## Short answer

Plex is cloud-native, so the clean pattern is a small middleware service that polls or subscribes to Plex data via its REST/data source APIs and sends WhatsApp template messages through the Cloud API or a BSP. Replies come back through a webhook and are written to Plex only after validation or approval.

## Intro

Plex plants run on a hosted platform, and the people who need information fastest are often not at a workstation: a supplier rep in another country, a truck driver at the dock, a quality lead at home when an NCR hits. WhatsApp is where those people already are, especially for supplier and logistics contacts outside the US.

Plex does not ship a native WhatsApp channel that you can simply switch on. What you have is an API surface (the Plex developer portal exposes REST services and data sources you can call with credentials issued to a Plex integration user) and your own plant network for anything that sits on the floor. WhatsApp is therefore a bridge you build or buy, not a checkbox.

This page covers the real path: what to read from Plex, how the WhatsApp Business Platform constrains you (opt-in, templates, the 24-hour window), and how to bring replies back without letting a chat message directly change a production record.

## Use Cases

### Supplier PO confirmation requests

**Description:** When a purchase order release or a due date change is committed in Plex, send the supplier contact a template message with PO, line and new date, and accept CONFIRM or a counter-date as a reply that lands in a review queue.

### Outbound shipment notices to customers

**Description:** When a shipper is confirmed in Plex, message the customer's receiving contact with carrier, tracking and ASN reference so they stop calling your customer service desk.

### Quality escalation to on-call leads

**Description:** A new NCR or a failed inspection check triggers a message to the quality manager with part, workcenter and defect code, plus a deep link to the Plex record.

### Maintenance and downtime pings

**Description:** Long unplanned downtime on a monitored workcenter notifies the maintenance supervisor on WhatsApp, with an acknowledge reply that stamps a note, not a status change.

### Driver and dock coordination

**Description:** Inbound carriers get appointment reminders and dock door assignments built from receiving schedules, reducing idle trucks.

### Approval nudges for managers off site

**Description:** Pending purchase or timesheet approvals older than a threshold produce a reminder with a link, never an approve-by-reply for money.

## System Surface

Plex REST APIs and the Data Source API (DSAPI): data sources are callable services with defined inputs and result columns; availability and names depend on your subscription and the Plex release, so confirm with your Plex administrator.

Credentials: API keys or application credentials created for a dedicated integration user in the Plex developer portal; the user's security role limits what the calls can see.

No push from Plex by default for most objects, so a scheduler polls a data source for changes since a watermark (a modified timestamp or status column), or you use whatever event or workflow notification feature your tenant has enabled.

Plex classic UI customer and supplier contact records hold email and phone fields, but mobile numbers are often missing or unformatted; plan a cleanup to E.164 format.

Plex does not expose its database directly because it is hosted; any floor-level triggers (PLC, OPC UA, MQTT) live in your plant network and reach Plex through its DCS or API paths.

## How It Works

### Pick the messaging path

**Detail:** Use Meta's WhatsApp Business Platform Cloud API directly, or a Business Solution Provider if you want a managed inbox and compliance tooling. Register a business number that is not in personal WhatsApp.

### Create the Plex integration user

**Detail:** Ask your Plex administrator for a service user with read access to the specific data sources you need, plus narrowly scoped write access only if you will post data back.

### Build the change detector

**Detail:** A small service on your side (Azure Functions, AWS Lambda or a container) calls the data source on a schedule, stores a watermark, and emits an event per new or changed row.

### Map events to approved templates

**Detail:** Submit utility templates to Meta for approval (shipment notice, PO change, quality alert). Business-initiated messages outside a 24-hour customer window must use a template.

### Capture opt-in

**Detail:** Record opt-in per contact, with source and date, in a table you control. Do not send to a number without it; Meta can restrict your number quality rating.

### Handle replies with a webhook

**Detail:** Receive inbound messages, match them to the originating event by a stored conversation ID, classify the intent, and write a proposed update to a review queue.

### Write back after validation

**Detail:** A buyer or planner approves the proposed change, then the service posts it to Plex through the API using the integration user, logging the message ID with the transaction.

