## Content

**Intro:** Auditors do not ask whether training happened. They ask for proof that people are competent for the work they do. This template keeps the proof in one place: what the role requires, what training was given, how effectiveness was checked and who signed.

**Sections:**

#### How to use the template

**Body:** Fill in the employee details and describe the competence the role needs. List each course, the date, the trainer, the method and the result in the table, then record how you checked that the training worked. Export to PDF or Word, sign it and file it in the personnel or training file. Create a new version when the role changes. Use the blank rows for refresher training and keep adding to the same record over time.

**Bullets:**

- Write required competence before training, not after.
- Name the trainer, not just the course.
- Record a valid-until date for anything that expires.

#### What the standards expect

**Body:** ISO 9001 clause 7.2 expects the organization to determine the necessary competence of people whose work affects quality, ensure they are competent based on education, training or experience, take action to acquire competence where needed, evaluate the effectiveness of those actions, and keep documented information as evidence. AS9100 adds the same expectations with aerospace emphasis, and IATF 16949 adds more on training needs and on-the-job training. This template covers the evidence side.

#### Showing that training was effective

**Body:** Effectiveness means the person can now do the job to the standard, which is different from attending a session. Use an observation against the work instruction, a practical test, a written test, a review of work samples or an audit. Record the method and the result, and define what happens when the result is no or partly: retraining, a second check, or restricting the person from the task until competent. Auditors often sample this section.

#### Common mistakes and ERP notes

**Body:** Common gaps are attendance sheets with no effectiveness check, expired certificates, missing trainer names and records held in several places. If the ERP or HR system holds courses and qualifications, such as the learning and qualification functions in SAP HCM or SuccessFactors, use the paper or PDF record as the signed evidence and keep the system record as the index. Make sure the IDs match so one can find the other.

**Cta:** If your training and qualification data are spread across spreadsheets, an LMS and the ERP, Netray can help review how to bring status into one searchable view.

**Faq:**

#### What should a training record include?

**Answer:** The employee and role, the competence required, each training with date, trainer and method, the result, how effectiveness was checked, any expiry date and the signatures. Include enough detail for an auditor to trace competence for a task.

#### How long should training records be kept?

**Answer:** It depends on your quality system, customers and regulations. Many organizations keep them for the length of employment plus several years, and some customers or regulators specify more. Define the period in your records procedure.

#### Is an attendance sheet enough for ISO 9001?

**Answer:** Usually not. An attendance sheet shows that a session took place. ISO 9001 asks you to evaluate whether the action was effective, so also keep a record of how you checked that the person is competent.

#### Can I keep training records in the ERP?

**Answer:** Yes, if your system supports it and the records are controlled, searchable and backed up. Many plants keep the signed form as evidence and use the ERP or HR system as an index and for expiry alerts.
