## Short answer

Run incoming invoices, packing slips and certificates through an OCR and extraction pipeline, match them to POs and receipts in SyteLine via the IDO REST service, and create draft vouchers or attach documents. Low-confidence fields go to a review queue, and nothing posts without matching rules passing.

## System

Infor SyteLine (CloudSuite Industrial)

## Capability

document-ocr

## Intro

Accounts payable and receiving are where paper still piles up in SyteLine shops. Vendor invoices arrive as PDFs and scans, packing slips come in with the freight, and aerospace or defense suppliers send certificates of conformance and material test reports that must be tied to a lot. Someone keys it, or files it, or both.

SyteLine has the structure for three-way matching: purchase order lines, receipts, and vouchers. What it does not have is a universal way to turn an arbitrary vendor's invoice layout into those fields. Infor's own document capture options vary by edition and licensing, so check what you already own before building.

This page focuses on the build-or-buy decisions, the matching logic that makes OCR trustworthy, and the controls that matter in an audit.

## Use Cases

### Vendor invoice to draft voucher

**Description:** Invoice number, date, vendor, PO reference, lines and tax are extracted, matched to the PO and receipts, and loaded as a voucher draft for AP to approve.

### Packing slip receiving

**Description:** A scanned packing slip identifies the PO and quantities, pre-fills the receiving transaction, and flags overshipments against the PO line tolerance.

### Certificates of conformance linked to lots

**Description:** CoCs and material certs are matched to the PO, item and lot, then attached to the receipt so quality can retrieve them for traceability.

### Material test report check

**Description:** Heat numbers and chemistry or hardness values are extracted and compared to the item's specification before the lot is released from inspection.

### Customer drawings and POs attached to orders

**Description:** Incoming attachments are classified and stored against the customer order or estimate, so engineering and the shop see the latest revision.

### Freight and customs documents

**Description:** Bills of lading and commercial invoices are read for reference numbers and costs, then linked to the PO or landed cost record.

## System Surface

- IDO REST service: look up POs, PO lines, receipts, vendors and open vouchers, and invoke methods to create vouchers or receiving transactions with SyteLine's own validation.
- Document attachment features, including Infor Document Management (IDM) where licensed, to store the original image against the PO, receipt or voucher via its API.
- Voucher and AP forms and their underlying IDOs, which carry the matching tolerances and approval status used in your AP process.
- Lot and serial tracking data, so certificates can be tied to the correct lot rather than just the PO.
- Staging tables or custom fields for capture status, per-field confidence, reviewer and source image reference, so your audit trail is queryable.

## How It Works

### Standardize intake

**Detail:** Pick the entry points: an AP mailbox, a scanner folder, a supplier portal upload. Normalize to PDF or images and assign a document ID.

### OCR and layout extraction

**Detail:** Use a cloud document service or a local OCR and vision model. For regulated or proprietary documents, a local model keeps images inside your network.

### Classify the document type

**Detail:** Separate invoices, packing slips, CoCs, test reports and everything else, since each has different required fields and downstream actions.

### Match to SyteLine data

**Detail:** Resolve the vendor, PO number and lines through IDO queries. Compare quantities, units and prices to the PO and receipts, and compute the tolerance result.

### Apply confidence thresholds

**Detail:** Set per-field minimums. High-confidence, fully matched invoices go to a fast approval lane, anything below a threshold or failing a match goes to a reviewer with the image beside the fields.

### Create the draft and attach the source

**Detail:** Invoke the IDO methods to create the voucher or receipt draft, attach the image, and record who reviewed and what changed from the extracted value.

### Learn from corrections

**Detail:** Store reviewer fixes by vendor, so repeated layout quirks and part number variants get handled better over time.

## Example Flows

### Invoice with three-way match

**Trigger:** A vendor invoice PDF lands in the AP mailbox.

**Steps:**

- OCR extracts vendor, invoice number, date, PO number and line totals.
- The pipeline loads the PO and posted receipts from SyteLine and compares quantity and price.
- Lines within tolerance are marked matched, differences are flagged with the variance.
- A draft voucher is created, the PDF is attached, and AP sees a pre-matched queue.

**Result:** AP reviews exceptions instead of keying every invoice, and unmatched invoices are visible immediately.

### Certificate of conformance to lot record

**Trigger:** A supplier sends a CoC with a shipment of controlled material.

**Steps:**

- The document is classified as a CoC and the PO, part and lot or heat number are extracted.
- The pipeline checks that the part number and revision match the PO line.
- It attaches the certificate to the receipt and lot record.
- Missing or mismatched certificates create a hold task for quality.

**Result:** Traceability packages can be assembled from the lot record, and receiving cannot release material without its paperwork.

## On Prem

Documents like drawings, certificates and supplier invoices often cannot go to a public cloud service. Run OCR and extraction on your own servers, using open-source OCR plus a locally served vision or language model on a GPU in your data center. The pipeline reads from a local folder or mailbox, calls the IDO REST service internally, and stores images in your document repository. Nothing needs to leave your network, and the same design works in an air-gapped environment with models loaded offline.

## Security

- Never post a voucher automatically when the vendor bank details or remittance information differ from master data, route those to a person.
- Enforce segregation of duties: the capture service creates drafts, a separate human approves and posts.
- Store source images with checksums, and keep the link from every voucher field back to the image region.
- Restrict the service account to specific IDOs, with no ability to modify vendor master records.
- Keep retention and access aligned with financial record and quality record requirements.

## Options

### Licensed AP automation product with SyteLine connector

**Fit:** AP-heavy teams who want a packaged workflow and vendor support.

**Effort:** Subscription plus implementation, check connector coverage for your version.

### Build in-house with open OCR and IDO REST

**Fit:** Teams comfortable owning matching logic and review UI.

**Effort:** Pilot in weeks, tuning per vendor over months.

### Partner build with Netray

**Fit:** When documents must stay on-prem, or you also need certificate and test report checks beyond invoices.

**Effort:** Scoped from a sample of your real documents.

## Pitfalls

- Measuring accuracy on clean samples instead of the skewed, faxed and handwritten documents you actually receive.
- Matching only on total amount, which lets quantity and price errors through.
- Ignoring unit of measure differences between vendor documents and the PO.
- Allowing the OCR service to create vendors on the fly, which invites duplicate and fraudulent records.
- Losing the original image after posting, which makes audit and disputes painful.

## Faq

### Does SyteLine include OCR for invoices?

**Answer:** Infor has offered document capture and IDM related capabilities, but what is available depends on your edition, hosting and licensing. Many sites end up pairing SyteLine with a third-party AP product or a custom pipeline.

### How accurate is OCR on supplier invoices?

**Answer:** It varies widely with document quality and layout. Typed header fields are usually reliable, while line items, handwriting and poor scans are harder. That is why confidence thresholds, PO matching and a review queue matter more than any headline accuracy figure.

### Can OCR read certificates of conformance and test reports?

**Answer:** Yes, and modern vision models handle varied layouts better than template OCR. Extract part number, lot or heat number and key values, then compare with the PO and item specification, and always keep a human sign-off for release decisions.

### Can this run fully offline?

**Answer:** Yes. Open-source OCR and a locally hosted model can run on your own GPU or CPU servers, reading documents from internal storage and calling SyteLine on the internal network, with no external services.

### Should captured invoices post automatically?

**Answer:** Only after measured results justify it. Begin with drafts and a review lane, then allow straight-through only for vendors with matched history, within tolerances, and with periodic sampling.
