## Short answer

Fishbowl connects to UPS through its shipping integration: you register your UPS account, map Fishbowl carrier services to UPS services, and then rate and print labels from the Shipping module. Nearly all rate and label errors trace back to four inputs: the UPS account and shipper number, the ship-from address, package weight and dimensions, and a destination address UPS will not validate.

## Steps

### How to set up UPS in Fishbowl

**Items:**

Collect your UPS account number, the shipper (billing) address on that account and any negotiated-rate agreement. The address in Fishbowl must match the address UPS has on file.

In the Fishbowl client open the Shipping module and its setup area (or the integration settings for your version) and add UPS as a carrier with your account number.

Authorize the connection with your UPS credentials. Newer integrations use a UPS login or OAuth style grant; older ones need a UPS developer access key. Use a dedicated service login, not a person's.

Create carrier services in Fishbowl (Ground, 2nd Day Air, Next Day Air Saver and so on) and map each to the matching UPS service code, so a sales order can carry a service and Fishbowl can request a rate for it.

Set the default ship-from location, package type and units of measure. Make sure parts carry accurate weight and dimensions in the Part record, since rates are calculated from them.

Test with a real sales order: pick it, open Shipping, add a package with weight and size, click rate, then print the label. Void the test shipment with UPS if it created a tracking number.

### Where rate errors come from

**Body:**

A rate request sends UPS the ship-from address, ship-to address, service, package weights and dimensions and your account number. UPS answers with a rate or a rejection. Most rejections are about data, not software: a zero weight, a missing ZIP code, a ship-to state that does not match the ZIP, or a service that is not offered for that origin and destination pair (for example a residential-only service to a commercial lane).

If rates come back but are higher than your UPS invoices, you are almost certainly seeing published rather than negotiated rates. Negotiated rates require the account to be enabled for them on the UPS side and the integration to request them, and the shipper number in Fishbowl has to be the one the contract is attached to.

### Where label errors come from

**Body:**

Label failures usually show as either an error message from UPS or a label that does not reach the printer. For UPS-side errors read the text: address validation failures, invalid package dimensions, a hazmat or dry ice flag that needs special handling and missing phone numbers on international or Next Day shipments are the common ones. Fix the order or package data and re-request the label.

For printer-side problems, check the label printer is a supported thermal printer, the label format (thermal 4x6 or image) matches what the printer driver expects and that the machine running the Fishbowl client, not the server, is where the printer is installed. Test printing from a plain document to prove the driver first.

### Choosing the shipping route

**Body:**

Fishbowl's built-in carrier integration is fine for a single warehouse with a modest number of parcels. If you ship from several locations, need rate shopping across carriers, batch labelling or marketplace order flow, a dedicated shipping platform connected to Fishbowl through its API often does a better job and Fishbowl then holds the order and inventory truth.

Whichever route you choose, keep UPS tracking numbers on the Fishbowl shipment record so customer service and any downstream system read the same value. If you build your own link, the Fishbowl REST API is the supported way to read sales orders and write shipment data back.

## Pitfalls

- Using a UPS account whose address differs from the ship-from address in Fishbowl, which triggers account or address mismatch rejections.
- Leaving part weight at zero, so rate requests fail or return a minimum-weight price.
- Mapping the wrong UPS service code to a Fishbowl carrier service, so the label prints for a different service than the customer was quoted.
- Installing the label printer on the server instead of the workstation that actually prints the label.
- Testing in production and forgetting to void the test shipment, which UPS can bill.

## Ai Angle

A private AI layer such as DataRay or ERPray can sit read-only on a Fishbowl database and answer questions like which open orders have no weight on any line, which shipments were rated but never labelled, or where billed UPS cost exceeds quoted freight. It finds the bad data that causes rate and label errors instead of waiting for a packer to hit them, and it runs on your own server so order and customer data stays inside your network.

## Faq

### Does Fishbowl support UPS negotiated rates?

**Answer:** Negotiated rates depend on the UPS account being enabled for them and the integration requesting them. If Fishbowl shows published rates only, check the shipper number, the account's rate settings with your UPS representative and the integration option for account rates in your version.

### Why does UPS reject my ship-to address in Fishbowl?

**Answer:** UPS validates ZIP, city and state together. A ZIP that does not belong to the state, a missing apartment or suite line, or a street UPS cannot find will fail. Correct the customer or sales order ship-to address and re-rate. Address validation suggestions from UPS can often be accepted directly.

### Can I print UPS labels without the Fishbowl Shipping module?

**Answer:** Not through the built-in route. You can instead export orders to UPS tools or a third-party shipping app and write tracking numbers back through the Fishbowl API or an import, but the Fishbowl-native flow runs through the Shipping module.

### Why do rates differ between Fishbowl and the UPS website?

**Answer:** Differences come from published versus negotiated rates, surcharges such as residential, fuel and delivery area, dimensional weight, and differing package data. Compare the same weight, size, origin, destination and service on both sides before suspecting the integration.
