**Notes:** Update days since calibration from your ERP or calibration system when you open the sheet. Negative days remaining means overdue. Replace the example rows with your own list before exporting.

## Content

**Intro:** Auditors expect every measuring device to be in calibration when it is used. This tracker shows days remaining and percent of the interval used for each gage so overdue and soon-to-expire instruments are obvious.

**Sections:**

#### How to use the tracker

**Body:** List each instrument with its ID, description, location and assigned calibration interval in days. Enter the number of days since its last calibration. The sheet calculates days remaining, percent of the interval used and an overdue flag, and totals the overdue count. Sort the exported file by days remaining to build your pull list for the next week.

**Bullets:**

- Set intervals from the manufacturer, history and risk
- Pull gages at about 85 to 90 percent of interval used to avoid lapses
- Quarantine anything with a negative remaining value

#### Intervals and requirements

**Body:** ISO 9001 clause 7.1.5 and AS9100 require measuring equipment to be calibrated or verified at specified intervals against traceable standards, with records kept. Intervals are set by you, not by the standard, and should be reviewed against as-found results. Gages that repeatedly arrive out of tolerance need shorter intervals, while those that always pass may justify longer ones.

#### ERP and system notes

**Body:** Many ERPs hold calibration data in a maintenance or quality module, for example SAP QM or PM equipment and inspection plans. A spreadsheet like this works as a transparent backup or for small labs. If your system already generates due lists, use this sheet to cross-check and to share a clean export with auditors and supervisors.

**Cta:** Netray can help schedule calibration due alerts from SAP, SyteLine or other ERP data, running privately in your environment.

**Faq:**

#### How do I handle gages used rarely?

**Answer:** Some organizations calibrate before use for rarely used instruments and mark them with a status such as calibrate before use. Document the rule in your procedure and label the gage so it cannot be used out of date.

#### What is a reasonable calibration interval?

**Answer:** Typical starting points are 6 to 12 months for hand tools, but this varies. Use the manufacturer recommendation, usage, environment and as-found history, and adjust over time with documented rationale.

#### What does negative days remaining mean?

**Answer:** The gage is past its due date. It should be removed from service or tagged until calibrated, and product measured since the due date may need review under your out-of-tolerance process.

#### Can I add columns?

**Answer:** In the exported Excel file you can add any columns you like, such as owner, certificate number or vendor. The calculations rely on the interval and elapsed columns.
