# How to add document OCR to abas ERP

## Short answer

Run incoming documents through a layout-aware OCR and extraction step, validate the fields against abas master data, score confidence per field, and send only reviewed results to the ERP through EDP or REST. The scanned file is attached to the resulting record.

## System

abas ERP

## Capability

document-ocr

## Intro

Paper and PDF still dominate the edges of an abas ERP: supplier invoices, delivery notes, certificates of conformity, material test reports, customs papers. Staff read them and key the values in, and the originals end up in a folder tree that nobody can search.

Document OCR turns those files into structured data with the context abas needs: which vendor, which purchase order, which lines, which amounts. The value is not recognising characters, modern engines do that well. The value is matching and validating against the ERP so errors are caught before they post.

This page is about the capture-to-abas path: where the file comes from, how the fields are validated against abas data, how confidence drives review, and how the original gets attached.

## Use Cases

### Vendor invoice capture against purchase orders

**Description:** Extract vendor, invoice number, dates, tax and totals, and lines. Match them to the open purchase order and goods receipt so a three-way check can run in abas.

### Packing slip to goods receipt

**Description:** Read the supplier's delivery note, match lines to the purchase order, and prepare a receipt draft for the warehouse to confirm.

### Certificate of conformity and material certs

**Description:** Capture heat or batch numbers and standards from certificates and link them to the received lot for traceability.

### Customer drawing and spec intake

**Description:** Extract drawing number, revision and title block data from incoming drawings and link the file to the item or order.

### Customs and shipping paperwork

**Description:** Pull commodity codes, origin and weights from forwarder documents and compare them with the data on the delivery in abas.

## System Surface

- Document attachment mechanisms in abas for linking files to records, with the exact method varying by version and configuration.
- EDP interface for reading purchase orders, receipts and master data used in validation, and for creating draft entries.
- REST API on newer releases for the same lookups and, where supported, writes; confirm the available resources.
- Vendor master data, bank details, tax identifiers and open item data, which are the reference set for validation.
- Batch and lot data in abas for tying certificates to received material, relevant for traceable industries.

## How It Works

### Define document types and fields

**Detail:** List the five or six document types that cost the most time. For each, name the fields abas needs and which of them are mandatory.

### Ingest the files

**Detail:** Collect from a scan folder, an AP mailbox, or a supplier portal export. Store the original untouched with a hash and ingestion timestamp.

### OCR and extract

**Detail:** Use a layout-aware OCR plus a model that returns strict JSON with a per-field confidence. Handle multi-page tables and rotated scans explicitly.

### Validate against abas

**Detail:** Check vendor exists, tax id matches, the purchase order is open, quantities do not exceed the remaining quantity, and totals add up. Failed checks reduce confidence or block.

### Human review

**Detail:** Show the image beside the fields, highlight low-confidence values, and let the reviewer correct. Corrections feed a vendor-specific hint list.

### Post and attach

**Detail:** Create the draft or entry through EDP or REST and attach the original file to the record, so audit can open the source from the ERP.

## Example Flows

### Invoice with a price difference

**Trigger:** A supplier invoice PDF lands in the AP mailbox.

**Steps:**

- OCR extracts header and lines with confidence per field.
- The system finds the purchase order and compares unit prices.
- Two lines differ by more than a set tolerance, so the document is flagged.
- The reviewer sees both prices side by side and routes it to purchasing.

**Result:** Price differences are caught before payment, and clean invoices go straight to approval.

### Certificate attached to a received lot

**Trigger:** A material certificate arrives with a delivery.

**Steps:**

- OCR reads the heat number, standard and quantity.
- The system matches the number to the lot created at goods receipt.
- If the match is unique, the file is attached to the lot record.
- If not, the warehouse is asked to pick the lot.

**Result:** Traceability documents are linked at receipt instead of hunted for during an audit.

## On Prem

Documents like invoices, drawings and certificates are exactly what many manufacturers do not want in a third-party cloud. A self-hosted stack avoids that: open-source or licensed OCR engines running locally, an open-weight vision or text model for field extraction on your GPU server, and a validation service reading abas via a read-only account. The review UI also runs inside the network. Only the final create call goes to abas, using a restricted service account that can create drafts and attach files. Keep the original file store on your own storage with the retention rules your finance and quality teams already follow.

## Security

- Store originals in write-once or versioned storage and keep a hash so tampering is detectable.
- Require human approval for bank detail changes and for any amount above a configured limit.
- Use a service account in abas that can create drafts and attach files but cannot approve or post payments.
- Mask or restrict access to documents with personal data such as payroll or ID copies.
- Log the extraction version and model used for each document, so a disputed value can be traced.

## Options

### Commercial invoice capture product with an abas export

**Fit:** Invoices only, standard layouts, and a vendor that lists abas or a generic import format as supported.

**Effort:** Weeks, with licence and per-document costs.

### Build with open-source OCR and a local model

**Fit:** Several document types, data sovereignty needs, and an internal developer.

**Effort:** About 6 to 12 weeks for a first document type.

### Partner build such as Netray

**Fit:** You want the extraction, validation against abas, review screen and measured accuracy delivered together on private infrastructure.

**Effort:** A pilot on one document type, then add others.

## Pitfalls

- Judging OCR by character accuracy instead of by how many documents post without correction.
- No validation against open purchase orders, so extraction errors become posting errors.
- Poor scan quality from shop-floor scanners; fix at capture with resolution and contrast settings.
- Ignoring multi-currency and decimal separators between German and English formats.
- Losing the original file link, which makes audits painful.

## Faq

### Does abas include OCR?

**Answer:** We cannot confirm a built-in OCR capability across versions. Some sites use add-on modules or third-party capture tools. Ask your abas partner what is licensed in your installation, and use an external pipeline if not.

### How are low-confidence fields handled?

**Answer:** Each field has a confidence score. Below the threshold it is highlighted and a person must confirm or correct it. Documents with all fields high and all validations passed can go through with a quick check.

### Can we keep everything on-prem?

**Answer:** Yes. OCR engines and open-weight models can run on your own hardware, the review UI stays internal, and abas is accessed through a service account on your network.

### What about handwritten or poor scans?

**Answer:** Accuracy drops and more goes to review. Improve capture first, and consider excluding handwritten forms from automation until you have measured results on your real samples.

### How is the original linked in abas?

**Answer:** Through the document attachment mechanism available in your version, or a reference field pointing to a file store. The exact method varies, so decide it with your abas administrator.
