## Content

**Intro:** Absence costs a plant more than the wages of the person who is away. You also pay for cover, and you lose output when no one fills the position. This calculator puts those three costs on one page so HR and plant leadership can discuss the same number.

**Sections:**

#### How to use the calculator

**Body:** Enter your headcount, wage, scheduled days and your absence rate. Use the absence rate from your timekeeping or HR system: absent days divided by scheduled days. Then say how much of the absence is paid, how much is covered by overtime or temps, and what margin you lose when a position stays empty. The chart shows how the total cost changes as the rate moves from 1 to 12 percent, which helps you size the value of an attendance program.

**Bullets:**

- Use unplanned absence only, leave out vacation and holidays.
- Set cover share to 100 percent if you always backfill.
- Use contribution margin, not revenue, for lost output.

#### The formula behind the result

**Body:** Absent days equal employees times scheduled days times the absence rate. Absent hours are days times hours per day. The cost of paid absence is hours times wage times the paid share times one plus the load. Cover cost is the covered hours times wage times the cover multiple. Lost margin is the uncovered hours times the margin per labor hour. The sum is the annual cost. Keep in mind that a covered hour is already paid for once through the absent worker if the absence is paid.

#### Reading the result

**Body:** A cost per employee of a few thousand dollars is common once cover and lost output are counted. Compare the cost with the price of what you could do: a return-to-work program, a better scheduling pool, cross-training, or fixing root causes such as injuries and shift length. A high pct of payroll figure on one shift or line points to a local issue, so run the calculator by department. Do not use it to compare individuals.

#### Common mistakes and ERP notes

**Body:** Teams often count total leave including vacation, apply revenue instead of margin, or double count covered hours as lost output. Pull absence data from your HRIS or from labor reporting in the ERP, such as time and attendance codes in SAP HCM or SuccessFactors, Infor SyteLine labor transactions, or Epicor employee attendance. Standardize absence reason codes first, otherwise two sites will measure different things and the rate will not be comparable.

**Cta:** If absence and labor data sit in several systems, Netray can help bring them into one read-only view so the rate by line and shift is always current.

**Faq:**

#### How do you calculate the cost of absenteeism?

**Answer:** Multiply absent hours by wage and load for paid absence, add the premium and wages paid to cover those hours, and add the margin lost on hours nobody covered. This calculator does all three steps from your inputs.

#### What is a normal absenteeism rate in manufacturing?

**Answer:** Rates differ by country, shift and definition, and many plants see roughly 2 to 6 percent of scheduled days lost. Use your own history and compare like with like, such as unplanned absence only.

#### How do I calculate the absenteeism rate?

**Answer:** Divide absent days by scheduled work days over the same period and multiply by 100. For example, 10 absent days across 20 people on 22 scheduled days is 10 divided by 440, or about 2.3 percent.

#### Should I include lost production in the cost?

**Answer:** Include it only for hours that were not covered, using the contribution margin you actually lost. If the work was made up later without extra cost, set margin per hour low. Avoid counting the same hour as both covered and lost.
