Go-live date: {{golive}}
Transaction freeze: {{freeze}}
Cutover lead: {{lead}}
Systems in scope:
{{scope}}

#### Go or No-Go Criteria

**Body:** {{criteria}}

A no-go decision is made by the steering group. Record the decision, time and attendees below.

#### Cutover Sequence

**Table:**

**Columns:**

- Step
- Task
- Start
- Owner
- Done

**Rows:**

**0:** 1

**1:** Announce freeze and stop new transactions in the legacy system

**0:** 2

**1:** Process or park open batches and interface queues

**0:** 3

**1:** Take a verified full backup of the legacy system

**0:** 4

**1:** Extract final data from legacy files

**0:** 5

**1:** Load and convert data into the new system

**0:** 6

**1:** Reconcile balances, open orders, inventory and open items

**0:** 7

**1:** Switch interfaces and integrations to the new system

**0:** 8

**1:** Go or no-go decision

**0:** 9

**1:** Release users and begin hypercare

#### Rollback

**Body:** Last point of rollback: {{rollback}}

If rollback is chosen, restore business operation on the legacy system, reopen interfaces to their previous endpoints and communicate to all users. Record any transactions entered on the new system that must be re-entered.

#### Hypercare

**Table:**

**Columns:**

- Day
- Focus
- Owner
- Open issues
- Status

**Rows:**

**0:** Day 1

**1:** Order entry, shipping, receiving

**0:** Day 3

**1:** Purchasing and invoicing

**0:** Day 5

**1:** Daily reconciliations

**0:** Week 4

**1:** First month-end close

#### Approvals

**Signatures:**

- Cutover lead
- Business owner
- IT director
- Steering group sponsor

**Notes:** A starting point. Dates, tasks and rollback rules depend on your target system, data volumes and contracts. Rehearse the whole sequence at least once and record actual timings.

## Content

**Intro:** A cutover weekend is a plan, a calendar and a set of decisions made under pressure. This template puts the key parts on paper: the freeze, the final load, the validation steps, the go or no-go criteria and the rollback point.

**Sections:**

#### How to use the template

**Body:** Fill in the dates and the cutover lead, then write criteria that are measurable rather than hopeful. Complete the sequence table with owners and start times from your rehearsal, not from estimates. Share the plan with business leaders before the weekend so that nobody is surprised by the freeze. Keep the document open during the cutover and mark each step done with the time.

**Bullets:**

- Rehearse the full sequence before the real run
- Write go or no-go criteria in numbers where possible
- Name the person authorized to call no-go
- Keep the legacy system intact until after hypercare

#### Why the sequence is ordered this way

**Body:** The freeze stops new transactions so that the final extract is stable. A verified backup of the legacy system is taken before any irreversible step. Data is then extracted, converted and loaded, and reconciled against agreed control totals. Interfaces switch only after the data is accepted. The go or no-go decision sits right before users are released, because after that point rollback becomes expensive.

#### Reading the go or no-go decision

**Body:** Good criteria are objective: balances equal within a stated tolerance, open orders and inventory counts match, critical interfaces passed an end-to-end test, and the support team is staffed. A decision made on feelings tends to favor going live. If one criterion is missed, record why the steering group accepted the risk or what the fix and new decision time are.

#### Common mistakes

**Body:** Common failures include not rehearsing the timing of the final load, forgetting to switch interface endpoints, letting users enter transactions during the freeze and decommissioning the old system too early. Also plan for the first month-end on the new system, which tests processes that daily operations do not.

**Cta:** Netray can help build read-only reconciliation checks that compare legacy and new system totals during the cutover window.

**Faq:**

#### How long should the transaction freeze be?

**Answer:** It depends on data volume and the length of your tested conversion run. Use the actual duration from your rehearsal plus a buffer for validation, and communicate it to the business well in advance.

#### Do I need a rollback plan if I am confident?

**Answer:** Yes. Confidence is not a plan. Define the last point at which rollback is possible and what it costs, so the steering group can decide with facts if reconciliation fails.

#### How long should hypercare last?

**Answer:** At least until the first month-end close completes, often four to six weeks. Reduce support gradually as open issues fall, and keep key experts available for the close.

#### Is this only for JD Edwards?

**Answer:** No. It works for any IBM i ERP leaving the platform. Adjust the system names and tasks to your source and target.
