# IFS Cloud Customer Payment Rollback: Reverse a Posted or Unposted Payment

## Short answer

There is no silent undo for a customer payment in IFS Cloud. If the payment is not yet posted you can cancel or change it; once it is posted, you correct it with a reversal or cancellation that creates offsetting ledger entries and reopens the invoices it settled. The exact action name varies by release.

## Steps

### How to roll back a customer payment

**Items:**

- Open the payment in the customer payments area (search for Customer Payments or Payment Overview) and note its status, the company, the payment date and the voucher number.
- Check whether it has been posted to the general ledger. An unposted payment can usually be changed or cancelled with no ledger effect.
- If the payment was applied to invoices, review the invoice lines it settled; unapplying or cancelling will reopen those invoices.
- Check the accounting period of the original payment. If it is closed, you must correct in an open period under your period-control rules.
- Use the payment's cancel or reverse action (name depends on release) and give the reason code or comment your company requires.
- Verify the new status of the payment, then confirm on the customer ledger that the invoices are open again and the balance matches.
- Review the generated reversal voucher in the general ledger to confirm accounts and amounts mirror the original posting.
- Re-enter the correct payment if it was wrongly entered, and document the correction for audit.

## Sections

### Unposted versus posted payments

**Body:**

Before posting, a payment is a working document: you can usually change the amount, the customer or the invoice allocation, or cancel it, and nothing has reached the ledger yet.

After posting, accounting rules say you do not delete or edit history. The correction creates new, opposite entries linked to the original, so the audit trail shows both the mistake and its fix.

### Ledger and open-item effects

**Body:**

Reversal produces offsetting postings on the same accounts (bank or clearing against customer receivables), which reopens the invoices that the payment had closed. Cash discounts, currency differences and tax effects that were created at payment time are reversed as well.

Foreign currency payments are the common surprise: the reversal normally uses the original rate so the exchange gain or loss reverses cleanly, but revaluation between the two dates can leave a residual. Review it with your controller.

### Controls and who should do it

**Body:**

Restrict the cancel and reverse actions with permission sets, and require a reason. A rollback after bank reconciliation is a different problem: the bank statement line is already matched, so un-reconcile first or correct through a bank adjustment.

For bulk problems (a wrong file imported from the bank), correct by batch where the process allows it rather than reversing one by one.

## Pitfalls

- Reversing a payment in a closed period instead of correcting in the current open period.
- Forgetting that reopened invoices may restart dunning or interest runs.
- Reversing a payment already matched in bank reconciliation without un-matching it first.
- Assuming exchange-rate effects reverse to zero when revaluation ran in between.
- Deleting evidence: always keep the reason and the reference to the original voucher.

## Ai Angle

An assistant connected read-only to IFS can show the payment, the invoices it settled, the voucher and the period status in one answer, so the person doing the rollback knows the consequences before clicking. Write actions stay human-approved in the IFS client. Netray can run this on a private model next to your IFS system.

## Faq

### Can I delete a posted customer payment in IFS Cloud?

**Answer:** No, a posted payment is not deleted. It is cancelled or reversed so that offsetting entries preserve the audit trail. Only unposted payments can normally be removed or changed freely.

### What happens to the invoices when I reverse a payment?

**Answer:** They return to open status for the amount that payment had settled, which means they appear again on statements and in dunning. Check collections processes after a reversal.

### Can I roll back a payment from a previous period?

**Answer:** If the period is closed you generally cannot post into it. You correct in the current open period or reopen the period under your controller's authority, depending on company policy.

### Why is the reversal amount different for a foreign currency payment?

**Answer:** Exchange-rate handling, cash discount and revaluation can make the home currency amounts differ slightly between original and reversal. Review the voucher rows for currency difference postings.
