## Short answer

In JD Edwards EnterpriseOne, the Fixed Assets system (system code 12) keeps an asset master record per asset, asset account balances per ledger type, and generates depreciation that is posted to the general ledger through journal entries. The flow is: set up constants and ledger types, create assets, run depreciation, review, create journal entries, then post.

## Steps

### Fixed assets from setup to GL posting

**Items:**

- Set up Fixed Assets constants and the account number structure, including the account to book cost, accumulated depreciation and depreciation expense.
- Define asset ledger types and the depreciation method for each, for example one for book and others for tax or management reporting.
- Set up automatic accounting instructions (AAIs) for fixed assets so cost, accumulated depreciation and expense map to the right GL accounts.
- Create asset master records, either manually, from a voucher, or from a purchase, with category codes, life, method and in-service date.
- Run the depreciation process in proof mode, review the report for outliers, then run it in final mode.
- Create the depreciation journal entries, review the batch, approve and post it so the amounts reach the general ledger.
- Reconcile the fixed asset subledger to the GL for cost, accumulated depreciation and net book value each period.

## Sections

### Data model in brief

**Body:**

The asset master (table F1201) holds the identity of an asset: number, description, category codes, acquisition data. Balances per asset and ledger live in the asset account balances table (F1202). Depreciation calculations read the balances plus the method and life, and write the period's depreciation back to the balances.

Because balances are stored per ledger type, a single asset can carry different cost and depreciation values for book and tax without double entry.

### The account ledger flow

**Body:**

Fixed assets balances are not the general ledger. The GL receives amounts only when journal entries are created from the depreciation and posted. That is why a balance difference between the asset subledger and the GL points to unposted batches, a mismatched AAI or manual GL entries to asset accounts.

Run reconciliation by account and by ledger, comparing sums from F1202 to the GL account balances for the same accounts and period. Use the batch status to find anything stuck before posting. See the related page on GL batches in error.

**Code:**

-- Illustrative reconciliation shape (verify column names on your release)
-- Compare asset cost by account with GL balance for the same period:
-- SELECT account, SUM(amount) FROM F1202 GROUP BY account;
-- versus the GL account balances (F0902) for those accounts.

### Common setup mistakes

**Body:**

Most depreciation problems trace to setup: wrong in-service date, a life that does not match the method, missing AAIs, or a ledger type that was never activated for the asset. Changing methods mid-life can produce catch-up amounts, so test on a copy of an asset before applying to a population.

Disposals and transfers need their own transactions, not manual edits, so that gain or loss and the ledger stay consistent.

## Pitfalls

- Missing or wrong AAIs, so depreciation journals fail or hit the wrong accounts.
- Running depreciation in final mode before reviewing proof output.
- Editing balances directly instead of using disposal or transfer transactions.
- Leaving depreciation batches unposted at period close.
- Different in-service dates across ledgers causing unexplained differences.

## Ai Angle

Fixed asset reconciliations are tedious cross-table checks. A grounded assistant such as ERPray can answer which assets have cost but no depreciation this period or where the subledger differs from the GL, by running read-only queries over F1201, F1202 and GL tables and showing the SQL. Posting and corrections stay with the finance team. For on-prem JDE, the model can run inside your network.

## Faq

### What tables hold fixed assets data in JD Edwards?

**Answer:** The asset master is in F1201 and asset account balances are in F1202. Depreciation results are written to the balances and reach the general ledger through journal entries.

### How do I run depreciation in JD Edwards?

**Answer:** Run the depreciation process in proof mode first, review the report, then run it in final mode, create the journal entries and post the batch. Names of the programs depend on your release.

### Why does the asset subledger not match the GL?

**Answer:** Typical causes are unposted depreciation batches, AAI mapping errors, manual journal entries on asset accounts and assets in different ledgers. Reconcile by account and ledger to isolate the difference.

### Can I keep book and tax depreciation separate?

**Answer:** Yes. Use separate asset ledger types with their own methods and lives so one asset carries parallel cost and depreciation values.
