## Content

**Intro:** A missing document can hold an export shipment at the port or stop the buyer from clearing it at destination. This checklist covers the documents and checks that most exporters need before cargo leaves the dock.

**Sections:**

#### How to use this checklist

**Body:** Work through the groups in order, ticking each item as it is done. Critical items are the ones that most often cause legal exposure or physical holds, so do not release the shipment with any of them open. Export the completed list to PDF and file it with the shipment record as evidence of due diligence. Adjust the list for your product and destination, because dangerous goods, controlled technology and special markets add requirements.

#### Why these groups

**Body:** Export paperwork falls into four jobs. Commercial documents describe the sale and let customs value the goods. Regulatory checks make sure you are allowed to export to that party and destination. Transport documents move and insure the cargo. Payment documents get you paid, especially under a letter of credit, where a single discrepancy can delay payment. Treating each group as its own gate prevents the common situation where the cargo is ready but the licence or credit documents are not.

#### Documents most often wrong

**Body:** These are the typical sources of amendments and delays.

**Bullets:**

- Invoice and packing list weights that do not match the booking
- Goods descriptions that differ between documents or from the letter of credit
- Consignee names or addresses with spelling differences
- Tariff numbers that do not match the filing
- Missing or late verified gross mass declaration for ocean cargo

#### Common mistakes

**Body:** Teams that run into repeated problems usually share the same habits.

**Bullets:**

- Screening the buyer but not the freight forwarder, bank or end user
- Treating the Incoterm as a pricing label and not as a split of duties
- Preparing documents manually from several systems, introducing mismatches
- Not keeping the export file after shipment

**Cta:** If your invoices, packing lists and export data come from separate systems, we can help generate them from one source in your ERP.

**Faq:**

#### What documents are always needed to export?

**Answer:** At minimum a commercial invoice and a packing list, plus a transport document such as a bill of lading or air waybill. Many exports also need export filing data, licences, certificates of origin or inspection certificates, depending on goods and destination.

#### Who is responsible for export compliance?

**Answer:** The exporter is generally responsible for classification, licensing, screening and accurate filing, even when a forwarder helps. Using a forwarder does not remove the shipper's own obligations.

#### What is verified gross mass?

**Answer:** A requirement under SOLAS that the shipper provide the verified weight of a packed ocean container to the carrier before loading. Containers without it can be refused at the terminal.

#### How long should I keep export records?

**Answer:** Retention periods are set by law and differ by country and regulation, commonly five years or more for export records. Check the requirements for your jurisdiction and keep the file for the longest applicable period.
