## Short answer

AI for Dynamics 365 Field Service reads work orders, bookable resource bookings, agreements and customer assets from Dataverse through the Web API or Synapse Link, joins them to ERP parts, cost and invoices, and answers in natural language with sources. Microsoft's Copilot covers in-product tasks; a private layer covers cross-ERP joins and controlled deployment.

## Intro

Dynamics 365 Field Service stores its data in Dataverse. The work order is msdyn_workorder, with products, services and service tasks as child tables. Technicians and crews are bookableresource records, visits are bookableresourcebooking, recurring maintenance comes from msdyn_agreement, and the equipment is msdyn_customerasset, optionally organised under functional locations. Universal Resource Scheduling and Resource Scheduling Optimization decide who goes where.

Many customers run Field Service beside a different ERP entirely: Dynamics 365 Finance and Supply Chain, Business Central, SyteLine, M3, NetSuite or SAP. Field Service can hold inventory for service purposes, but the manufacturing and financial truth often lives elsewhere, which turns every cross-system question into a manual exercise.

Microsoft's Copilot features for Field Service help with tasks such as summarising work orders and drafting notes within the product, and they are worth trying first. A private AI layer is for the other cases: joining Dataverse to a non-Microsoft ERP, keeping serial numbers and customer sites out of hosted models, or running open-weight models you control.

This page covers how that layer connects to Dataverse, which questions it answers well, and where a simpler Power BI or Copilot setup is enough.

## Pain Points

### Dataverse reports stop at the Field Service boundary

**Detail:** Power BI on Dataverse shows work orders and bookings, but cost, stock and invoice detail in a separate ERP needs a modelled dataset that someone must build and keep current.

### Service parts truth is split across systems

**Detail:** Field Service inventory adjustments and ERP balances diverge when sync jobs lag, which causes bookings against parts that are no longer there.

### Agreements generate work that nobody reviews

**Detail:** msdyn_agreement setups create recurring work orders for years. Intervals, scope and pricing drift from reality without a periodic evidence-based review.

### Technician notes are unused data

**Detail:** Work order summaries and service task comments contain failure causes that structured fields do not capture.

### Hosted AI conflicts with site and equipment confidentiality

**Detail:** Customers in defense, healthcare and utilities restrict equipment and site detail from external AI endpoints.

## Use Cases

### Ask work orders and assets in plain language

**Description:** A manager asks which customer assets had more than two corrective work orders in six months. The agent builds the query, shows it, and returns the list with record links.

**Erp Objects:** msdyn_workorder, msdyn_customerasset, msdyn_workorderincident, msdyn_incidenttype

**Outcome:** Ad hoc analysis without waiting for a Power BI change request, with the query visible.

### Booking readiness against ERP stock

**Description:** Before the day starts, the agent checks msdyn_workorderproduct needs against technician warehouse stock and ERP balances and flags at-risk bookings.

**Erp Objects:** msdyn_workorderproduct, bookableresourcebooking, msdyn_inventoryjournal, ERP warehouse balances

**Outcome:** A morning risk list that helps reduce part-related return visits.

### Agreement profitability review

**Description:** The agent joins agreement-generated work orders to labour, parts and ERP invoicing to show which agreements lose money and why.

**Erp Objects:** msdyn_agreement, msdyn_agreementbookingsetup, msdyn_workorder, ERP invoices and cost

**Outcome:** A ranked list of agreements to reprice or rescope, with evidence per line.

### Failure cause clustering

**Description:** Retrieval over service task notes groups failures by symptom and part, and drafts an engineering summary with example work orders.

**Erp Objects:** msdyn_workorderservicetask, msdyn_workorderincident, msdyn_customerasset, ERP lot or serial history

**Outcome:** Quicker identification of recurring failure modes to pass to quality or engineering.

### IoT alert triage with Connected Field Service

**Description:** For customers using IoT alerts, the agent combines the alert, asset history and open work orders and recommends whether to create a work order, for a person to approve.

**Erp Objects:** IoT alerts, msdyn_customerasset, msdyn_workorder, bookable resource availability

**Outcome:** Fewer duplicate or unnecessary work orders created from noisy alerts.

### RMA and return tracking

**Description:** The agent follows msdyn_rma and msdyn_rtv records against ERP receipts, credits and vendor returns and flags those that are stuck.

**Erp Objects:** msdyn_rma, msdyn_rtv, ERP receipts, credit memos

**Outcome:** Shorter time to close returns and clearer vendor claim follow-up.

### Technician knowledge assistant

**Description:** Within the mobile context a technician asks for a procedure or prior fix. The assistant retrieves manuals and previous work orders that the user is allowed to see.

**Erp Objects:** msdyn_workorder, msdyn_customerasset, product documents, engineering bulletins

**Outcome:** Less time hunting for procedures, especially on unfamiliar equipment.

## Architecture

**Overview:** Dataverse and the ERP are read through supported interfaces into a governed retrieval layer. Models run in your environment, and each answer cites queries and records.

