**Description:** Total unplanned absence days divided by total scheduled days.

**Notes:** The point values (1 per unplanned absence day, 0.5 per late arrival) are examples. Replace them with your own policy, and confirm that your policy and local law allow this style of tracking, including how medical and protected leave must be treated. Do not count protected leave as unplanned.

## Content

**Intro:** Supervisors need a simple way to see who is absent, how often and how it compares with the team. This worksheet tracks scheduled, planned and unplanned days, late arrivals and a points total, and calculates an unplanned absence rate.

**Sections:**

#### How to use the tracker

**Body:** Enter one row per employee for the period, usually a month. Fill in scheduled days, planned absence, unplanned absence and late arrivals from the time clock or roster. The worksheet calculates points using the example weights and the unplanned absence rate for each person. Sort the export in Excel to see highest rates first, and look at the team rate in the summary to compare months.

**Bullets:**

- Keep planned and unplanned absence separate
- Use scheduled days, not calendar days, as the base
- Apply the same rules to every shift
- Exclude legally protected leave from points

#### The formulas

**Body:** Unplanned absence rate is unplanned absence days divided by scheduled days, multiplied by 100. The team rate divides the total unplanned days by the total scheduled days, which weights each person by their schedule instead of averaging percentages. Points are a policy device, not a measure: each unplanned day adds one point and each late arrival adds half a point in this example. Change the weights to match your own attendance policy.

#### Using results fairly

**Body:** Use the tracker to spot patterns early and have supportive conversations, not to automate punishment. A person with four unplanned days may have a documented health or family reason that policy or law treats differently. Pair high values with a conversation, and use the written warning template only after your procedure has been followed.

#### Common mistakes

**Body:** Teams often include planned leave in the absence rate, which inflates the number and hides the real problem. Another is counting calendar days for part-time or rotating shift workers. Keep source data in the time and attendance system, and use this sheet for analysis rather than as the master record.

**Cta:** If you want absenteeism pulled automatically from your time clock and ERP into a supervisor dashboard, we can build that.

**Faq:**

#### What is a normal absence rate in manufacturing?

**Answer:** It varies by country, season and shift pattern, and published averages differ by source. Compare against your own history and your own plants first, and treat external numbers as rough context only.

#### Are attendance points legal?

**Answer:** Rules differ by jurisdiction, and some laws protect certain leave from being counted. Have HR or counsel confirm that your points policy and its treatment of medical and family leave are lawful.

#### Should late arrivals count the same as absences?

**Answer:** Usually not. Many policies weight late arrivals lower, as in the half point example, or count them only past a grace period. Pick weights that reflect the real operational impact.

#### How do I handle part-month employees?

**Answer:** Use the days they were actually scheduled as the base. Because the rate is a ratio, a part-month employee remains comparable, but note that very small bases make the percentage swing sharply.
