## Content

**Intro:** An aspects and impacts register is the backbone of an ISO 14001 environmental management system. This worksheet lets you list each activity, rate it, and see which aspects rank highest so you can focus objectives and controls where they matter.

**Sections:**

#### How to use the worksheet

**Body:** Walk the process from receiving to shipping and list every activity that takes in a resource or puts something into air, water, land or waste. For each, write the aspect (the thing the activity does) and the impact (the change to the environment). Rate severity, frequency and control weakness from 1 to 5. The score multiplies the three, so a high score needs at least two factors to be elevated. Add rows for abnormal conditions such as start-up and maintenance, and for emergencies such as spills and fires.

**Bullets:**

- One row per activity and aspect pair, not per department
- Include contractors working on your site
- Record the life cycle perspective for products you design
- Date every review so the register stays current

#### The method behind the score

**Body:** ISO 14001 requires you to determine aspects you can control or influence and decide which are significant, using criteria you define. It does not prescribe a formula. A severity times frequency times control approach is common because it separates a rare but serious event from a daily minor one, and it rewards the control improvements you make. Whatever criteria you choose, document them, apply them to every row and keep the results as documented information.

#### Reading the results

**Body:** Sort by score and look at the top of the list first. High scores with weak control are candidates for objectives, operational controls or monitoring. A high severity item with a low overall score because it is rare still needs an emergency plan. Compare condition types: emergency rows should have a drill or response procedure, and abnormal rows should connect to a work instruction.

#### Common mistakes

**Body:** The most frequent audit finding is a register built once and never updated after a new process, chemical or building change. Others include rating only normal operations, confusing aspects with impacts, scoring by gut feel without recorded criteria, and listing hundreds of trivial rows so the real risks are lost.

**Bullets:**

- Not linking significant aspects to objectives or controls
- Ignoring changes from the management of change process
- No evidence of who rated each row

**Cta:** If your chemical, waste and utility data already live in your ERP, we can help pull them into a live register instead of a spreadsheet kept by one person.

**Faq:**

#### What is the difference between an aspect and an impact?

**Answer:** An aspect is the element of your activity, product or service that interacts with the environment, such as discharging used coolant. The impact is the resulting change, such as contaminated water. You rate the aspect, but describe the impact so the reader sees why it matters.

#### How often should the register be reviewed?

**Answer:** At least annually and whenever something changes: a new process, chemical, building, regulation or incident. Many sites also review it as an input to management review. Keep the review dates in the register so an auditor can see the cycle.

#### What score makes an aspect significant?

**Answer:** ISO 14001 leaves the criteria to you. A threshold such as 40 out of 125, plus an override for any legal non-compliance or severity 5 item, is a common setup. Document the rule and use it consistently across all rows.

#### Can I import this into a QMS or EHS system?

**Answer:** Yes. Export the worksheet to Excel or CSV and map the columns to your EHS software or SharePoint list. Keep the column names stable so later exports can be compared with earlier ones.
