## Content

**Intro:** Cost reduction programs fail when savings live in people's heads. This worksheet logs each idea with a unit saving, annual value, one-time cost and payback, and exports to Excel for finance review.

**Sections:**

#### How to use it

**Body:** Add a row for each idea. Enter the old unit cost, the new unit cost, annual volume and any one-time cost such as tooling, validation or engineering time. The sheet calculates saving per unit, annual saving and payback in months. The totals row and summary show the portfolio value and net first-year benefit. Update status as ideas move from approved to implemented, and export the list for the monthly cost-down review. Keep a separate column in your own copy for the owner if several people contribute.

#### Counting savings honestly

**Body:** Finance teams discount savings that cannot be traced to a purchase price variance or a reduced standard cost. Count a saving only once it appears in the standard cost or in actual purchase prices. Distinguish hard savings, which lower spend, from cost avoidance, which prevents an increase. Use the volume you actually expect, not the maximum. For multi-year programs, keep the one-time cost in year one and let the annual figure repeat. Agree with the controller how savings are recognized before the first review so the tracker is accepted.

**Bullets:**

- Tie each saving to a part number
- Do not count the same saving in both purchasing and engineering
- Update the standard cost when a saving is implemented

#### Common mistakes

**Body:** Savings are commonly overstated by using list volume rather than actual shipped volume, or by ignoring the inventory on hand that still carries the old cost. Another error is forgetting that suppliers may recover a price cut elsewhere, and that quality problems from a cheaper source can wipe out the gain. Review payback as well as total value, since a large saving with a long payback is riskier than a small saving that pays back in weeks.

**Cta:** If your ERP holds standard cost and purchase price history, we can help reconcile claimed savings against actual price variance automatically.

**Faq:**

#### What is the difference between cost savings and cost avoidance?

**Answer:** Savings reduce actual spend against a baseline, for example a lower purchase price. Avoidance prevents a cost increase that would otherwise have occurred. Most finance teams report them separately because only savings show up in the P&L.

#### How is payback calculated here?

**Answer:** One-time cost divided by monthly saving, where monthly saving is annual saving divided by twelve. If annual saving is zero or negative, the result displays as zero, so check those rows manually.

#### Should I include rejected ideas?

**Answer:** Keep them in the log for history, but exclude them from the totals by setting volume to zero or deleting the row. That way the headline figure shows only live projects.

#### Can I export this to Excel?

**Answer:** Yes. The export buttons produce Excel, PDF and CSV files of the table, including computed columns and the summary, ready to attach to a monthly cost review.
