## Short answer

Find out how many hours after pickup you can still send the ASN, or how early you must send it, given transit time and the customer's lead requirement.

## Category

supply-chain

## Audience

- EDI coordinator
- Warehouse supervisor
- Logistics analyst

## Tool

**Kind:** calculator

**Inputs:**

#### Transit time from pickup to delivery

**Key:** transit

**Type:** slider

**Default:** 36

**Min:** 1

**Max:** 120

**Step:** 1

**Unit:** hours

**Help:** Hours between truck departure and the scheduled delivery appointment.

#### Customer required ASN lead time

**Key:** lead

**Type:** number

**Default:** 4

**Min:** 0

**Step:** 1

**Unit:** hours

**Help:** ASN must be received this many hours before delivery. Check the routing guide.

#### EDI processing and delivery time

**Key:** processing

**Type:** number

**Default:** 1

**Min:** 0

**Step:** 0.5

**Unit:** hours

**Help:** Map run, transmission and partner receipt, including VAN or AS2 delay.

#### Time to build the ASN after packing

**Key:** prep

**Type:** number

**Default:** 1.5

**Min:** 0

**Step:** 0.5

**Unit:** hours

**Help:** Label scan, shipment confirmation and ASN creation in your ERP or WMS.

#### Gap between packing complete and pickup

**Key:** pack_to_pickup

**Type:** number

**Default:** 3

**Min:** 0

**Step:** 0.5

**Unit:** hours

**Outputs:**

#### Hours after pickup the ASN can still be sent

**Key:** after_pickup

**Expr:** transit - lead - processing

**Format:** decimal

**Primary:** true

**Description:** A negative value means the ASN must be sent before the truck leaves.

#### Hours before pickup the ASN must be sent

**Key:** before_pickup

**Expr:** max(0, 0 - after_pickup)

**Format:** decimal

**Description:** Zero when you can send the ASN after the truck leaves.

#### Hours available to build the ASN after packing

**Key:** window

**Expr:** pack_to_pickup + after_pickup

**Format:** decimal

#### Slack after allowing for ASN build time

**Key:** slack

**Expr:** window - prep

**Format:** decimal

**Primary:** true

**Description:** Negative means you will miss the deadline unless you speed up the ASN or ship later.

#### At risk of a late ASN (1 = yes, 0 = no)

**Key:** at_risk

**Expr:** if(lt(slack, 0), 1, 0)

**Format:** integer

**Chart:**

#### Hours after pickup to send ASN vs transit time

**Type:** line

**X:** transit

**From:** 1

**To:** 72

**Steps:** 36

**Series:**

- after_pickup
- slack

**Disclaimer:** This is a planning aid. The customer's routing guide defines what counts as on time, for example whether the ASN must be received before the truck leaves, before arrival or by a set cutoff. It does not replace the guide.

## Content

**Intro:** Many retailers and OEMs require the 856 advance ship notice to arrive before the shipment does, and charge fees for late or missing ASNs. This calculator turns transit time and the customer's lead requirement into a concrete send deadline for your warehouse team.

**Sections:**

#### How to use the calculator

**Body:** Enter the transit time from truck pickup to the delivery appointment and the ASN lead time in the customer's routing guide. Add the time your EDI stack needs to generate and deliver the document, then enter how long your team takes to build the ASN after packing and how long packed pallets wait before pickup. The primary results show how many hours after pickup you can still send the ASN, and the slack left once the ASN build time is included.

**Bullets:**

- Positive slack means the process meets the deadline
- Negative slack means a late ASN is likely
- Short transit lanes are the usual risk
- Use the chart to see where the process breaks

#### The formula

**Body:** The latest time the customer must have the ASN is delivery time minus the lead requirement. Measured from pickup, that is transit minus lead. Your own EDI latency eats into that window, so the hours after pickup you can still send the ASN equals transit minus lead minus processing. If this is negative, the ASN must go out before the truck leaves. The slack figure adds the time between packing and pickup, then subtracts the time needed to build the ASN. A short transit lane with a strict lead time leaves little room.

#### Common mistakes

**Body:** Teams often ignore EDI latency such as batch polling intervals, VAN delays or retry queues, and plan to the lead time alone. Another common mistake is sending the ASN before the physical load is final, which causes quantity or SSCC mismatches and chargebacks that are worse than lateness. Also confirm how the partner measures lateness: some use the time they receive the ASN, some the time you send it. Where deadlines are tight, send the ASN when the load is scanned and closed, and automate the trigger from the shipment confirmation event.

**Cta:** If ASNs are built by hand or on a batch schedule, we can help trigger them automatically from shipment confirmation in your ERP or WMS.

**Faq:**

#### When should the ASN be sent?

**Answer:** The customer's routing guide decides. Many require the ASN before the shipment arrives, some before it departs, and a few at a fixed cutoff. The safest practice is to send it as soon as the load is final and labeled, so the timing rule is easy to meet.

#### What happens if the ASN is late?

**Answer:** Common consequences are a chargeback or compliance fee, refused or delayed receiving, and a lower score on the retailer's vendor compliance scorecard. The size of penalties differs by partner and is set out in the vendor compliance manual.

#### Should I include EDI latency?

**Answer:** Yes. Map runs, polling schedules, VAN or AS2 delivery and partner processing all add delay. If your system sends batches every hour, add that interval, because a document ready just after a batch waits for the next one.

#### Can the ASN be sent before packing is complete?

**Answer:** It is risky. An ASN should reflect the final shipped quantities and SSCCs. Sending it early and then changing the load creates mismatches that the receiver flags. Send it as soon as the load is closed, and use a correction process if the partner allows it.
