two Item revisions" and "why is this change order stuck" are answered by clicking, exporting and cross-checking spreadsheets. When the ERP disagrees with Vault, someone has to find out which side is wrong.

Design data is sensitive. Customer-owned designs, proprietary assemblies and export-controlled components should not be uploaded to a public AI service, which leaves engineers without help from modern tools even when they could clearly use it.

This page explains what private AI around Autodesk Vault can do, how it connects through the Vault API or established connectors, and where Vault's own search and Fusion Manage-style workflows are enough on their own.

## Pain Points

### Property and Item data are inconsistent

**Detail:** Descriptions, part numbers and materials differ across files, Items and the ERP. Inconsistent data makes search unreliable and BOM transfer risky.

### Where-used and impact analysis is manual

**Detail:** Understanding what a change affects means following references through assemblies and drawings, and then checking what is in production or on order.

### Change orders stall without visibility

**Detail:** Approvers on leave, missing attachments and ambiguous change descriptions slow release, but the delay is not obvious until production asks.

### BOM transfer to ERP is fragile

**Detail:** Item BOMs have to map to ERP BOM structures, units and revision rules. Exceptions are handled by hand, and errors appear downstream.

### Design IP and controlled data restrict AI use

**Detail:** Engineering teams cannot use public AI on proprietary or controlled designs, so any AI assistance has to run inside company controls.

## Use Cases

### Natural-language file and Item search

**Description:** Engineers search for parts and assemblies by function, material or customer, and get matching files and Items with lifecycle state, revision and where-used.

**Erp Objects:** Files, Items, properties, lifecycle states

**Outcome:** More reuse of released components and fewer duplicate parts.

### Change order summarization

**Description:** The assistant summarizes what a change order changes across files and Items and highlights affected assemblies and active ERP orders.

**Erp Objects:** Change orders, Item revisions, file versions, ERP orders

**Outcome:** Faster, better-informed approvals.

### Item BOM comparison

**Description:** Compares two revisions of an Item BOM and explains added, removed and substituted components in plain language.

**Erp Objects:** Item BOMs, revisions

**Outcome:** Less manual diffing during review.

### Vault to ERP reconciliation

**Description:** An agent compares released Items to ERP item master and BOM records and lists mismatches in description, unit, revision and structure.

**Erp Objects:** Items, ERP item master, ERP BOM

**Outcome:** Drift is found continuously rather than at audit time.

### Stuck change monitoring

**Description:** Reports which change orders have waited longest and on whom, and drafts reminders for the owner to send.

**Erp Objects:** Change order state, assignees, dates

**Outcome:** Shorter release cycle times through visibility.

### Property standardization proposals

**Description:** Proposes standardized descriptions and flags missing properties, with human approval before bulk updates through supported tools.

**Erp Objects:** File and Item properties, categories

**Outcome:** Cleaner data ahead of search, reporting or ERP migration.

### Onboarding assistant

**Description:** Answers new engineers' questions on naming rules, lifecycle policies and release steps from internal standards documents with citations.

**Erp Objects:** Engineering standards, Vault configuration docs

**Outcome:** Reduced load on the CAD manager for routine questions.

## Architecture

**Overview:** Vault stays authoritative for design data. The AI layer reads through supported interfaces, builds a retrieval index of metadata, joins ERP data, and presents results with sources. It performs no writes without human approval.

**Layers:**

#### Vault access

**Detail:** Uses the Autodesk Vault SDK (a .NET API) with a dedicated service account to read files, Items, BOMs, properties and change orders. Verify the SDK version against your Vault release.

#### Connector option

**Detail:** Where a third-party Vault to ERP connector is already in use (several exist from CAD ecosystem partners), the AI layer can read its mapping rather than duplicating it.

#### Retrieval index

**Detail:** Indexes properties, Item structures and, where policy permits, text from drawings, partitioned by classification.

