## Short answer

In Costpoint you manage favorites from the navigation pane (add a screen to Favorites, then reorder or remove it there), change your password from the login screen or your user options when Costpoint itself authenticates you, and delete lines by selecting the row in the grid, using the delete-record or delete-line toolbar action, and saving. Exact labels shift slightly between Costpoint 7 and 8, and passwords are managed in your identity provider when SSO is on.

## Applies To

Deltek Costpoint 7.x and 8.x web client; password steps differ when single sign-on is enabled

## Steps

### The three tasks in order

**Items:**

Favorites: open the screen you use often, then use the add-to-favorites action offered in the navigation pane or the screen's menu so it appears in your Favorites list.

To edit favorites, open the Favorites area of the navigation pane and reorder, rename if offered, or remove entries you no longer use. Favorites are per user, so removing one never affects colleagues.

Password with Costpoint authentication: use the Change Password option on the login page or in your user options, enter the current password, then the new one twice, and meet the complexity rules your administrator set.

Password with SSO: Costpoint will not hold your password. Change it in the identity provider (for example Microsoft Entra ID or Okta) and the next Costpoint sign-in uses the new one.

Delete lines: click the row you want in the grid (Ctrl-click for several if the grid allows it), choose the delete-line or delete-record toolbar action, confirm the prompt, then Save.

If the delete is refused, the line is referenced elsewhere (posted, approved or used on another record). Reverse or unapprove the dependent record first, or ask an administrator.

After saving, refresh the screen to confirm the line is gone and the totals changed as expected.

### Favorites: what they are and how to keep them tidy

**Body:**

Costpoint has hundreds of screens spread across modules such as General Ledger, Projects, Timesheets and Accounts Payable. Favorites are a personal shortcut list so you reach your six or ten daily screens without drilling through the module tree each time. They are stored against your user ID, not your role, which is why a new starter does not inherit a colleague's list.

To manage them, keep the list short, order it by how often you use each screen, and remove screens you opened once. If a favorite disappears, the usual cause is a security change: a screen you can no longer access is hidden, not deleted. Ask your Costpoint administrator whether your role in Security changed before assuming the list was corrupted.

### Changing your Costpoint password

**Body:**

Costpoint supports its own database-held credentials as well as external authentication. With its own credentials, passwords follow the policy configured in system administration: minimum length, complexity, history and expiry. An expired password usually forces a change prompt at login; an unexpected rejection is typically a policy violation such as reusing a recent password.

With SSO, the login page redirects to your identity provider and any Costpoint password option is irrelevant. People often hunt for a change-password screen that does not apply to them. If you are locked out of a Costpoint-authenticated account, only an administrator can reset it, because there is no self-service recovery unless your organisation added one.

### Deleting lines safely

**Body:**

Costpoint grids mix two ideas: clearing the cells on a line and deleting the record. Deleting a record removes the underlying database row on Save, so always read the confirmation text. Until you Save, you can usually abandon the change by closing the screen without saving.

Referential integrity is what blocks most deletes. A timesheet line already approved, a voucher line already posted, or a project cost line already in the ledger cannot simply disappear, because the audit trail depends on it. The compliant route is to reverse or correct with a new entry, which also keeps DCAA-style audit evidence intact. Deleting is for unposted, working data only.

## Pitfalls

- Expecting favorites to be shared across a team. They belong to one user ID.
- Looking for a Costpoint password screen when SSO is enabled. The change must happen in the identity provider.
- Deleting instead of reversing posted data. This breaks audit trail expectations and is usually blocked anyway.
- Forgetting to Save after deleting a line. The row looks gone but returns on refresh.
- Assuming a vanished favorite was deleted when a security role change hid the screen.

## Ai Angle

These are UI tasks a good help page solves, but a private assistant grounded in your own Costpoint environment can answer the follow-ups: which screen holds a given record, why a line cannot be deleted, and which approvals reference it. ERPray reads Costpoint data read-only and respects your roles, so it explains the blocker rather than bypassing it. For on-prem or controlled-environment installs it runs on your own hardware.

## Faq

### Are Costpoint favorites shared with other users?

**Answer:** No. Favorites are stored per user, so your list does not affect anyone else and a colleague's list does not appear for you. If you want a team standard, document the recommended screens or have an administrator set up role-based menus instead.

### Why can I not change my password inside Costpoint?

**Answer:** Most likely your organisation uses single sign-on, so Costpoint never stores your password. Change it in your identity provider and sign in again. Only accounts that authenticate directly in Costpoint use its own password change option.

### Why will Costpoint not let me delete a line?

**Answer:** The line is almost certainly referenced by something else, such as an approved timesheet, a posted voucher or ledger activity. Reverse or unapprove the dependent record first, or enter a correcting transaction, which is also the audit-safe approach.

### Can I recover a line I deleted and saved?

**Answer:** Not from the screen. Once saved, the record is removed. Recreate it manually or ask an administrator whether a database backup or audit log can help. This is why you should review the confirmation message before you save.
