# SYSPRO GL interface error: how to diagnose and fix it

## Short answer

A GL interface error means a subledger transaction could not build or post its journal to the General Ledger. The usual causes are missing or invalid GL account mapping, a closed or invalid period, journals left unposted, or an out-of-balance entry. Find the failing transaction, fix the mapping or period, then post the pending journals.

## Kind

error

## System

syspro

## Erp

SYSPRO

## Module

General Ledger / GL Integration

## Query

syspro gl interface error

## Alternate Queries

- gl interface error syspro
- syspro journal out of balance
- syspro unposted journals

## Applies To

SYSPRO 7 and 8 with General Ledger integration active in the modules. Program names and wording differ slightly between releases.

## Steps

### Diagnose a GL interface error

**Items:**

- Note the module and transaction that raised the error (inventory movement, AP invoice, AR invoice, WIP, cash book).
- Check the module's GL integration setting in Setup Options: whether it posts to the GL and at what level of detail.
- Open the GL integration setup for that module and confirm every account needed (control, variance, accrual, sales, cost of sales) exists and is valid.
- Confirm the posting period is open in both the module and the General Ledger, and that the transaction date falls in a valid period.
- Look for journals left unposted in the General Ledger and post or correct them.
- Run the GL integration or journal reports and look for entries that do not balance.
- Fix the setup or account, then retry the transaction or post the held journals.
- Run the reconciliation between the subledger control account and the GL to prove it agrees.

## Sections

### The usual causes

**Body:**

Missing mapping is the most common. A new stock code class, warehouse, customer class or expense account is used for the first time, and the GL code for it does not exist, so SYSPRO cannot build the entry. The error appears the first time that combination is posted.

Period problems come second. A transaction dated in a period that is closed in one place but open in another leaves the subledger and the GL disagreeing. Check the period status in each module and in the GL.

### Unposted and out-of-balance journals

**Body:**

Where the GL is set to hold journals for review, entries wait in a pending state until someone posts them. Large numbers of unposted journals make the GL look short against the subledger. Review and post them on a schedule.

A journal that does not balance usually comes from a partial failure or a setup change in the middle of a batch. Do not force it. Find the source transaction, correct the cause, and reverse and repost if needed so the audit trail stays intact.

### Prove the fix

**Body:**

After correcting, reconcile each subledger control account to the GL: inventory, AR, AP and WIP. A reconciliation that agrees is the proof that the interface now works. Keep the before and after figures with the ticket.

Add the missing combination to your new setup checklist so the next stock class or warehouse is mapped before it goes live.

**Code:**

-- read-only check for unbalanced journals (verify table and column names in your release)
SELECT Journal, SUM(EntryValue) AS NetValue
FROM GenJournalDetail WITH (NOLOCK)
GROUP BY Journal
HAVING SUM(EntryValue) <> 0;

## Pitfalls

- Editing GL tables directly to make a journal balance.
- Turning off GL integration to clear the error, which creates a bigger reconciliation gap.
- Ignoring period status in one module while fixing another.
- Posting pending journals without reviewing why they were held.
- No checklist for new classes and warehouses.

## Ai Angle

A grounded assistant can read the failing transaction, check the integration mapping for the missing account and explain which combination has no GL code, all read-only. Netray runs this on your own servers so ledger detail stays in house, and any correction is approved by a person.

## Faq

### Why does the error only appear for some items?

**Answer:** Because the mapping depends on the item or warehouse class. Items in a mapped class post fine, and the first item in an unmapped class fails.

### Can I just post the journal manually?

**Answer:** Only if you understand why it is missing. A manual entry can fix the GL but leave the subledger inconsistent. Fix the mapping and let the system generate the entry.

### What does an unposted journal do to reports?

**Answer:** GL reports exclude it until it is posted, so trial balance and the subledger control accounts will disagree by that amount.

### How do I stop it recurring?

**Answer:** Add GL mapping to the checklist for new classes, warehouses and accounts, and review pending journals on a fixed schedule.
