Asset: {{asset}}
Craft: {{craft}}
Crew: {{crew}} x {{hours}} h
Downtime: {{downtime}}

#### Safety and permits

**Body:** {{safety}}

**1:** Isolate, lock out and tag

**2:** Zero energy verified

**0:** 2

**1:** Inspect seal area and coupling guard

**2:** Leak, wear, alignment

**0:** 3

**1:** Check bearing housing temperature and noise

**Notes:** Edit the five sample steps to suit the task after export. Keep the plan generic to the asset class so one plan can serve many equipment records.

## Content

**Intro:** A job plan is the written method for doing a maintenance task the same way every time, including labor, parts, tools, safety and the test that proves the job is done. This template creates one in a consistent layout you can attach to a preventive maintenance schedule or work order.

**Sections:**

#### How to write a good job plan

**Body:** Start with the task, not the machine: a plan for 'pump seal check' can serve every similar pump. Fill in the craft, crew size and hours from real history, then list the steps in the order they happen. Each step should be one action a technician can tick off. Finish with acceptance criteria that are measurable, such as a pressure or vibration limit, so quality of work does not depend on opinion.

**Bullets:**

- One plan per repeatable task, not per machine
- Include isolation steps and re-energise steps
- State measurable acceptance criteria
- Record the parts list with real part numbers

#### Where job plans live in ERP and CMMS

**Body:** Systems use different names for the same idea. SAP PM calls them task lists, with general, equipment and functional location types. Maximo uses job plans, Infor EAM uses standard work orders, and many CMMS tools use PM checklists. Whatever the name, the plan holds operations, work centers, hours and components, and a maintenance plan or PM schedule triggers it. Writing the plan on paper first makes loading it into the system faster and cleaner.

#### Estimating hours and crew size

**Body:** Use actual confirmed hours from past work orders instead of guesses. Take a median of the last five or ten completions and add allowance for isolation and permits if they are not captured. Plans with unrealistic hours cause schedule slippage and distort planned versus actual reporting. Review each plan after the first few executions and update the steps technicians had to improvise.

#### Common mistakes

**Body:** Plans fail when they are too vague ('inspect pump'), too long to be used, or never revised. A one-line description is a reminder, not a plan. Equally, a thirty-step plan for a ten-minute check will be ignored. Aim for the smallest set of steps that a competent technician cannot reasonably skip.

**Cta:** If your task lists are scattered across spreadsheets and ERP records, we can help clean them up and load them as proper task lists or job plans.

**Faq:**

#### What is the difference between a job plan and a work order?

**Answer:** A job plan is the reusable method: steps, labor, parts and safety. A work order is a single instance of work issued against a specific asset on a specific date. One plan can generate hundreds of work orders over its life through a PM schedule.

#### How detailed should the steps be?

**Answer:** Detailed enough that a competent technician new to the asset cannot skip a safety or quality step, and short enough that they will actually use it. Five to twelve steps with clear readings is usual for most inspection and servicing tasks.

#### Should job plans include torque values and clearances?

**Answer:** Yes, if the task requires them and the value comes from the manufacturer manual. Put the value in the check column. If values differ by model, build separate plans or reference the manual section rather than guessing a number.

#### Can I load this into SAP PM or Maximo?

**Answer:** You can use it as the design document. The fields map to operations, work center, duration, components and a long text. Loading itself uses the system's own upload tools; see our SAP PM task list upload worksheet for an SAP layout.
