## Short answer

Read a shared Exchange mailbox through Microsoft Graph, classify and extract each message, validate it against ERP master data, and create or update records through data entities or the Data management framework. Low-confidence items go to a review queue instead of posting.

## System

Microsoft Dynamics 365 Finance and Supply Chain

## Capability

email-automation

## Intro

A large share of the work in Finance and Supply Chain still arrives as email: customer purchase orders to a sales inbox, supplier order acknowledgements with changed dates, RFQ responses, shipping notices and invoices. Someone retypes each into the client, usually under deadline, and errors in item numbers, units and dates become inventory and costing problems later.

The platform already has some email-adjacent tools, such as outbound email through workflow, print management and electronic reporting, and in some deployments Power Platform based invoice capture. Inbound parsing of free-form messages into arbitrary transactions is not something it does natively, so the usual solution is a pipeline outside the ERP that writes in through supported interfaces.

This page lays out that pipeline for this system: where to read, how to match to master data, how to write safely and where to put humans.

## Use Cases

### Customer PO to sales order

**Description:** Extract customer, PO number, lines, quantities and requested dates from email bodies and PDF attachments, match to customer and released products, and create a sales order in draft for a CSR to confirm.

### Supplier acknowledgements

**Description:** Read supplier replies, match them to purchase order lines and update the confirmed delivery date and quantity, with a purchase order line change history entry.

### RFQ response capture

**Description:** Parse quote replies into request for quotation reply lines so buyers compare in the standard workspace instead of a spreadsheet.

### Advance ship notices

**Description:** Turn carrier or supplier shipping emails into inbound load or ASN records so receiving knows what is coming.

### Invoice intake from a shared inbox

**Description:** Route vendor invoice emails to capture, match to POs and create pending vendor invoices, subject to the review thresholds below.

### Triage and routing

**Description:** Classify the rest (change requests, complaints, certificate requests) and route them to the right queue with the matched account and open orders attached.

## System Surface

Inbound mail is outside the ERP: read through Microsoft Graph (mail APIs with application permissions restricted to specific mailboxes through an application access policy) or Exchange Web Services in older setups.

Data entities over OData for sales order headers and lines, purchase order confirmations, vendor invoice headers and lines; availability and field names vary by release.

Data management framework (DMF) with the recurring integrations REST API: enqueue files into a data project and dequeue results. Useful for batches and for staged validation before posting.

Customer and vendor part cross-references (external item descriptions, vendor product numbers) are the right lookup for mapping partner part codes to your released products.

Power Automate triggers for new mail and Finance and Operations connector actions are a lighter path for simple mailboxes.

Attachments can be stored with document handling on the resulting record, so the original email or PDF is retrievable from the order.

## How It Works

### Isolate the inbox

**Detail:** Use a dedicated shared mailbox per process (orders, acknowledgements, invoices), grant the app only that mailbox, and move processed messages into folders for traceability.

### Classify

**Detail:** Decide message type from sender, subject and content. A small model or rules can do this; unknown types go to a person.

### Extract

**Detail:** Pull fields from body and attachments. For PDFs and scans use the document OCR path, then normalise units, dates and currency.

### Match to master data

**Detail:** Resolve customer or vendor by account, email domain history and PO references, and map part numbers through cross-references. Record a match score for each field.

### Validate against business rules

**Detail:** Check pricing agreements, credit limits, minimum order quantities and delivery lead times before creating anything.

### Write with the least risky method

**Detail:** Create draft sales orders or unconfirmed changes through entities or DMF, keep a link to the source email, and never auto-post financial transactions below your confidence threshold.

### Review queue and feedback

**Detail:** Show the original and the proposed record side by side, capture corrections, and feed them back as improved matching rules.

## Example Flows

### Customer PO email becomes a draft sales order

**Trigger:** A PDF purchase order arrives in the orders mailbox.

**Steps:**

- Graph delivers the message; the pipeline classifies it as a customer PO.
- OCR and extraction produce lines with partner part numbers.
- Cross-references map each to a released product; two lines fail to match.
- A draft sales order is created with matched lines, and the unmatched ones are flagged.
- The CSR resolves the two lines and confirms.

**Result:** The CSR spends a minute on exceptions instead of retyping the whole order, and the PDF is attached to the order.

### Supplier changes a delivery date

**Trigger:** A supplier replies 'we can ship 12 days later' to a PO email.

**Steps:**

- The pipeline matches the thread to the PO via the reference in the subject or headers.
- It extracts the new date and the affected lines.
- It proposes a confirmed delivery date change with the delta shown.
- A buyer approves and the PO line is updated.

**Result:** Master planning sees the new date quickly, so downstream shortages surface earlier.

## On Prem

Email content often includes pricing and drawings, which many manufacturers will not send to a public model. Run the classification, extraction and matching on models hosted on your own GPUs, read mail through Graph or an on-premises Exchange connector, and keep the review queue inside your network. For Local Business Data deployments, write into the ERP through your own listener or file drop into DMF, and use AD FS for authentication. Only outbound replies and optional notifications need to leave the network.

## Security

- Restrict the mail app to named mailboxes using an application access policy, not tenant-wide read.
- Treat inbound content as untrusted: strip active content from attachments and defend against instructions embedded in messages.
- Never auto-create master data (new vendors or bank accounts) from email; that is a fraud vector.
- Keep the source message ID on every created record for audit.
- Apply approval thresholds for orders above a value and for any bank detail change.

## Options

### Power Automate plus ERP connector

**Fit:** Structured emails from a few trading partners with fixed formats.

**Effort:** Days to weeks, limited on messy documents.

### Dedicated order or invoice capture product

**Fit:** Standard document types where a vendor product already integrates with Dynamics 365.

**Effort:** Weeks, with per-document licensing.

### Partner build with Netray

**Fit:** Free-form emails, multiple partners, on-prem models and custom matching.

**Effort:** Scoped after sampling a few hundred real emails.

## Pitfalls

- Partner part numbers rarely match yours; cross-reference quality decides success more than the extraction model.
- Replies inside long threads quote older values; extract from the newest content only.
- Auto-confirming orders skips credit and availability checks that the client would trigger.
- Different legal entities may share one mailbox; route by the ordering customer account.
- Do not parse and post in one step; keep a staged record you can inspect and reverse.

## Faq

### Can Dynamics 365 Finance and Supply Chain read incoming email on its own?

**Answer:** Not into arbitrary transactions. You read mail with Graph or Power Automate and write via entities, DMF or services. Some capture solutions in the Microsoft ecosystem help for invoices, so check what your licence includes.

### Should orders be created confirmed or draft?

**Answer:** Draft or unconfirmed by default. Move to auto-confirm only for trusted customers with high match scores, stable prices and tight tolerances, and monitor exceptions.

### How do we handle attachments?

**Answer:** Extract with OCR for processing and store the original with document handling on the resulting record so users can verify against the source.

### Can this run without sending email content to a cloud AI?

**Answer:** Yes. Use open-weight models on your own servers for classification and extraction, with Graph or on-premises Exchange for access.

### What accuracy is realistic?

**Answer:** It depends on how uniform your partners' documents are. Structured partners can reach high straight-through rates; free-form ones need review. Measure per partner and widen automation only where error rates stay low.
