## Short answer

AI for Infor M3 customer order management lets customer service and sales operations ask where an order stands, why a line is not allocated and what is blocking delivery, with answers built from live order head, order line, stock and purchase data. It can also draft customer updates for human approval, while order entry and changes remain in M3.

## Intro

Customer service teams on M3 spend a large share of their day answering the same few questions: where is my order, why has it not shipped, can you move the date. The answers exist in M3, but assembling them means opening the order, checking line status, looking at allocation, then following the trail to stock, a purchase order or a manufacturing order. Each step is a different panel and a different habit.

The data model is clear enough to automate that trail. Orders live in the order head and line tables (OOHEAD, OOLINE), customers in the customer master, stock in MITBAL, and the supply that will eventually cover a short line in purchase and manufacturing orders. The difficulty is not access to data but knowing which relationship answers which question, and doing it quickly while a customer waits on the phone.

Order management also has judgment calls that no tool should make alone: credit holds, pricing exceptions, partial shipments, delivery date commitments to key accounts. A useful AI layer takes the research off the agent and leaves the decision with them, presenting the evidence and drafting the message.

This page covers how that works on M3, the integration surface it needs, the controls around anything that writes back, and the cases where M3's native inquiry programs are already enough.

## Pain Points

### Order status takes several screens

**Detail:** Answering a simple status call requires moving between order, line, delivery and stock views. Agents learn their own shortcuts and new staff take months to become fast.

### Hidden holds and blocks

**Detail:** Credit holds, pricing blocks, missing customer data and approval steps stop orders quietly. The customer sees a missed date and the agent has to discover the cause.

### Promise dates drift from reality

**Detail:** Dates quoted at order entry are not updated when supply slips, so customer service learns about delays from the customer instead of from the system.

### Allocation conflicts between customers

**Detail:** When supply is short, deciding which orders get stock needs visibility of priority, customer importance and ship dates that is hard to assemble quickly.

### Proactive updates are manual

**Detail:** Teams know delays are coming but writing individual updates for dozens of orders is time-consuming, so most customers hear nothing until they ask.

## Use Cases

### Order status in plain English

**Description:** An agent asks for the status of an order or all open orders for a customer and gets line-level status, allocation, planned ship date and any blocks.

**Erp Objects:** OOHEAD, OOLINE, delivery and shipment records

**Outcome:** Cuts handling time on routine status calls by removing the multi-screen lookup.

### Why is this line not allocated

**Description:** The assistant checks stock, reservations and inbound supply for the line's item and warehouse and explains the shortfall.

**Erp Objects:** OOLINE, MITBAL, MPLINE, manufacturing orders

**Outcome:** Gives agents a verifiable reason and an expected cover date.

### Blocked order finder

**Description:** Lists orders held by credit, pricing, approval or data issues, grouped by owner and age.

**Erp Objects:** OOHEAD hold statuses, customer credit data

**Outcome:** Turns silent blocks into a daily work queue.

### Delay notification drafts

**Description:** When supply for a line slips, the assistant drafts a customer update with the revised date for the agent to review and send.

**Erp Objects:** OOLINE promised dates, MPLINE confirmed dates

**Outcome:** Moves customer communication from reactive to proactive without removing human review.

### Allocation priority review

**Description:** For a short item, ranks competing orders by date, customer tier and value and proposes an allocation for a supervisor.

**Erp Objects:** OOLINE, customer master, reservations

**Outcome:** Supports a faster, more consistent allocation decision.

### Order entry validation hints

**Description:** Flags likely errors before release, such as unusual quantities, mismatched ship-to addresses or prices outside historical range for the customer.

**Erp Objects:** OOHEAD, OOLINE, price list history

**Outcome:** Reduces rework from avoidable order errors.

### Account-level order review

**Description:** Summarises open order book, late lines and recent changes for a customer ahead of a sales or QBR meeting.

**Erp Objects:** OOHEAD, OOLINE, invoice history

**Outcome:** Replaces manual report assembly for account reviews.

## Architecture

**Overview:** Order questions are answered by live reads through M3 APIs, scoped to the user's role and customer or facility authorities. Anything that changes an order is a proposed action handed to a person, who performs it in M3.

**Layers:**

#### M3 API access

**Detail:** Reads order, customer and stock data through M3 API programs behind the ION API Gateway with a scoped service identity.

