## Short answer

In SyteLine you void a posted AP check from the AP payments area using the void function for that payment, which reverses the payment and reopens the paid vouchers. The exact form name varies by version, so search the forms list for the payment and void forms, and always check the accounting period, bank reconciliation and posting status first.

## Steps

### How to void an AP check or payment in SyteLine

**Items:**

- Confirm the payment's status. Find it in the AP payments form and note the check number, bank code, date, amount and whether it has cleared or been reconciled.
- Check the accounting period of the original payment and the period you will void in. Posting must go to an open period; ask finance which date to use.
- If the check has been reconciled to the bank, do not void it without finance approval. A cleared check usually needs a different process.
- Open the void function for AP checks or payments (search the forms list for Void), select the bank and check number, and review the details shown.
- Enter the void date, then process the void. SyteLine reverses the payment and returns the vouchers to unpaid.
- Post the resulting journal entries to the general ledger if your site posts in batches, and run the AP and GL reports to confirm the reversal.
- Re-pay the vouchers with a new payment if needed, and note the reason for the void on the vendor record or in your control log.

## Sections

### What a void actually does

**Body:**

Voiding is not deleting. The original payment stays in the record as voided, and SyteLine creates reversing transactions so the AP control account, the bank account and any discount or exchange rate effects return to where they were. The vouchers become open again and can be paid.

That audit trail is why you should void instead of editing data. Auditors expect to see the original, the void and the reason. If your site restricts the void function to a few users, that is intentional segregation of duties.

### Period, date and bank considerations

**Body:**

The date you use for the void decides which period the reversal hits. If the original check is in a closed period, voiding it with the original date will fail or be blocked. Use a date in the current open period and accept that the reversal shows in the current period.

Bank reconciliation matters too. A check that appears on a prior statement as cleared should not be voided unless it was in error and the bank is also dealing with it. For outstanding checks, the void should be reflected in the next reconciliation as a reversal.

### After the void: verification

**Body:**

Check three things. First, the vendor balance and open vouchers now show the amounts as payable. Second, the bank account in the GL moved by the check amount. Third, the AP control account moved the other way. A mismatch usually points to a posting that has not been run or a manual journal that needs reversal.

If the payment included discounts, withholding or foreign currency, review those lines. A void of a foreign currency payment can produce an exchange difference depending on the rate rules in your setup.

**Code:**

Verification checklist:
1. Vendor ledger: voucher open again, check shows Void
2. GL: bank account debited, AP control credited (or per your posting rules)
3. Bank reconciliation: check removed from outstanding list
4. Reason recorded for audit

## Pitfalls

- Voiding a check that already cleared the bank.
- Using a date in a closed period and getting a posting failure or a distorted period.
- Forgetting to re-pay the vouchers, leaving the vendor unpaid.
- Not recording the reason, which causes questions at audit time.
- Assuming a void is the same in a multi-site setup; check which site and bank the payment belongs to.

## Ai Angle

A SyteLine-grounded assistant can find the payment, show whether it was reconciled, which period it posted to and which vouchers it paid, so the person deciding to void has the facts. SyteRay and ERPray read the data read-only and show the query. The void itself stays a human action in SyteLine with its normal permissions.

## Faq

### Can I void a check in a closed period in SyteLine?

**Answer:** Usually not with the original date. Use a date in an open period and have finance confirm the treatment. Reopening a closed period is a finance decision, not a routine fix.

### What happens to the vouchers after a void?

**Answer:** They return to unpaid status so they can be paid again, and the vendor balance increases by the voided amount. Verify this in the vendor ledger after processing.

### Is a void different from deleting a payment?

**Answer:** Yes. A void keeps the original and adds reversing entries, preserving the audit trail. Deleting is typically only possible before posting and is not a substitute.

### Why does the void option not appear?

**Answer:** It may be restricted by user permissions, or the payment may be in a state that cannot be voided, such as already reconciled. Check your security group and the payment status.
