## Short answer

AI for Tableau on ERP data lets users ask plain-English questions of published data sources and, when the extract does not hold the answer, the ERP itself, with the generated query shown and Tableau's row-level filters respected. It is aimed at Tableau Server deployments where operational data should not go to a hosted model.

## Intro

Tableau earned its place in manufacturing through visual speed. An analyst connects to an ERP reporting database, builds a Hyper extract, shapes a dashboard on yield, backlog or supplier delivery, and publishes it to Tableau Server. The visuals are good. The weakness is that each dashboard is a fixed view, and every new angle is a new workbook or a conversation with the analyst who built it.

Calculated fields compound the problem. Level-of-detail expressions, parameters and table calculations carry business rules that live inside workbooks rather than in a governed layer. Two dashboards can disagree on first-pass yield because one analyst computed it per lot and another per unit. Published data sources help, but only where the organization has actually enforced them.

Tableau's own AI features, such as Pulse and Tableau Agent, are delivered through Salesforce's cloud services and best fit Tableau Cloud. They are reasonable for teams already there. They are a poorer fit for plants running Tableau Server on-prem against ERP data that must not leave the network, or for questions that need records the extract never held.

This page covers how a private AI layer works with Tableau: what it reads from published data sources and workbooks, how it reaches the ERP, how user filters and entitlement tables carry through, and when the built-in features or a cleaner data source is the simpler answer.

## Pain Points

### Fixed dashboards, endless variants

**Detail:** Each new question becomes another workbook. Over time the server holds hundreds of near-duplicate views nobody dares to retire.

### Business logic hides in calculated fields

**Detail:** LOD expressions and table calculations define yield, margin and on-time rates inside individual workbooks, with no single governed definition.

### Extract refresh lags the shop floor

**Detail:** Scheduled Hyper extract refreshes mean dashboards show data as of the last run. Live connections are slower and strain the ERP reporting database.

### Row-level security is implemented in several ways

**Detail:** User filters, entitlement tables and data source filters each protect data differently. An AI tool using a broad login ignores all of them.

### Cloud-delivered AI conflicts with data policy

**Detail:** Defense, regulated and NDA-bound plants frequently cannot use hosted AI features against production ERP data.

## Use Cases

### Questions over published data sources

**Description:** A planner asks about late orders by customer. The layer resolves it against a certified published data source, generates the query, and returns the result with the logic shown.

**Erp Objects:** Published data sources built on ERP order, shipment and inventory tables

**Outcome:** Cuts routine requests for new views when the data already exists in a certified source.

### Calculated field audit

**Description:** The assistant scans workbooks and data sources for calculated fields, groups conflicting definitions of the same metric, and proposes one governed version for review.

**Erp Objects:** Workbook XML, calculated fields, LOD expressions, parameters

**Outcome:** Makes metric conflicts visible and gives the BI lead a clean-up list.

### Drill from dashboard to ERP records

**Description:** From a red KPI, the user asks which orders and why. The layer follows to the ERP order lines, holds and receipts the extract does not contain.

**Erp Objects:** ERP order lines, shipments, quality holds, purchase receipts

**Outcome:** Moves from an aggregate to the specific records to act on.

### Workbook inventory and retirement

**Description:** Using server metadata, the layer finds unused, duplicate or broken workbooks and drafts a retirement list for owners to confirm.

**Erp Objects:** Tableau Server repository views, usage statistics, workbook metadata

**Outcome:** A smaller, more trustworthy server.

### Extract and refresh troubleshooting

**Description:** When an extract refresh fails or a number looks stale, the assistant reads the job history and connection details to explain the likely cause.

**Erp Objects:** Background tasks, extract refresh history, data source connections

**Outcome:** Faster diagnosis of stale or failed refreshes.

### Monthly commentary drafts

**Description:** The layer drafts variance commentary from approved metrics with numbers traceable to the underlying data source, for a controller to edit.

**Erp Objects:** Cost, scrap and delivery published data sources

**Outcome:** First drafts become a review step.

### Cross-source questions

**Description:** Questions mixing a Tableau data source with documents or MES data are answered across sources instead of requiring a combined workbook.

**Erp Objects:** Published sources, ERP tables, quality documents, MES event tables

**Outcome:** One question surface across systems not modelled together.

## Architecture

**Overview:** The layer runs next to Tableau Server, reading metadata through Tableau's APIs and data through the same sources users use, plus a read-only ERP connector, so answers prefer governed sources and fall back to the ERP when asked.