**Layers:**

#### Dataverse access

**Detail:** The Dataverse Web API (OData) for targeted reads, the TDS endpoint for SQL-style reads where enabled, and Azure Synapse Link or Fabric Link for bulk analytics, all through an application user with a scoped security role.

#### ERP connector

**Detail:** Read-only access to items, balances, orders, invoices and cost in Dynamics 365 Finance, Business Central or another ERP.

#### Semantic layer

**Detail:** Shared definitions for first-time fix, agreement margin, parts availability and mean time to repair applied consistently to every question.

#### Model serving

**Detail:** Open-weight models on vLLM or Ollama in your data centre or private cloud, with versions pinned and egress blocked.

#### Control and audit

**Detail:** Dataverse security roles respected in retrieval, visible queries, logged answers, and approval for any write back to work orders or the ERP.

## Deployment Options

### On-prem models with Dataverse reads over private link

**Fit:** Defense, aerospace and healthcare equipment service

**Detail:** Models and indexes sit in your data centre. Dataverse is reached through an application user over an approved network path, with field-level scope.

### Private tenancy in your Azure subscription

**Fit:** Microsoft-centric IT teams with residency requirements

**Detail:** The stack runs in your subscription and region with private endpoints and customer-managed keys, avoiding shared model endpoints.

### Power BI plus Copilot first

**Fit:** Teams whose questions stay inside Dataverse

**Detail:** If cross-ERP joins and residency are not issues, Microsoft's own tools may be enough and cheaper to operate. We say so during discovery.

## Compliance

### Controlled equipment data is kept inside the boundary you set; Netray does not claim export registration.

**Framework:** ITAR and EAR

### bookableresource location and utilisation data can be excluded or pseudonymised in the index to support your data minimisation choices.

**Framework:** GDPR and technician privacy

### Read-only access and human review of drafts keep service records governed by your quality system.

**Framework:** ISO 13485 and FDA QMSR servicing records

### Application users, security roles, network paths and logs are documented so your reviewers can assess them. No Netray certification is implied.

**Framework:** Customer security assessments

## Integration Notes

- Register an application user in Dataverse with a custom security role limited to the Field Service tables needed.
- Dataverse Web API requests are subject to service protection limits, so use Synapse Link or Fabric Link for bulk history and the API for targeted reads.
- Business unit and team ownership affect what a user can see; the AI layer must mirror it or partition indexes by role.
- If Finance and Supply Chain is the ERP, check whether dual-write or virtual entities already expose the data you need before building new connectors.
- For a non-Microsoft ERP, agree on keys between msdyn_customerasset, product and ERP serial before answering warranty questions.
- Keep scheduling in Resource Scheduling Optimization; AI should explain and recommend rather than rebook.

## Product Fit

### ERPray

**Why:** Grounded natural-language access to ERP parts, orders, invoices and cost to complete the questions Dataverse cannot answer alone.

### Custom build

**Why:** A Dataverse connector, a semantic layer over msdyn tables and agents for readiness and agreement review are bespoke work.

## Buyer Questions

- What does Microsoft's Copilot for Field Service already cover for us?
- Which Dataverse tables and columns are indexed?
- How are business unit security roles enforced in retrieval?
- How do API limits and Synapse Link affect freshness?
- Where do models run, and can they be pinned?
- How does the layer connect to our non-Microsoft ERP?
- Can every figure show its query?
- Who approves write back to work orders?

## Faq

### Does Microsoft Copilot make a private AI layer unnecessary?

**Answer:** Sometimes. Copilot is convenient for tasks inside Field Service such as summarising and drafting. If your questions stay in Dataverse and hosted AI is acceptable, start there. A private layer helps when you must join a different ERP, keep data inside your boundary, or use open-weight models.

### How does the AI read Dataverse data?

**Answer:** Through an application user and supported interfaces: the Web API for targeted reads, optionally the TDS endpoint for SQL-style access, and Synapse Link or Fabric Link for bulk history. The user has a security role limited to the needed tables, and the AI layer respects ownership rules.

### Can it work with an ERP that is not from Microsoft?

**Answer:** Yes. Field Service is often paired with SyteLine, M3, NetSuite, SAP or Oracle. The ERP is read through SQL views or APIs, and the join keys are typically asset serial, item and customer account. Data quality of those keys decides answer accuracy.

### Will it create or modify work orders?

**Answer:** Read-only is the default. If you want write-back, it is limited to drafts, such as a proposed work order from an IoT alert, that a named user approves. Scheduling and booking remain under Resource Scheduling Optimization and dispatchers.

### How does it handle technician privacy?

**Answer:** Technician names, locations and utilisation can be excluded or pseudonymised in the index. This supports works council and GDPR decisions, but the legal basis and agreements remain your responsibility.

### What about Power BI?

**Answer:** Power BI remains the right tool for fixed, governed dashboards. The AI layer handles ad hoc questions and text analysis that dashboards were never built for, and it can use the same semantic definitions so numbers match.

### Can it run on-premises?

**Answer:** The AI layer can. Models, indexes and ERP connectors run in your data centre, while Dataverse remains a Microsoft cloud service reached over a controlled path. You decide which fields are pulled and how long they are retained.
