## Short answer

A grouped checklist of what must be true before you switch an IFS Cloud implementation live, with critical items flagged.

## Category

other-erp

## Erp

IFS

## Audience

- IFS project manager
- IFS consultant
- Operations director

## Tool

**Kind:** checklist

**Scoring Note:** Aim for every critical item ticked. If any critical item is open, name an owner and a date before agreeing a go-live decision.

**Groups:**

#### Data and migration

**Items:**

**Text:** All master data objects have a signed-off migration mapping

**Critical:** true

**Text:** At least two full trial loads completed and reconciled

**Critical:** true

**Text:** Opening balances for stock reconciled to the general ledger

**Critical:** true

Open orders (sales, purchase, shop) loaded and spot-checked

Bills of material and routings validated by engineering

Duplicate and obsolete records removed before final load

**Text:** Final load duration measured and fits the cutover window

**Critical:** true

Rollback approach agreed if reconciliation fails

#### Integrations and interfaces

**Items:**

**Text:** Every interface is listed with an owner and a tested endpoint

**Critical:** true

Authentication and certificates are valid beyond the go-live date

Error handling and retry behaviour tested for each interface

Shop floor, warehouse and scanner devices tested end to end

Label, report and document outputs approved by users

EDI or customer portal partners notified of cutover timing

Monitoring and alerting configured for integration failures

#### People and access

**Items:**

**Text:** Roles and permission sets reviewed and segregation of duties checked

**Critical:** true

**Text:** Key users completed process training and passed practice scenarios

**Critical:** true

End users trained for their own tasks, not only demos

Support desk process and escalation contacts published

Super users scheduled on every shift in the first weeks

Quick reference guides available for the top daily tasks

Business owners named for each process area

#### Testing and quality

**Items:**

**Text:** User acceptance testing passed for every end-to-end scenario

**Critical:** true

**Text:** No open critical or high severity defects

**Critical:** true

Performance tested with realistic data volume and user count

Month-end and year-end close scenarios tested

Tax, invoicing and statutory output verified with finance

Regression tested after the last configuration change

Test evidence stored for audit

#### Cutover and hypercare

**Items:**

**Text:** Cutover plan with task owners, times and dependencies approved

**Critical:** true

**Text:** Go and no-go criteria agreed by steering group in advance

**Critical:** true

Legacy system set to read-only at a defined time

Back-out plan rehearsed at least once

Communication to customers and suppliers sent

Hypercare team, hours and issue triage rules defined

First-week reconciliation of stock, orders and cash scheduled

## Content

**Intro:** Most ERP go-lives that go wrong fail on the same things: data that does not reconcile, interfaces nobody tested end to end, and users trained on demos rather than on their own tasks. This checklist groups those risks for an IFS Cloud project.

**Sections:**

#### How to use the checklist

**Body:** Work through each group with the owner of that area, not with the project manager alone. Tick an item only when there is evidence, such as a signed reconciliation or a test log. Critical items are the ones where a miss usually stops the go-live or causes a financial or compliance problem. Review the list in the steering group at least two weeks before the planned date, so there is time to act on gaps.

#### Why these groups

**Body:** Data and migration come first because opening balances and open orders are what the business relies on from day one. Integrations are next, as a single broken interface can halt shipping or invoicing. People and access cover training and security, which are the most underestimated. Testing and quality prove the system behaves as designed, and cutover and hypercare make sure the switch itself is rehearsed and supported.

#### Reading your result

**Body:** Count the ticked items per group. A group with open critical items is a red flag regardless of the overall count. A pattern of open items in one area, such as all integration items, suggests an ownership gap, and a delay in that area is usually cheaper than a failed cutover. If you must go live with open items, record the workaround, the owner and the fix date.

#### Common mistakes

**Body:** Teams often declare data ready after one trial load, skip a rehearsal of the back-out plan, or leave super user cover thin in the first week. Another frequent mistake is moving go-live to a period-end without checking finance capacity. Adjust the list to your scope, but remove items only when they truly do not apply.

**Cta:** We can review your readiness evidence, particularly data reconciliation and integration testing, before you commit to a go-live date.

**Faq:**

#### Is this specific to IFS Cloud?

**Answer:** The structure applies to any ERP go-live, but the items are phrased for an IFS Cloud project, including role based access and trial loads of master data. Adapt the wording to your own configuration and release.

#### How many trial loads are enough?

**Answer:** Two full loads with reconciliation is a sensible minimum, and many projects do three. The point is that the last load is a rehearsal of the real one, with measured duration and a clean reconciliation.

#### Who should sign off?

**Answer:** Process owners sign off their own areas and the steering group takes the final go or no-go decision. Finance should explicitly approve opening balances and statutory outputs.

#### What if we find a critical gap late?

**Answer:** Treat it as a real risk. Assess whether a workaround is safe, who owns it and when it is closed. If none is credible, moving the date is usually less costly than a failed go-live.
