## Short answer

A sales order is the ERP document recording a customer's commitment to buy specific items at agreed prices and dates. It reserves or creates demand for supply, triggers picking and shipping, and later drives invoicing and revenue recognition.

## Full Definition

The sales order is the center of the order-to-cash flow. It captures the customer, ship-to and bill-to, line items with quantities, prices, requested and promised dates, tax and payment terms. Once released, it becomes demand: MRP sees it as an independent requirement, the available-to-promise check consumes against it, and the warehouse sees it as something to pick.

Different ERPs use different names. Infor SyteLine calls it a Customer Order and lets lines be linked to job orders for make-to-order work. Infor LN has Sales Orders in the Sales Control module. SAP uses VA01 for order creation, with delivery and billing as separate follow-on documents. NetSuite has a Sales Order that flows to Item Fulfillment and Invoice, and Business Central has Sales Orders with posted shipments and invoices.

A line on a sales order can be satisfied in several ways: from stock, from a planned or firm production order, by a purchase order, or by a drop shipment from a supplier. The fulfilment method set on the line or the item determines what the ERP generates, which is why item setup errors show up first as sales order problems.

Common data problems are customer price overrides that nobody can trace, promised dates entered by hand that ignore capacity, and orders edited after production has started. Good controls place approval workflows on credit holds, margin thresholds and changes after release.

## Why It Matters

- It is the demand signal for MRP, so poor sales order data produces poor material and capacity plans.
- Promised dates set at order entry drive on-time delivery performance, one of the metrics customers judge you on.
- Revenue, margin and backlog reports all start here, and a clean order record keeps finance and sales reconciled.
- It links the commercial agreement to the physical work, making change control and traceability possible.

## In Practice

A customer orders 200 units at a requested date four weeks out. Entry runs an availability check: 120 are in stock and 80 need production. The ERP reserves 120, creates a planned order for 80 with a two-week lead time and sets a promised date of day 18. If the customer then changes the quantity to 300, the order change must propagate to the planned order and purchase demand, or the plan will be wrong.

## Faq

### What is the difference between a sales order and an invoice?

**Answer:** The sales order records the commitment to supply. The invoice is the later billing document, normally created after shipment, and it posts revenue and a receivable.

### What is the difference between a quote and a sales order?

**Answer:** A quote is an offer that does not reserve stock or drive MRP. A sales order is an accepted commitment that creates demand and fulfilment tasks.

### Does a sales order create a work order?

**Answer:** Only for make-to-order or engineer-to-order lines, or when MRP plans production to cover the demand. Stocked items usually ship from inventory.

### What is a sales order line status?

**Answer:** A status such as open, planned, picked, shipped or invoiced that shows how far each line has progressed. Names vary by ERP.
