## Short answer

There are three ways to use ChatGPT with NetSuite: paste or upload exports, give a custom GPT an action that calls a thin API in front of NetSuite, or connect through an MCP-style connector. Live access needs a scoped, read-only API layer, and regulated data may call for a private model instead.

## System

Oracle NetSuite

## Capability

chatgpt

## Intro

The most common starting point is a finance or operations person pasting a saved search export into ChatGPT and asking for variance commentary. It works, and it is fine for non-sensitive summaries. The trouble starts when the same habit spreads to customer pricing, bank details or export-controlled part data.

The next step is live access. A custom GPT can call external APIs through actions described by an OpenAPI schema, which means it can query NetSuite if you put a safe API in front. You should not point it at NetSuite's raw endpoints with a powerful token.

This page walks through each option, what the NetSuite side looks like, and where the line sits between convenience and control.

## Use Cases

### Variance commentary on a saved search

**Description:** Export a budget-versus-actual search and have ChatGPT draft the commentary for the controller to edit, using only non-sensitive accounts.

### Item and BOM lookups for sales engineers

**Description:** A custom GPT with a read-only action returns item availability, lead time and substitutes so quoting staff stop asking planners.

### Customer order status answers

**Description:** Customer service asks for the status of a sales order and the GPT returns fulfilment, shipment and invoice state from a narrow endpoint.

### Explaining a transaction trail

**Description:** Given a transaction ID, it describes the PO to receipt to bill chain in plain language for a new AP hire.

### SuiteScript and SuiteQL help

**Description:** Developers ask it to draft SuiteQL or a User Event script, with no live data connected at all.

## System Surface

- Saved searches and reports can be exported to CSV or Excel for the upload route, with no API involved.
- SuiteQL over REST Web Services is the natural backing query for a read-only action.
- A RESTlet can return a small, pre-shaped JSON payload that fits an OpenAPI action schema.
- OAuth 2.0 or token-based authentication on an integration record secures the service in front of NetSuite. ChatGPT should authenticate to your service, not to NetSuite directly.
- NetSuite roles and subsidiary restrictions apply to whatever token your service uses, so it should map the ChatGPT user to a NetSuite role where it can.

## How It Works

### Decide what data may leave

**Detail:** Classify fields. Item names and order status are usually fine. Pricing, banking, payroll and controlled technical data are not.

### Pick the ChatGPT plan and controls

**Detail:** Use a business or enterprise workspace where your data is excluded from training by default, and review retention, admin and connector settings with your security team.

### Build a thin read-only service

**Detail:** Create a small API that runs fixed SuiteQL queries or calls a RESTlet and returns only approved fields. Host it behind your own authentication.

### Describe it as an action

**Detail:** Write an OpenAPI schema with clear parameter descriptions, then attach it to a custom GPT. Keep each operation single purpose.

### Limit and log

**Detail:** Rate limit by user, log every request, and cap rows returned. Test with prompts that try to extract more than intended.

### Review and retire

**Detail:** Check logs monthly. If users keep needing sensitive fields, move that workflow to a private model.

## Example Flows

### Quote desk checks availability

**Trigger:** A salesperson asks the GPT whether an item can ship in two weeks.

**Steps:**

- The action calls your service with the item ID.
- The service runs a SuiteQL query for available quantity and open supply.
- It returns quantity, next receipt date and substitutes.
- The GPT answers in a sentence with the source dates.

**Result:** Sales gets a grounded answer without opening NetSuite or pinging a planner.

### Close-week commentary

**Trigger:** The controller uploads an exported trial balance variance search.

**Steps:**

- ChatGPT reads the file and ranks variances by size.
- It drafts a one-line driver per major account.
- The controller edits and pastes into the close package.

**Result:** First drafts take minutes, and no live NetSuite connection was needed.

## On Prem

ChatGPT is a hosted service, so nothing about it runs on your premises. If your data rules forbid sending NetSuite records to a third-party cloud, the same pattern works with a private model: keep the thin NetSuite service, replace ChatGPT with an open-weight model hosted on your own GPUs, and give users a chat interface inside your network. You lose some raw model strength on hard reasoning, but gain control of prompts, logs and retention. Many teams use both: ChatGPT for non-sensitive drafting, and a private assistant for anything touching customer pricing or controlled data.

## Security

- Never paste credentials, tokens or full customer lists into a chat.
- Put a service you control between ChatGPT and NetSuite, and keep NetSuite tokens out of the GPT configuration.
- Return only whitelisted fields from every endpoint.
- Use workspace admin controls to restrict who can create and share custom GPTs.
- Keep an audit log on your service, since you cannot rely on the chat log alone.

## Options

### Exports only, no live connection

**Fit:** Fine for commentary and drafting on non-sensitive data.

**Effort:** Immediate, with a usage policy.

### Custom GPT with a read-only action

**Fit:** Good for lookups where users already live in ChatGPT.

**Effort:** A few weeks to build and review the service.

### Private model with a NetSuite connector, via Netray or in-house

**Fit:** Best for regulated, export-controlled or commercially sensitive data.

**Effort:** Longer setup because of hosting, but full control.

## Pitfalls

- Giving a custom GPT a NetSuite administrator token. One bad prompt then has write access.
- Assuming exports are harmless. A saved search can contain more columns than people realise.
- Letting the action return whole records instead of selected fields.
- Forgetting that a shared custom GPT can be used by people who should not see the data.
- Expecting the GPT to know your custom fields without descriptions in the schema.

## Faq

### Is there an official ChatGPT connector for NetSuite?

**Answer:** Connector availability changes quickly and varies by plan, so check OpenAI's current connector list and the NetSuite SuiteApp marketplace. If no suitable one exists, a custom GPT action over your own thin service is a reliable and auditable route.

### Can ChatGPT write to NetSuite?

**Answer:** It can if you expose a write action, but we advise against it at the start. Keep the action read-only, and if you add writes, make them create drafts that a NetSuite user approves.

### Does NetSuite data used in ChatGPT train the model?

**Answer:** On business and enterprise offerings, OpenAI states that customer data is not used for training by default. Confirm the terms for your plan and region with your legal team, and do not assume the free consumer tier has the same protections.

### Why not just export everything to CSV?

**Answer:** Exports are quick but stale, manual and hard to govern. Live read-only access returns current figures with an audit log. Exports remain a sensible choice for one-off analysis on data that is not sensitive.

### When should we use a private model instead?

**Answer:** When data is export-controlled, contractually restricted, or commercially sensitive, such as customer-specific pricing or defense part data. A private open-weight model keeps prompts and outputs inside your control while still reading NetSuite through the same API layer.