**Layers:**

#### Tableau connector

**Detail:** Uses the Tableau REST API and Metadata API (GraphQL) for workbooks, data sources, fields and lineage, with VizQL Data Service or the underlying connection for queries.

#### ERP connector

**Detail:** Read-only access to the ERP database or API for records the extract never held, scoped to ERP roles.

#### Semantic mapping

**Detail:** A glossary tying business terms to certified fields and approved definitions, with conflicts surfaced instead of silently resolved.

#### Model serving

**Detail:** An open-weight model such as Llama, Qwen or Gemma served with vLLM or Ollama on customer GPUs or in a sovereign cloud.

#### Governance and audit

**Detail:** Every question, query and result is logged against the user, with human approval before any action beyond reading.

## Deployment Options

### On-prem with Tableau Server

**Fit:** Plants running Tableau Server inside their network with restricted data.

**Detail:** Model, retrieval and connectors run on customer hardware and reach Tableau and the ERP only on the internal network.

### Private cloud

**Fit:** Companies hosting Tableau Server in their own cloud subscription.

**Detail:** The layer is deployed in the same tenant and network, with no shared multi-tenant AI service.

### Hybrid

**Fit:** Groups using Tableau Cloud for some teams and Tableau Server for sensitive plants.

**Detail:** A governance layer with per-environment connectors keeps restricted plants isolated.

## Compliance

### Queries are run as the asking user so the same filtering applies to AI answers, validated with test users before production.

**Framework:** Row-level security (user filters and entitlement tables)

### Serving the model on customer-controlled infrastructure helps the customer keep controlled data inside its own boundary; classification remains the customer's responsibility.

**Framework:** ITAR and EAR technical data

### A documented network path with no outbound model calls gives concrete answers.

**Framework:** Customer security questionnaires

### Answers cite the certified source and the query so finance can reproduce them.

**Framework:** Financial reporting controls

## Integration Notes

- Authenticates with personal access tokens or connected apps tied to a named identity, not a shared admin account.
- Reads lineage through the Metadata API to show which workbooks depend on which ERP tables.
- Prefers certified published data sources over workbook-embedded ones.
- Entitlement-table security is tested with users in each restricted group.
- ERP queries use read replicas or reporting views, with limits to protect transactional performance.
- Extract refresh history is read for diagnosis; the layer does not trigger or alter schedules without approval.
- Built-in Tableau AI features can run in parallel where policy allows; the layer covers cases they do not.

## Buyer Questions

- Are queries run as the asking user so our row-level security applies?
- Does it use certified data sources or any workbook it finds?
- How does it handle two conflicting definitions of the same metric?
- What does it do that Tableau's own AI features do not, in our deployment?
- Does it work with Tableau Server on-prem, and which versions?
- Where does the model run?
- How does it handle stale extracts versus live ERP data?
- What do we keep if we stop?

## Faq

### Do we still need Tableau Pulse or Tableau Agent?

**Answer:** Possibly. If you are on Tableau Cloud and your policy allows it, they may cover many needs. A private layer is for Tableau Server on-prem, ERP records the extract does not hold, and cross-source questions. They can coexist.

### How does it respect row-level security?

**Answer:** The layer queries as the asking user, so user filters or entitlement-table logic apply. We test with users from each restricted group and compare what they see in Tableau with what the layer returns.

### Can it fix our conflicting metrics?

**Answer:** It can find and list them, showing where each definition lives. Choosing the right one is a business decision, so the layer proposes a governed version for the BI lead and finance to approve rather than overwriting anything.

### Does it change our workbooks?

**Answer:** No. It reads metadata and data. Suggested clean-ups are presented to owners as proposals, and nothing is published, retired or edited without a person doing it.

### What about stale extracts?

**Answer:** Answers state the extract's last refresh. For current numbers, the layer can query the ERP read-only and show both, which also helps surface refresh problems.

### Does our data go to a public model?

**Answer:** No. Open-weight models run on your hardware or your own private cloud, with connectors inside your network. You can review the design against your data policy first.

### Is it worth it for a small Tableau estate?

**Answer:** If the same questions keep landing on one analyst, yes. For a handful of dashboards that rarely change, a better published data source may be the cheaper fix.
