**Notes:** A starting point for a fastener lot record, not legal or regulatory advice. Add the fields your customer or specification requires, such as DFARS specialty metals, Berry Amendment, ITAR or AS9100 counterfeit-prevention requirements. Keep the original certificate with the record for the retention period in your contract.

## Content

**Intro:** A fastener that fails in the field gets traced back through its heat, lot and plating records, and a missing record turns a lot-level problem into a recall of everything. This template captures the identity, test results and downstream use of a fastener lot in one page.

**Sections:**

#### How to use it

**Body:** Fill one record per received lot. Copy the heat and manufacturer lot numbers from the certificate, then confirm they match the container label and the marking on the parts. Record the plating or coating lot if the fasteners were processed after manufacture. Enter hardness and proof load or torque test results, set the disposition, and print or export. Then use the downstream log to record every work order that draws from the lot, so a problem later lets you list affected assemblies without searching. Attach the certificate to the record and file it by lot number.

**Bullets:**

- One record per heat and lot combination, never per purchase order.
- Quarantine mixed or unmarked parts until sorted.
- Keep the original certificate with the record.

#### What good traceability looks like

**Body:** Traceability means you can go forward from a lot to the assemblies that used it, and backward from an assembly to the mill that melted the steel. The chain is melt and heat number at the mill, manufacturer lot at the bolt maker, coating lot at the plater, then your receiving record and work orders. In the United States the Fastener Quality Act of 1990, as amended, set the baseline for grade marking and lot identification; most aerospace and defense customers add their own flow-down on certificate content and retention.

#### Reading the head marking

**Body:** Head marks are your first line of defence and cost nothing to check. SAE J429 Grade 5 cap screws carry three radial lines and Grade 8 carry six, and both must carry a manufacturer identification mark. Metric property classes are marked with the class number, such as 8.8 or 10.9. A bag labelled Grade 8 with unmarked heads, or a mark that does not match the supplier named on the certificate, is a stop signal. Record what you observed so the next inspector can compare.

#### Common mistakes

**Body:** Traceability failures are usually record-keeping failures, not material failures.

**Bullets:**

- Combining two heats into one stock location without separate records.
- Recording the distributor and not the original manufacturer.
- Accepting a certificate with no lot or heat number tying it to the parts.
- Not logging where the lot went, so the forward trace takes days.

**Cta:** If lot records are on paper or in spreadsheets, we can help connect your ERP lot and serial data to a private, read-only assistant that answers forward and backward trace questions.

**Faq:**

#### Do I need a record for every box of fasteners?

**Answer:** You need one for each distinct heat and manufacturer lot. Several boxes from one lot can share a record. If a box mixes lots or heats, split it into separate records and locations so the traceability stays unambiguous.

#### What belongs on the certificate of conformance?

**Answer:** At minimum the supplier, part number and specification, quantity, heat and lot numbers, test results required by the specification, and a signed statement of conformance. Aerospace and defense purchase orders add flow-downs such as country of melt and special process approvals.

#### How long do I keep fastener lot records?

**Answer:** Retention is set by your customer contract, quality system and any regulation that applies to the end product. Many aerospace contracts require ten years or more. Follow the purchase order and your quality manual rather than a general rule.

#### How do I record plated or coated fasteners?

**Answer:** Add the coating process lot and the plater certificate to the record, and note any post-plate bake for hydrogen embrittlement relief on high-strength parts. The coating lot is a separate link in the trace chain from the heat number.