#### Order semantic layer

**Detail:** Maps order types, line statuses, hold reasons and delivery terms to plain-language terms your customer service team uses.

#### Model serving

**Detail:** Open-weight model on customer GPUs or a private cloud so customer names, prices and quantities stay inside your boundary.

#### Drafting and agents

**Detail:** Customer updates and allocation proposals are drafted for approval and never sent or executed automatically.

#### Audit

**Detail:** Questions, queries and drafts are logged against the M3 user.

## Deployment Options

### On-prem

**Fit:** Companies with strict customer data or pricing confidentiality requirements.

**Detail:** All components run on customer hardware with M3 reached over the internal network.

### Private cloud

**Fit:** M3 Cloud Edition customers.

**Detail:** Customer-controlled tenant calls the M3 APIs through ION API Gateway; no public AI endpoint.

### Hybrid

**Fit:** Multi-instance groups.

**Detail:** Per-instance connectors with a shared governance layer.

## Compliance

### Contract prices and discounts stay in the customer environment and are scoped by user role.

**Framework:** Customer pricing confidentiality

### Customer contact data is not sent to a third-party model API.

**Framework:** GDPR and contact data

### The assistant can surface export-control flags held in M3 or a screening tool to the agent; the screening decision stays with the customer's compliance process.

**Framework:** ITAR and export screening

### No AI-driven changes to orders, credit or price; all changes are made by authorised users in M3.

**Framework:** SOX order-to-cash controls

## Integration Notes

- Order reads use M3 API programs for customer order head and line data through the ION API Gateway, authenticated with a service account.
- Stock and supply are read from MITBAL, purchase order lines and manufacturing orders to explain allocation.
- Customer master data (such as OCUSMA) provides tier, credit and ship-to information used for prioritisation.
- Hold and status codes are mapped per customer configuration during discovery, since order types and statuses vary by implementation.
- Draft customer emails can be passed to your existing email or CRM tool for sending; the AI layer does not send on its own.
- Optional Infor Data Lake use for historical order analysis so transactional load stays low.

## Product Fit

### ERPray

**Why:** Order status and book questions over live M3 data with query shown, read-only by default.

### Custom build

**Why:** Delay-notification drafting and allocation proposals typically need your service policies built in.

## Buyer Questions

- Does anything create or change orders, or is the system read-only apart from drafts?
- How are customer-specific price lists and confidentiality respected?
- How do you map our order types and status codes rather than assuming defaults?
- How are customer communications reviewed before they are sent?
- What data leaves our environment, if any?
- How does the system behave if M3 APIs are unavailable?
- How do you measure whether status answers match what agents find manually?

## Faq

### Can it enter or change customer orders in M3?

**Answer:** Not by default. The standard design is read-only plus drafts. Order entry, holds, price changes and delivery date commitments stay with authorised users in M3. If you later want assisted order entry, it would be built as an approval-gated action using supported M3 APIs.

### How does it know why an order is blocked?

**Answer:** It reads the hold and status fields on the order head and lines, then checks related data such as customer credit status and approvals. Because status codes differ between implementations, they are mapped with your team during discovery instead of guessed.

### Is M3's own inquiry enough?

**Answer:** For single-order lookups by trained users, M3 inquiry programs are often sufficient. AI adds value when questions span orders, stock and supply, when new agents need to be productive quickly, or when you want proactive delay summaries across the whole order book.

### Can it give customers direct access?

**Answer:** We generally recommend against exposing an AI layer to customers directly at first. A safer start is internal use, where agents review answers and drafts. Customer-facing portals can be considered later with strict scoping, rate limits and review.

### How are promise dates handled?

**Answer:** The assistant can show the date currently on the line and the confirmed supply dates behind it, and flag where they disagree. Changing the committed date is a decision for the agent or planner, not the AI.

### Will it work on Cloud Edition?

**Answer:** Yes, via ION API Gateway and M3 APIs. Direct database access is not used. The model can run in a private cloud tenant you control, so order data is not sent to a public AI service.

### What does a pilot look like?

**Answer:** Typically a small customer service team, one or two order types and a read-only connector. Success is measured by comparing answers with cases agents resolved manually, and by whether handling time on routine calls drops in practice.
