## Content

**Intro:** Customers and auditors ask for a heat treat certificate with every shipment: what process was done, at what temperature and time, in which furnace, and what hardness was achieved. This template builds a clean certificate you can print, save as a PDF or edit in Word.

**Sections:**

#### How to use it

**Body:** Fill in the certificate number, customer, purchase order, part, lot and quantity. Enter the specification, process type, soak, quench and temper data and the furnace and load number. Record the measured hardness values and the requirement. The preview updates as you type; export to PDF or Word when you are done, then sign. Keep the load sheet, chart recorder or data logger file and calibration reference linked to the certificate number.

#### What a good certificate contains

**Body:** A useful certificate states who processed the parts, which lot or heat it applies to, the specification and revision, the actual process parameters rather than just nominal ones, the test method and results, and an authorised signature. Aerospace and defense customers may also require traceability to furnace class and pyrometry compliance such as AMS2750, a Nadcap accreditation reference where applicable and a statement of material and test equipment calibration. Include only claims your quality system can support.

**Bullets:**

- Link to the actual furnace chart or logger file
- State the spec and revision, not only the spec number
- Report measured values, not just pass or fail
- Record the test method and scale used

#### How to read and check one

**Body:** On receiving a certificate, check the part number, revision, quantity and lot against the packing slip and purchase order. Confirm the process matches the drawing note, the hardness values fall within the requirement and the test scale is the right one for the section size. A certificate with no furnace or load reference is hard to defend in an audit. Reject certificates where numbers are rounded to nominal values every time, because that suggests the data are copied rather than recorded.

#### Common mistakes and ERP notes

**Body:** Frequent faults are missing revision, a quantity that does not match the shipment, and a certificate number that is not unique. In the ERP, the certificate is typically a document attached to the receipt or the outside process purchase order, with the lot number as the traceability key. Store certificate number, spec and result on the receiving inspection record so a recall or audit can find every part treated in one load.

**Cta:** If certificates are collected as PDFs in email, we can help attach and read them against receipts and lots in your ERP.

**Faq:**

#### What must a heat treat certificate include?

**Answer:** Processor name, certificate number, customer and purchase order, part number and revision, lot or heat, quantity, specification, process parameters, test results, furnace or load reference, date and an authorised signature. Add customer flowdown items as required.

#### Is this template valid for Nadcap or AS9100 work?

**Answer:** It is a generic starting point. Nadcap or AS9100 customers may specify extra content and form control. Have your quality manager approve the final format and wording before use.

#### Can I use it for outside heat treat suppliers?

**Answer:** Yes. Ask the supplier to complete it, or use it as a model for what you require on their certificate in your purchase order terms.

#### Can I save it as a Word file?

**Answer:** Yes. Fill in the fields and use the Word export to continue editing, or export a PDF for sign-off. Nothing is stored by the page unless you export it.
