**Notes:** Set the number of sessions, the sites sampled and the limits in your own qualification SOP. For grade A and B access, EU GMP Annex 1 expects gowning qualification and regular requalification. A starting point only.

## Content

**Intro:** People are the main source of contamination in a cleanroom, so operators must show they can gown correctly before entering. This template gives you a clean record of training, supervised sessions and the microbial checks that go with them.

**Sections:**

#### How to use the record

**Body:** Complete the operator, department and the grade they will enter, then export to PDF. The trainer initials each step as it is done, and microbiology completes the table of counts after each supervised session. QA signs once all results are within limits. Record the requalification date and enter it into your training matrix so it does not lapse.

**Bullets:**

- One record per operator and per grade level
- Use the same sampling sites each time so results can be compared
- Any failure triggers retraining and a new session

#### Why it matters

**Body:** EU GMP Annex 1 (2022) expects personnel who enter grade A and B areas to be trained and qualified in gowning, with periodic assessment of their behaviour and microbial data. In the US, FDA aseptic processing guidance describes qualification of operators and ongoing monitoring. A gowning failure that goes unnoticed can lead to a sterility failure, so auditors look for evidence that people are qualified before they work in critical areas.

#### Common mistakes

**Body:** Qualification records are often missing the date of requalification, or the microbial results are held in another system and cannot be tied to the person. Some sites allow entry while results are pending. Others skip the retraining step after a failure. Keep the record short, link it to the training matrix and lock access in the access control system until the status is current.

**Bullets:**

- Do not allow cleanroom entry before sign off
- Tie requalification dates to the training matrix
- Trend gloved hand results by operator

**Cta:** If you want gowning status to feed your access control or shift planning in the ERP, Netray can help connect the training records with scheduling.

**Faq:**

#### How many gowning sessions are needed?

**Answer:** Many sites use three successful supervised sessions with acceptable microbial results, but the number is your decision in the qualification SOP. Use risk and grade of entry to set it, and document the reasoning.

#### How often should operators be requalified?

**Answer:** Annex 1 expects regular requalification, and many sites do it at least annually for grade A and B, and sometimes every six months. Define it in your SOP and track it with a due date.

#### What if a count is over the limit?

**Answer:** Treat it under your deviation procedure. Identify the organism, review technique, retrain the operator and repeat the qualification before they return to critical areas. Record the outcome and any batch impact.

#### Is this record enough on its own?

**Answer:** It is the evidence of qualification. You also need the SOP, training records of the trainer and the ongoing monitoring data that show operators keep performing well.
