**Notes:** A starting point, not legal advice. Check the notification timeline and format in your quality agreement or customer-specific requirements, and have it reviewed by your contracts or legal team where liability or recall terms apply. Keep facts only: state what is known and what is still being investigated.

## Content

**Intro:** When product may already be at a customer, speed and clarity matter. This template produces a factual notification with the affected lots, containment, requested action and a date for the next update, ready to export as PDF or Word.

**Sections:**

#### How to use it

**Body:** Fill in the customer details, part and lot identification, quantities and ship dates first, because those let the customer find the material quickly. Then describe the issue in measurable terms, state potential impact honestly, and list what you have contained. Choose the action you want them to take and set a firm date for the root cause update. Review it with the quality manager before sending.

#### What a good notice contains

**Body:** Customers want to answer four questions quickly: is my product affected, what do I do now, how bad could it be, and when will I hear more. The template is built around those. Avoid guesses about the cause in the first notice, and avoid minimizing language. If safety or regulatory impact is possible, say so and follow the notification clock in your agreement.

**Bullets:**

- Part, revision, lots and ship dates
- Measured description of the defect
- Containment inside and outside your plant
- Specific request and update date

#### Follow-up

**Body:** Commit to the update date and keep it, even if the answer is still being investigated. Link the notice to the internal NCR and CAPA numbers so every later document can be traced. Where the customer uses a portal or supplier corrective action form, attach this letter rather than replacing their format.

#### Common mistakes

**Body:** Waiting for the full root cause before telling the customer, omitting serial or lot data, promising a delivery date that is not backed by capacity, and sending conflicting versions from sales and quality. One owner, one document, one thread.

**Cta:** If you need to trace affected lots and ship dates across ERP orders, shipments and inspection records, we can help build a one-click traceability report for notices like this.

**Faq:**

#### How fast should I notify the customer?

**Answer:** As soon as you have confirmed the product may be affected. Many quality agreements set a window, often 24 to 72 hours. Check yours and notify first, then investigate.

#### Should I include the root cause?

**Answer:** Not in the first notice unless it is confirmed. State that the investigation is underway and give a date. Premature causes that change later damage trust.

#### Does this replace a SCAR response?

**Answer:** No. It is an initial notification. If the customer later issues a corrective action request, respond in their format and reference this letter.

#### Who should sign it?

**Answer:** Usually the quality manager or the customer quality contact, with account management copied. Follow your own procedure for approvals on external quality communication.
