**Notes:** GP accounts are typically built from segments (for example company-department-account-sub) while many targets use a single account number plus dimensions. Decide which segments become dimensions first. Net closing balances should be zero when assets, liabilities and equity are listed with consistent sign conventions, and revenue and expense are closed.

## Content

**Intro:** The chart of accounts is where most GP migrations either get simpler or get messy. This worksheet lets you map every GP account string to a new account and dimension, with the balance next to it for review.

**Sections:**

#### How to use the worksheet

**Body:** Export GP accounts with GL00100 and GL00105 or from the Account Maintenance screen, then paste or type them in. For each account, choose an action. Map 1 to 1 keeps an account, Merge combines several GP accounts into one, Split divides a GP account across several, Retire drops it, and New creates an account with no GP equivalent. Record the dimension value for any segment that becomes a dimension, and assign a reviewer for each row.

**Bullets:**

- Start with accounts that have non-zero balances
- Decide segment-to-dimension rules before mapping rows
- Use Merge to collapse department-specific accounts
- Give each row a named reviewer

#### Segments versus dimensions

**Body:** GP encodes department, location or company in account segments, which multiplies the number of accounts. Business Central and many other ERPs hold one natural account and attach dimensions such as department or project. A mapping that merges 400 segmented accounts into 120 natural accounts plus dimension values is common and usually desirable. Check statutory reporting before merging, since some regimes require specific account structures.

#### Reading the totals

**Body:** The count shows how many accounts you have reviewed and the balance total helps you spot mapping errors. If your list includes all balance sheet accounts with correct signs, the net should reconcile to the trial balance. After mapping, compare the trial balance by new account against the GP trial balance as of the same date. Differences usually come from a missed account, a wrong sign convention or an inactive account that still holds a balance.

#### Common mistakes

**Body:** Do not map inactive accounts blindly, since they may hold residual balances. Avoid merging accounts that auditors or lenders watch separately. Another error is changing the chart and migrating at the same time without a bridge, which makes year-over-year comparison hard. Keep this worksheet as the permanent bridge between old and new account numbers, and store it with your migration records.

**Cta:** We can help extract GP accounts and balances from your database and draft a first mapping for your review. Optional.

**Faq:**

#### Which GP tables hold the chart of accounts?

**Answer:** GL00100 is the account master and GL00105 holds the account number string by account index. Closing balances by period come from the summary tables such as GL10110 for the open year and GL10111 for history.

#### Should we redesign the chart during migration?

**Answer:** It is a good moment to simplify, but a redesign adds work and risk. Many teams map 1 to 1 for go-live and plan a cleanup after the first close. Decide with your auditors and based on reporting needs.

#### How do GP segments map to dimensions?

**Answer:** Typically the natural account segment becomes the account number, while department, location or company segments become dimension values. Your reporting and consolidation needs determine which segments become dimensions.

#### Can I export this to Excel?

**Answer:** Yes. The worksheet exports to Excel and CSV, including the action and reviewer columns, so you can send it to your accounting team and implementation partner.
