## Tool

**Kind:** calculator

**Currency:** $

**Inputs:**

#### Active item records

**Key:** items

**Type:** number

**Default:** 60000

**Min:** 0

**Step:** 1000

**Unit:** items

**Help:** Count of item master records with activity in the last 24 months.

#### Estimated duplicate rate

**Key:** dup_pct

**Type:** slider

**Default:** 8

**Min:** 1

**Max:** 30

**Step:** 1

**Unit:** %

**Help:** Share of items that are redundant copies of another item. Audits of grown-organically item masters commonly land between 5 and 20 percent.

#### Admin effort per duplicate per year

**Key:** admin_hours

**Type:** number

**Default:** 0.75

**Min:** 0

**Step:** 0.25

**Unit:** hours

**Help:** Maintenance, cost updates, ECN touches, buyer confusion and inquiry time.

#### Loaded hourly rate

**Key:** rate

**Type:** number

**Default:** 45

**Min:** 0

**Step:** 1

**Unit:** $/hour

#### Average stock value per duplicate

**Key:** stock_value

**Type:** number

**Default:** 900

**Min:** 0

**Step:** 50

**Unit:** $

#### Excess stock caused by split records

**Key:** excess_pct

**Type:** slider

**Default:** 25

**Min:** 0

**Max:** 100

**Step:** 5

**Unit:** %

**Help:** Stock held above need because demand and safety stock are split across twins.

#### Annual carrying cost rate

**Key:** carry_pct

**Type:** number

**Default:** 22

**Min:** 0

**Step:** 1

**Unit:** %

#### Merge effort per duplicate (one time)

**Key:** merge_hours

**Type:** number

**Default:** 2

**Min:** 0

**Step:** 0.25

**Unit:** hours

**Help:** Review, where-used repointing, open order and BOM updates, inactivation.

**Outputs:**

#### Duplicate records

**Key:** dup_items

**Expr:** items * dup_pct / 100

**Format:** integer

#### Annual admin saving

**Key:** admin_saving

**Expr:** dup_items * admin_hours * rate

**Format:** currency

#### Annual carrying cost saving

**Key:** stock_saving

**Expr:** dup_items * stock_value * excess_pct / 100 * carry_pct / 100

**Format:** currency

#### Total annual saving

**Key:** annual_saving

**Expr:** admin_saving + stock_saving

**Format:** currency

**Primary:** true

#### One-time merge cost

**Key:** merge_cost

**Expr:** dup_items * merge_hours * rate

**Format:** currency

#### Payback period

**Key:** payback_months

**Expr:** if(gt(annual_saving, 0), merge_cost / annual_saving * 12, 0)

**Format:** months

**Primary:** true

**Chart:**

#### Annual saving and merge cost vs duplicate rate

**Type:** line

**X:** dup_pct

**From:** 1

**To:** 30

**Steps:** 30

**Series:**

- annual_saving
- merge_cost

**Disclaimer:** A planning estimate. Replace the defaults with your own audit sample and your own carrying cost rate before presenting a business case.

## Content

**Intro:** Duplicate item records cost money twice: people maintain two records for one part, and inventory splits across the twins so you carry more than you need. This calculator turns an audit estimate of your duplicate rate into a yearly saving and a payback period for the merge project.

**Sections:**

#### How to use the calculator

**Body:** Start with the number of active items, then enter the duplicate rate from a sampled audit rather than a guess. Admin effort is the time each redundant record consumes every year: cost roll updates, engineering changes, buyer questions and wrong-part picks. Stock value and the excess percentage capture the extra inventory held because safety stock and reorder points are set separately on each twin. The merge effort is a one-time cost per duplicate. Drag the duplicate rate slider to see the chart: savings scale with the number of duplicates, and so does the merge cost, so payback stays fairly flat until the duplicate rate is very low.

#### The formulas behind the result

**Body:** Duplicate records equal active items times the duplicate rate. Admin saving equals duplicates times annual hours times the loaded rate. Carrying cost saving equals duplicates times average stock value times the excess share times the annual carrying cost rate. Payback in months equals one-time merge cost divided by total annual saving, times twelve. The model deliberately excludes harder-to-measure benefits such as fewer stockouts, cleaner purchase price history and better spend analytics, so the result is a conservative floor, not a ceiling.

**Bullets:**

- Admin saving = duplicates x hours x rate
- Carrying saving = duplicates x stock value x excess % x carry %
- Payback (months) = merge cost / annual saving x 12

#### Worked example and common mistakes

**Body:** With 60,000 items and an 8 percent duplicate rate you have 4,800 duplicates. At 0.75 hours and 45 dollars per hour the admin saving is about 162,000 dollars a year, and 900 dollars of stock per twin with 25 percent excess at a 22 percent carry rate adds roughly 59,000 dollars. A two hour merge per record costs about 432,000 dollars, so payback is near two years. Common mistakes: counting inactive obsolete items that nobody touches, using a gross rather than a sampled duplicate rate, and forgetting that merges must repoint BOMs, routings, open orders and supplier item records, which is where the real effort sits.

**Cta:** If the numbers justify a cleanup, the slow part is usually finding and ranking candidate duplicates across attributes and descriptions. Netray can help you run that matching on your own ERP data, on-prem if required, with a human approving every merge.

**Faq:**

#### How do I estimate my duplicate rate?

**Answer:** Pull a random sample of a few hundred items, then have a planner and a buyer independently flag records that describe the same physical part. Divide flagged records by the sample size. A sample drawn evenly across commodity classes is more reliable than one taken from a single family.

#### Why does merge effort matter so much?

**Answer:** Merging is not just inactivating a record. Where-used lists, open purchase and work orders, supplier item cross references, revisions and on-hand stock all need repointing, and many ERPs restrict deleting records with history. That repointing dominates the cost.

#### Does this include the cost of wrong-part errors?

**Answer:** No. Picking the wrong twin, buying at the wrong price or building to a stale revision are real costs but vary widely by site. Add them separately if you have incident data, which will shorten the payback shown here.

#### Is a 22 percent carrying cost realistic?

**Answer:** Carrying cost typically combines cost of capital, storage, insurance, obsolescence and shrink, and finance teams often quote figures between 15 and 30 percent. Use your controller's figure if you have one.
