## Short answer

Connect Power BI to abas ERP by loading data into a reporting database or warehouse through scheduled extracts from EDP, infosystems or the database, then pointing Power BI at that store through an on-premises data gateway. Direct live queries against the abas database are rarely a good idea.

## System

abas ERP

## Capability

power-bi

## Intro

Controllers and plant managers on abas usually want the same thing: dashboards that combine orders, production, inventory and costs without waiting for an export. Power BI is already licensed in many companies, so it is the natural front end.

The challenge is that abas stores data in its own proprietary structure, accessed through EDP rather than a normal relational schema. That makes a staging layer almost mandatory, and it is also the safer design for performance on the production server.

Once the staging layer exists, you can add natural-language questions on top of the same data, which is where many teams find the real value.

## Use Cases

### On-time delivery dashboard

**Description:** Compare confirmed versus actual delivery dates by customer and product group, with drill-down to late orders.

### Production order progress and WIP

**Description:** Show open production orders, operations completed, hours booked and work-in-progress value for plant managers.

### Inventory and shortage view

**Description:** Combine stock, reservations and open purchase lines to highlight shortages and excess stock by warehouse.

### Margin and cost variance

**Description:** Plan versus actual cost by project or machine, supporting the project-driven business many abas users run.

### Supplier performance

**Description:** Lead time reliability, price trends and quality returns by supplier for purchasing reviews.

## System Surface

- Infosystem export: scheduled infosystem runs to CSV or Excel files are the simplest feed, reusing logic already trusted by finance.
- EDP extract jobs: a script reads selected objects via EDP and loads them into SQL tables in a reporting database.
- Direct database access: depending on your abas version and database setup, a reporting connection may be possible, but verify support and licensing with abas before relying on it.
- REST or integration endpoints on newer versions can feed incremental loads where entities are exposed.
- Power BI on-premises data gateway: lets the cloud service refresh from your internal reporting database without opening inbound firewall ports.

## How It Works

### Define the questions and grain

**Detail:** List the dashboards and the lowest level of detail needed, such as order line or operation, before choosing the extract.

### Build the staging database

**Detail:** Create a SQL database or warehouse and tables for orders, production, stock, purchasing and master data.

### Schedule extracts

**Detail:** Load nightly, or more often for operational boards, using incremental keys such as change date where available, with periodic full reloads to catch deletions.

### Model in Power BI

**Detail:** Build a star schema with date, part, customer, supplier and project dimensions, and define measures once in the semantic model.

### Install the gateway

**Detail:** Install the on-premises data gateway on a server near the staging database and schedule dataset refresh.

### Add natural-language access

**Detail:** Optionally place a text-to-query layer over the semantic model or warehouse so users can ask questions in plain language, with the query shown.

## Example Flows

### Nightly refresh of the delivery board

**Trigger:** Scheduled job at 02:00

**Steps:**

- Extract job reads changed orders and shipments from abas
- Rows are upserted into the staging tables
- Power BI refresh runs through the gateway
- Dashboard updates before the morning meeting

**Result:** Managers see yesterday's performance on a single board, consistent with abas numbers.

### Ask a question about margin

**Trigger:** Controller types a question in the Q and A layer

**Steps:**

- Layer translates the question into a query on the warehouse
- It shows the generated query and the result table
- User adjusts filters or saves the view

**Result:** Ad hoc analysis without waiting for a new report build.

## On Prem

Keep the staging database and gateway inside your network. Power BI Report Server is an option if you need reports hosted on-prem rather than in the cloud service, though features differ and it is a separate licensing decision. For natural-language questions on-prem, run an open-weight model locally against the warehouse so neither the schema nor the results leave the plant. Whatever the hosting, the gateway should connect outbound only, and the extract account on abas should be read-only.

## Security

- Read-only abas extract account with access limited to required objects
- Row-level security in the Power BI model for customer, plant or project scoping
- Gateway installed on a hardened server with outbound-only connectivity
- Staging database access limited to the extract job and gateway service
- Natural-language layer shows generated queries and respects the same security roles

## Options

### Infosystem exports to Excel or CSV

**Fit:** Small team, few dashboards, reuse of existing infosystems.

**Effort:** Days, but manual upkeep and limited history.

### Warehouse with scheduled EDP or REST extracts

**Fit:** Multiple dashboards, history and governance requirements.

**Effort:** Weeks for a first subject area.

### Netray data layer with natural-language Q and A

**Fit:** You want governed dashboards plus plain-language questions on private infrastructure.

**Effort:** Scoped pilot on one subject area.

## Pitfalls

- Querying the production abas database directly for dashboards can slow users and may not be supported. Stage the data.
- Deleted or cancelled records do not appear in incremental loads, so numbers drift. Reconcile with periodic full reloads.
- Business logic in infosystems and FOPs may differ from naive table sums. Reconcile dashboard totals to abas reports before launch.
- Currency, units and client (Mandant) handling need explicit rules, or consolidated figures mislead.
- Refresh jobs that overlap with month-end processing can contend for resources. Schedule carefully.

## Faq

### Does Power BI have a native abas connector?

**Answer:** We are not aware of a standard built-in connector, and third-party options may exist, so check current offerings. Most teams use infosystem exports or a staging database fed by EDP or REST extracts, then connect Power BI to that.

### Can Power BI query the abas database directly?

**Answer:** It depends on your version and database configuration, and it may not be supported or advisable. Confirm with abas first. A staging database protects production performance and gives you stable, documented tables.

### Do we need the on-premises data gateway?

**Answer:** If your staging database is inside your network and you use the Power BI cloud service, yes. The gateway lets the service refresh without inbound firewall rules. If everything is hosted in Power BI Report Server, you may not need it.

### How often can data refresh?

**Answer:** Nightly is typical. More frequent refresh is possible with incremental extracts, but watch the load on abas and Power BI refresh limits for your license. For real-time operational views, consider a lightweight live tool instead.

### Can we ask questions in plain language?

**Answer:** Yes, with a natural-language layer over your warehouse or semantic model. Run it on a local model if data must stay on-prem, always show the generated query, and apply the same row-level security as your reports.