## Example Flows

### Supplier due date confirmation

**Trigger:** A PO line is released in Plex with a promise date.

**Steps:**

- Poller picks up the new line from the PO data source.
- Service looks up the supplier contact phone and opt-in flag.
- Template message sends PO, line, part and requested date with quick reply buttons.
- Supplier replies with a different date; webhook stores it.
- Buyer sees the counter-date in a queue and accepts or rejects it.

**Result:** Promise dates are updated from the supplier's own words with a buyer in the loop, and the chat history is attached to the PO.

### NCR alert to the quality lead

**Trigger:** A nonconformance is created at an inspection step.

**Steps:**

- Service reads NCR header, part and defect code.
- It sends an alert to the on-call quality contact using a utility template.
- The lead replies with a short note.
- The note is posted as a comment on the record after a reviewer clears it.

**Result:** Containment starts in minutes instead of waiting for someone to open Plex.

## On Prem

Plex itself is hosted, so there is no on-prem Plex server to put WhatsApp in front of. What can stay inside your network is the bridge: run the poller, the webhook receiver and any message classification model on a server in your DMZ or private cloud, and let only the minimum fields cross to Meta. If message content is sensitive (customer part numbers on defense or aerospace programs), keep the templates generic, put the detail behind an authenticated link, and run any reply interpretation on a local open-weight model rather than a public API. Note that WhatsApp message content itself transits Meta infrastructure, so it is the wrong channel for export-controlled technical data regardless of where your bridge runs.

## Security

- Use a least-privilege Plex integration user and rotate its credentials; never reuse a human login.
- Verify the Meta webhook signature on every inbound request and reject unsigned payloads.
- Keep export-controlled or customer-confidential detail out of message bodies; send IDs and links.
- Log every outbound and inbound message with the Plex record key for audit.
- Treat replies as untrusted input: never let free text become an API write without validation or human approval.

## Options

### Managed BSP with a small Plex connector

**Fit:** Teams that want inbox, templates and opt-in tooling without writing the messaging layer.

**Effort:** A few weeks to connect, mostly template approval and contact data cleanup.

### Build directly on the Cloud API

**Fit:** In-house developers who already call Plex APIs and want full control of flows.

**Effort:** Small service plus webhook, typically weeks for one or two flows.

### Work with a partner such as Netray

**Fit:** You also want replies interpreted, approvals routed and the bridge hosted privately.

**Effort:** Scoped per flow; usually a short pilot on one flow first.

## Pitfalls

- Contacts in Plex often lack valid mobile numbers, so the first sprint is data cleanup, not code.
- Sending without a recorded opt-in risks number quality drops or blocks.
- Polling too aggressively can hit API rate limits on your tenant; use watermarks and backoff.
- Letting an approve-by-reply change money or inventory without a second check invites errors from typos and wrong threads.
- Template wording changes need re-approval, so design them with variables from the start.

## Faq

### Does Plex have a built-in WhatsApp connector?

**Answer:** Not as a standard switch-on feature that I can confirm. Plex exposes APIs and data sources, and WhatsApp is added by middleware you or a partner build. Check with your Plex account team and the developer portal for current marketplace options, since offerings change by release.

### Can replies update Plex records automatically?

**Answer:** They can, but it is safer to route them to a review queue. Free-text replies are ambiguous, and a wrong confirmation on a PO date can disrupt scheduling. Start with read-and-notify flows, then allow low-risk write-backs such as adding a comment.

### What does WhatsApp Business require?

**Answer:** A Meta business account, a verified business, a dedicated phone number, approved message templates for business-initiated messages, and recorded user opt-in. Pricing is per conversation or message category and changes, so check Meta's current rate card.

### Is this safe for ITAR or export-controlled programs?

**Answer:** Treat WhatsApp as unsuitable for controlled technical data. Send only IDs and generic status, and keep detail behind your own authenticated system. Your compliance office decides what may leave your boundary; the architecture should make the safe choice the default.

### Where would Claude or an LLM fit?

**Answer:** An LLM can classify supplier replies, extract dates and draft responses, then hand a structured proposal to a person. For sensitive suppliers, run that step on a local open-weight model so message text never reaches a public API.
