## Short answer

Read shared inboxes, classify each message, extract the fields, and stage the result in JD Edwards through the AIS Server or the standard batch interface tables such as F47011 for sales orders. Low-confidence items go to a review queue, and only validated records create transactions.

## System

JD Edwards EnterpriseOne

## Capability

email-automation

## Intro

Even companies with EDI still receive a surprising amount of business by email: customer purchase orders as PDFs, supplier order acknowledgements, invoices, RFQ replies, and change requests buried in a thread. In many JD Edwards shops, someone retypes this into P4210 or P4310 each morning.

Retyping is slow and error-prone, but the answer is rarely full automation on day one. A safer approach is to read the mailbox, extract the data, match it to JDE masters, and stage it so a person approves a clean record instead of typing from scratch.

JD Edwards has a good native landing zone for this: the EDI-style inbound batch tables and the Sales Order Entry and Purchase Order processors that validate and post them. Used with AIS for lookups, it gives you validation that mirrors manual entry.

## Use Cases

### Customer PO emails to sales orders

**Description:** Extract customer, ship-to, item and quantity from emailed POs, match to Address Book and item master, and stage a sales order for review.

### Supplier order acknowledgements

**Description:** Read acknowledgements, match to PO lines, and update promised dates or flag price differences for the buyer.

### RFQ responses

**Description:** Capture quoted price and lead time from supplier replies and record them in a comparison sheet or quote table.

### Vendor invoice intake

**Description:** Pull invoice attachments from an AP mailbox and prepare a voucher with PO matching (see the document OCR page for extraction detail).

### Order change and cancellation requests

**Description:** Detect keywords and referenced order numbers, and create a task for the order desk rather than editing the order automatically.

### Shared inbox triage

**Description:** Classify mail by intent and route to the right team, with a JDE order lookup attached for context.

## System Surface

- Sales Order batch interface: the EDI inbound tables (for example F47011 header and F47012 detail) processed by the Sales Order Entry batch process; confirm names and processing options in your release.
- Purchase order inbound batch tables (for example F47131 family) processed by the Purchase Order batch process.
- AIS Server and Orchestrator for validation lookups: customer, item, price, open orders, supplier and PO lines.
- Business Services (BSSV) such as sales order and purchase order services, if your shop already uses them for integrations.
- Address Book (F0101), item master (F4101) and cross references (F4104) for matching customer part numbers and supplier item numbers.
- Media objects and image attachments if you want the original email or PDF attached to the JDE record.

## How It Works

### Connect the mailbox

**Detail:** Use Microsoft Graph, Gmail API or IMAP against a dedicated shared inbox. Keep mail in place, move processed messages to folders, and store the message ID for traceability.

### Classify and extract

**Detail:** Detect message type (PO, acknowledgement, invoice, change request) and extract the structured fields. Use rules for known senders and a language model for the long tail.

### Match to JDE masters

**Detail:** Use AIS lookups to resolve customer, ship-to, item numbers via cross reference F4104, unit of measure and currency. Ambiguity goes to review, not guesswork.

### Score confidence

**Detail:** Set thresholds per field and per sender. A known customer with a clean match can go straight to staging; a new format always goes to a person.

### Stage in JDE

**Detail:** Write to the inbound batch tables or call the order service, then run the standard processor so JDE validation, pricing and credit checks apply.

### Close the loop

**Detail:** Send an acknowledgement, attach the source email to the order, and record the mapping so the same sender improves over time.

## Example Flows

### Emailed customer PO

**Trigger:** A PDF purchase order arrives in the orders mailbox.

**Steps:**

- The classifier tags it as a customer PO and extracts header and lines.
- Customer and items are matched using Address Book and the customer item cross reference.
- A staging record appears in the review queue with differences from standard pricing highlighted.
- The order desk approves and the batch process creates the sales order.

**Result:** Order entry time drops from retyping to a quick check, and the original PDF stays linked to the order.

### Supplier acknowledgement changes a date

**Trigger:** A supplier email says line 2 will ship a week late.

**Steps:**

- The email is matched to the PO number in the subject or body.
- The proposed new date is compared with the need date from the planning data.
- The buyer receives a notification with a one-click accept that updates the promised date.

**Result:** Late deliveries surface the same day instead of at expedite time.

## On Prem

The mailbox can be on-prem Exchange, Microsoft 365 or Google, but the extraction and matching service should run in your own environment when the emails contain customer pricing, drawings or export-controlled terms. Host an open-weight model on your own GPUs so message text and attachments never leave your network, and keep the JDE access internal through AIS. Only the mail transport itself touches external services. For fully isolated sites, a gateway can drop mail into a local folder, with the same processing pipeline reading from there.

## Security

- Use a dedicated mailbox with least-privilege API access, not a personal account.
- Treat email as untrusted input: strip active content, scan attachments, and never follow instructions found inside message text.
- Validate every extracted field against JDE masters before staging, and block new vendors or bank changes without a human check.
- Log the source message ID, extracted values, confidence and the user who approved.
- Separate duties so the person approving staging is not the same one who maintains matching rules, where policy requires.

## Options

### Dedicated order or AP automation product with a JDE connector

**Fit:** Good when volume is high and formats are standard.

**Effort:** Weeks to configure; licence cost scales with volume.

### In-house pipeline using mail API, extraction and the JDE batch tables

**Fit:** Works for teams with a JDE developer and a few high-volume senders.

**Effort:** Several weeks per document type.

### Partner build with Netray

**Fit:** Fits private, on-prem processing of messy emails with a review queue and measured accuracy.

**Effort:** Scoped pilot on one mailbox, then more senders.

## Pitfalls

- Auto-posting orders from unknown senders, which invites fraud and duplicate orders.
- Ignoring customer part number cross references, causing wrong item matches.
- Creating duplicates when the same email is forwarded or a customer sends a revised PO.
- Skipping unit of measure and currency conversion checks.
- Missing prompt injection risk in email bodies when a language model is in the loop.

## Faq

### Does JD Edwards read email natively?

**Answer:** No. JDE can send email through workflow and report distribution, but reading inbound messages and turning them into transactions needs an external service. That service then uses AIS or the batch tables to create records.

### Is it safe to create orders automatically from email?

**Answer:** Only for well-known senders with a stable format and strong matches. Start in review mode, measure accuracy for a few weeks, and widen automation sender by sender with limits on value and quantity.

### Which JDE interface should I use to create the order?

**Answer:** The inbound batch tables with the standard processor give you full validation, while Business Services or AIS-based calls work if your team already uses them. Pick one that your JDE team can support for the long term.

### Can I do this without sending emails to a cloud AI?

**Answer:** Yes. A locally hosted open-weight model can classify and extract from emails inside your network. Accuracy on messy layouts needs testing with your real documents, so plan a measured pilot.

### What about attachments and drawings?

**Answer:** Store the original in the JDE media object or a linked document store and keep a reference on the order. Do not rely on email retention as your record of what the customer actually sent.