#### Model serving

**Detail:** Open-weight models on customer GPUs using vLLM or Ollama.

#### Governance

**Detail:** Role-aware access, query logging and approval gates for any write.

## Deployment Options

### On-prem with the Vault server

**Fit:** Manufacturers with local Vault and controlled designs.

**Detail:** AI services run on the same secured network and have no outbound route for design data.

### Private cloud

**Fit:** Multi-site Vault with replication.

**Detail:** A dedicated tenant, with per-site indexing close to each Vault server.

### Read-only metadata pilot

**Fit:** Teams validating value first.

**Detail:** Index properties and BOMs only, no geometry or drawings, to prove search and reconciliation value.

## Compliance

### Keeping technical data on controlled infrastructure with restricted access supports your obligations; the determination remains with your compliance function.

**Framework:** ITAR and EAR

### Private processing lets you show customers that their designs are not sent to third-party AI services.

**Framework:** Customer design confidentiality

### AI summaries support, but do not replace, documented change approval by authorized people.

**Framework:** IATF 16949 change control

### Where designs are CUI, include the AI environment in your enclave and logging scope.

**Framework:** CMMC

## Integration Notes

- Create a dedicated Vault user with read permissions only for indexing, and review its access after role changes.
- Test the Vault SDK integration against each Vault upgrade; SDK versions are tied to product releases.
- Reuse the existing Item to ERP field mapping instead of inventing a second one.
- Treat Item BOM and file BOM as distinct views and be explicit about which one a comparison uses.
- Index incrementally by change date to limit load on the SQL server and file store.
- Any bulk property change should be a reviewed batch run with supported tools, never direct database edits.

## Product Fit

### DataRay

**Why:** A private chat over Vault properties, Item BOMs, ERP data and standards documents is a natural DataRay use.

### Custom build

**Why:** Reconciliation and change monitoring agents are tailored to your lifecycle policies and ERP mapping.

## Buyer Questions

- Which Vault edition and SDK version do you support, and how do upgrades affect the integration?
- How do you handle an existing third-party Vault to ERP connector?
- Does retrieval honor Vault permissions?
- What load does indexing place on the SQL server and file store?
- Can the system run fully offline from the internet?
- How are mismatches reported, and who resolves them?
- What guardrails stop an AI-suggested bulk change from being applied automatically?
- What do we retain if the engagement ends?

## Faq

### Does this work with Vault Basic and Professional?

**Answer:** Capabilities depend on the edition. Professional adds Items, change orders and richer workflows that make reconciliation and impact analysis more valuable. Discovery confirms which objects and interfaces are available in your edition before any scope is agreed.

### Can it read Inventor files directly?

**Answer:** Most value comes from properties, structures and drawing text, not raw geometry. Geometry-level analysis is a different, specialized problem. For search, reuse and change impact, metadata and BOM structure are the useful inputs.

### Is Autodesk's own AI enough?

**Answer:** Autodesk is adding assistive features across its portfolio and you should evaluate them first. A private layer is relevant when you need joins with ERP data, processing under export or customer controls, or workflows specific to your lifecycle and release policy.

### Will it change data in Vault?

**Answer:** Not by default. The assistant reads and reports. Proposed property changes are reviewed and applied through supported tools by authorized users, with logging of who approved what.

### How does it help with ERP integration?

**Answer:** It reconciles Items and BOMs with ERP item masters and highlights mismatches in descriptions, units, revisions and structure. It complements, rather than replaces, the connector or integration that actually transfers data.

### What infrastructure is required?

**Answer:** A server with a GPU sized to your user count and model choice, plus a service account and network access to Vault and the ERP. For small teams, a single GPU is commonly adequate; discovery establishes sizing.

### When is this not worth it?

**Answer:** If your Vault has a small user base, clean properties and a working connector, built-in search and reports may be sufficient. The case strengthens with scale, inconsistent data or frequent ERP mismatches.
