## Content

**Intro:** An engineering change board is only as good as its record. This template captures who was present, what was decided for each change, which conditions apply and who owns each action, so the decision can be audited later and the ECO can move on in your ERP or PLM.

**Sections:**

#### How to use the template

**Body:** Fill in the header fields before the meeting, then update the decision, conditions and effectivity live as the board talks. Export the result to PDF or Word and attach it to the change record in your PLM or ERP. One document per change keeps the audit trail simple, and the action table makes follow-up easy to track at the next meeting.

**Bullets:**

- Pre-fill the change number, summary and impacted items from the ECR or ECN.
- Record the decision in plain words: approved, approved with conditions, deferred or rejected.
- State effectivity explicitly, for example by date, serial number, lot or work order.
- Give every action one named owner and a due date.

#### Why the function-by-function impact table matters

**Body:** Most late change problems come from a function that was never asked. Walking through engineering, quality, manufacturing, purchasing, planning and service forces each to state whether it reviewed the impact. In aerospace and defense, configuration management practice and AS9100 expect changes to be reviewed and approved by authorised people before release, and the table is simple evidence that this happened.

#### Reading the decision

**Body:** Approved with conditions is the most common outcome and the one most often lost. Write each condition as a testable statement with an owner, so the change is not released until it is met. Deferred means a named person must bring specific information back. Rejected should include the reason so the same request is not resubmitted unchanged.

#### Common mistakes

**Body:** Minutes that say 'discussed' without a decision, missing effectivity, and actions with no owner are the usual failures. Another is holding the board without purchasing or planning, which leads to open stock and open purchase orders being found only after release. Keep the quorum rule written down and enforce it.

**Cta:** If you want change records pulled from your ERP into the minutes automatically, we can build that as a read-only agent over your own data.

**Faq:**

#### Who should attend an engineering change board?

**Answer:** At minimum engineering, quality, manufacturing, purchasing and planning, with service or program management when the change affects fielded product. The aim is that every function that pays for a change late has a chance to object early.

#### Is an ECB the same as a CCB?

**Answer:** In practice yes. Configuration control board is the term common in aerospace and defense, engineering change board is common in industrial manufacturing. Both approve, defer or reject proposed changes to released designs.

#### How long should the minutes be kept?

**Answer:** Keep them as long as the product configuration records are kept, which is often the product life plus a regulatory or contractual period. Follow your own quality system and customer contract for the exact retention time.

#### Can I use this for software or ERP configuration changes?

**Answer:** Yes. Replace the change summary with the configuration or customisation being changed, and replace the function table rows with the teams that own the affected processes.
