## Content

**Intro:** Most disputes on machined-part orders trace back to something the quote did not say: the revision priced, what inspection was included, what was excluded. This template forces those items onto the page in a consistent format you can export.

**Sections:**

#### How to use the template

**Body:** Fill in the customer and RFQ references, then the part number with revision, material specification and finish. Enter up to three quantity breaks with price each, one-time charges and lead time. Describe inspection scope, assumptions and exclusions in plain words, then add payment terms. The document updates as you type and exports to PDF or Word. Duplicate the quote for repeat orders and change only the lines that differ, such as removing fixture charges and shortening lead time.

**Bullets:**

- Always state the drawing revision that was priced
- Tie each lead time to a quantity break
- Attach your terms and conditions rather than rewriting them each time

#### Why assumptions and exclusions matter

**Body:** A quote is a contract proposal. Stating assumptions fixes the basis of price: revision, material source, tolerance class, who supplies gauges. Exclusions prevent surprises such as third-party testing, special packaging or expedited freight being assumed to be included. Good practice is to list only what could realistically be disputed, in short sentences. If a requirement from the drawing notes will cost extra, such as source inspection or specific certifications, name it explicitly with its price or state that it is excluded.

#### What a good quote includes

**Body:** At minimum: identification of the part and revision, material and finish specifications, price by quantity, one-time charges, lead time, validity period, inspection scope, payment and shipping basis. For regulated work, add the quality system context you operate under and the documents you will deliver, such as certificates of conformance, material certifications and inspection reports. Do not claim certifications you do not hold. If you cannot meet a flow-down requirement in the RFQ, say so in the exclusions rather than by silence.

#### Common mistakes

**Body:** Quoting without a revision lets the customer later argue the price covered a different drawing. Leaving lead time blank invites assumptions. Another is bundling setup into every price break without saying so, which causes confusion when a repeat order arrives and the customer expects lower pricing. Finally, avoid vague exclusions like 'other costs'. Specific lists are easier to enforce and read as professional rather than defensive.

**Cta:** If quotes in your shop are generated from ERP data and re-typed into documents, Netray can help produce quote documents directly from approved estimates.

**Faq:**

#### How long should a quote stay valid?

**Answer:** Thirty days is common, shorter for volatile materials such as titanium, copper alloys or nickel alloys. State a validity period and a note that material surcharges may apply beyond it.

#### Should every quote list assumptions?

**Answer:** Yes. Even a short list protects both sides. It records the revision, material source and tolerances that the price assumes, and gives you a clear basis to re-quote if requirements change.

#### Can I use this for export-controlled parts?

**Answer:** You can, but add export control handling language reviewed by your compliance contact. The template does not cover ITAR or EAR obligations and makes no representation about registration or compliance.

#### Do I need to list every price break?

**Answer:** List the breaks the customer requested and any natural breaks where your cost changes, such as the quantity where fixture charges are waived. Three to four breaks is usually enough.
