# NetSuite Quality Management: Incoming Inspection and Quarantine

## Short answer

Core NetSuite does not ship a full quality management system with inspection plans, sampling rules and certificates. You build incoming inspection from Inventory Status, a quarantine status or location, a workflow and a custom record for inspection results and nonconformances, or you add a quality SuiteApp. Which route is right depends on how formal your audit requirements are.

## Kind

## System

Oracle NetSuite

## Module

Inventory Status / Quality Control

## Query

does NetSuite have quality management and incoming inspection

## Alternate Queries

- NetSuite incoming inspection quarantine location
- NetSuite quality control hold inventory status
- NetSuite nonconformance NCR custom record
- NetSuite receive into quarantine then release

## Applies To

NetSuite with the Inventory Status feature enabled; SuiteFlow for workflows; custom records for results and NCRs

## Steps

### How to set up incoming inspection and quarantine

**Items:**

- Enable Inventory Status under Setup > Company > Enable Features > Items & Inventory, then define statuses such as Available, Quarantine and Rejected under Setup > Accounting > Inventory Status.
- Mark which statuses are available for sale or use, so quarantined stock does not count toward available quantity.
- Set the receiving flow so item receipts for inspected items land in the Quarantine status, either by entering the status on inventory detail or by defaulting through a script or workflow.
- Create an Inspection custom record linked to the item receipt, the item and the lot, with fields for result, measured values, inspector and date.
- Build a workflow on the item receipt or inspection record that creates the inspection task, notifies the quality role, and blocks release until a result is entered.
- On pass, post an Inventory Status Change moving the lot from Quarantine to Available. On fail, move it to Rejected and start a vendor return or NCR.
- Create a Nonconformance custom record for failures with cause, disposition (return, scrap, rework, use-as-is) and corrective action, and link it to the vendor and purchase order.
- Report on inspection pass rate by vendor and item with a saved search on the custom records.

### What NetSuite does and does not give you

**Body:**

NetSuite natively provides the control points quality needs: lot and serial numbers, expiration dates, inventory statuses, location and bin control, and an audit trail on transactions. It does not provide inspection plans with sampling levels, control charts, certificates of analysis, or a document-controlled CAPA process in the base product.

For many manufacturers that is enough when combined with custom records and workflow, especially for incoming inspection and simple holds. If you are working to a regulated standard that demands controlled procedures, electronic signatures and validated records, evaluate a purpose-built quality SuiteApp or a separate QMS integrated by SuiteTalk, and check what your auditor accepts.

### Status versus location for quarantine

**Body:**

There are two common quarantine designs. A quarantine location needs a transfer to move stock out and creates extra transactions, but is easy to see and works without the Inventory Status feature. An inventory status keeps the stock in the same location and bin and changes only its availability, using a lighter Inventory Status Change transaction.

Status is usually cleaner because the lot never moves physically unless it has to. The trade-off is that planners and pickers must understand that on-hand and available differ. Add both columns to the saved searches they use.

**Code:**

-- Saved search: stock on hand but not available (quarantine candidates)
-- Type: Inventory Balance
-- Criteria: Status is not Available
-- Results: Item, Location, Inventory Number, Status, On Hand, Available

### In-process quality on the shop floor

**Body:**

In-process checks are harder. Without a built-in operation quality step, teams usually add an inspection custom record tied to the work order operation, and use a workflow to stop the work order completion if a required check is missing. This is a customisation, so it needs ownership and testing.

Be realistic about scope. A workflow that enforces a signed-off first-article check before the first completion is cheap to build. Statistical process control is not, and it is better to export measurements to a dedicated tool.

### Making it audit friendly

**Body:**

Auditors ask three questions: who released the material, when, and on what evidence. The Inventory Status Change transaction records the user and date, and the linked inspection record holds the evidence. Use roles so only quality staff can post status changes, and keep system notes enabled on the custom records.

Attach certificates and photos to the inspection record through the File Cabinet so the evidence stays with the lot. Test retrieval by pulling the history of one lot before the audit does it for you.

## Pitfalls

- Letting warehouse users post Inventory Status Changes, which removes the independence of release.
- Receiving into Available and relying on people to move stock later.
- Building inspections without a link to the lot, so results cannot be traced.
- Assuming workflow gives validated electronic signatures when the standard requires them.
- Counting only on-hand quantity in planning, so quarantined stock is treated as usable.

## Ai Angle

A grounded assistant can summarise open quarantine lots, how long they have waited, which vendors have the worst rejection rates, and which NCRs lack a disposition, all from NetSuite data. ERPray shows the queries, runs read-only and keeps to the user's role. The release decision stays with a person. If you only need a hold-and-release flow, status plus a workflow is enough without any AI.

## Faq

### Does NetSuite have a built-in quality module?

**Answer:** Not a full one. It has lot tracking, expiration, inventory status and audit trails, which you extend with workflows and custom records, or with a third-party quality SuiteApp when you need inspection plans, certificates or CAPA.

### Should I quarantine with a location or an inventory status?

**Answer:** Inventory status is usually lighter because stock stays in place and only availability changes. A quarantine location is simpler to see on a floor and does not need the status feature, but it adds transfers and more transactions.

### Can I stop a work order completing without an inspection?

**Answer:** Yes, with a workflow or user event script that checks for a linked passed inspection record before allowing the completion. It is a customisation, so keep it small and test it against partial completions and reworks.

### How do I report supplier quality?

**Answer:** Store the inspection result and disposition as custom record fields linked to vendor and item, then build a saved search that groups pass and fail counts by vendor. Add the receipt quantity so you can weight results sensibly.
