# Error validating SYSPRO online profile: what it means and how to fix it

## Short answer

A profile validation error means the SYSPRO client or service could not confirm the operator, company, licence or database connection it was handed at logon. Check the service and licence first, then the operator and company, then the database and disk, in that order. Storage errors are usually full disks, a locked SQL file or a tempdb problem rather than a SYSPRO bug.

## Kind

## System

## Erp

## Module

Client / e.net / Security

## Query

error validating syspro online profile

## Alternate Queries

- syspro error messages
- syspro storage error
- syspro cannot log on operator profile

## Applies To

SYSPRO 7 and SYSPRO 8 (client, e.net services, SYSPRO Web UI). Exact wording of messages varies by version and by whether the user logs on through the desktop client, the web UI or an integration.

## Steps

### Fix the profile validation error in order

**Items:**

- Read the full message and note the time. Copy it exactly, including any code or program name, because SYSPRO wording differs between the desktop client, the web UI and e.net callers.
- Confirm the SYSPRO application server, the e.net Communications Load Balancer and the e.net service are running in Windows Services, and restart them in that order if one is stopped.
- Open the SYSPRO licence information from the client or the licence manager and check the licence has not expired and that user or concurrent counts are not exceeded.
- In Setup, Operators, confirm the operator exists, is not locked or expired, and is allowed into the company being used. Test with a known good operator.
- Check the company database is online in SQL Server Management Studio and that the SQL login used by SYSPRO can connect to both SysproAdmin and the company database.
- Check free disk space on the SQL data, log and tempdb drives, and on the SYSPRO working folders (the Work and Base folders) used by the client.
- Compare client and server build levels. A client one release behind the server often fails at logon with a profile or version message.
- If only one workstation fails, rename its local SYSPRO settings folder so a clean profile is rebuilt, then log on again.

## Sections

### What the profile check does

**Body:**

At logon SYSPRO builds a session from several things: the operator record, the company chosen, the licence assigned, the language and the connection to SQL Server. If any one of these cannot be resolved, the session fails and you see a validation message. The wording says profile, but the cause is almost always one of those inputs, not a damaged profile file.

That is why the same message can come from very different faults. A stopped e.net service, an expired licence and a locked operator all end in a refused session. Work from the outside in: services, licence, operator, database, disk. Resist reinstalling the client first, it rarely helps.

### Common storage and runtime messages

**Body:**

Storage messages usually mean SQL Server could not write. Typical causes are a full data or log drive, a transaction log that cannot grow, a tempdb on a full volume, or a database in a restricted or read-only state after a failed backup or restore. The fix is outside SYSPRO: free space, shrink or back up the log, and bring the database back to multi-user.

Runtime messages with .NET wording often point to a client component. See the separate page on the 'object reference not valid' error for that. Messages that mention a timeout point to blocking or a slow SQL query, so check for long running transactions before blaming the application.

**Code:**

- -- Is the company database online and multi-user?
SELECT name, state_desc, user_access_desc, recovery_model_desc
FROM sys.databases
WHERE name LIKE 'Syspro%';
- -- Log space used per database
DBCC SQLPERF(LOGSPACE);

### Integration callers

**Body:**

When the error comes from a script, middleware or a third party tool calling e.net, the operator used by the integration is the first suspect. Integration operators often have passwords that expire or are tied to a group that was later removed. Use a dedicated operator for each integration with the minimum rights it needs, and monitor it.

Also check the XML you send at logon. A wrong company id or a missing company password gives the same type of refusal. Log the logon request and response on the calling side so you can see which field failed.

## Pitfalls

- Reinstalling the client before checking services, licence and SQL, which hides the real cause.
- Sharing one operator between users and integrations, so a password change breaks an unattended job.
- Ignoring a full tempdb or log drive because SYSPRO itself shows plenty of space.
- Mixing client builds across a team after a partial upgrade.
- Restoring a database copy for testing and leaving the live operators pointed at it.

## Ai Angle

An assistant grounded in your SYSPRO logs and runbooks can match the exact message text to past incidents and walk the first-line checks, without any credentials leaving your network. Netray deploys this as a private layer over the systems you already run, usually on-prem, with read-only access and a human deciding on any change.

## Faq

### Is the online profile error a licence problem?

**Answer:** Sometimes. An expired or exhausted licence is one of the common causes, but a stopped e.net service, a locked operator or an unreachable SQL Server produce the same style of message. Check licence status first because it is quick, then continue down the list.

### Why does it fail for one user only?

**Answer:** That points to the operator record, the user's company access, or a bad local client or settings folder. Test the same operator on another machine and another operator on the failing machine to see which side holds the fault.

### Does a storage error mean data is lost?

**Answer:** Not normally. It usually means a write was refused because of space or database state. Free the space, confirm the database is online and consistent, and check that the failed transaction did not partly post before retrying.

### Should I call SYSPRO support?

**Answer:** If services, licence, operator and SQL checks are clean and the client build matches the server, yes. Bring the exact message, time, build numbers and what changed recently.
