**Disclaimer:** Illustrative. Real clauses define the index, the lag, the averaging period and the cap. Follow the wording in your contract.

## Content

**Intro:** When steel, aluminum, copper or resin moves, fixed-price quotes lose margin fast. A surcharge clause moves part of that risk to the customer. This calculator shows the surcharge per piece and the margin you keep with and without it.

**Sections:**

#### How to use it

**Body:** Enter the quoted price and margin, the material weight per piece including scrap, the material price used at quote time and today's price. Set a threshold band, because most clauses ignore small moves, and a pass-through share if the customer only absorbs part of the increase. The tool shows the cost impact, the surcharge, whatever remains unrecovered and the resulting margin both ways. The chart sweeps current price so you can propose a table of surcharge values to the customer.

#### Designing the clause

**Body:** A workable clause names a published index, the reference date, the averaging window and the lag between index and invoice. It states whether the surcharge applies to price rises only or to falls as well. Symmetry is easier to sell and keeps the relationship fair. Cap and floor values protect both sides. Use material weight that includes scrap and cutting allowance, otherwise you pass through less than you actually pay. Review how the clause interacts with price breaks and blanket orders in your ERP so the surcharge posts as its own line.

**Bullets:**

- Tie the clause to a public index, not your own invoice
- Include scrap allowance in the weight
- Make it symmetric where the customer insists
- Show it as a separate invoice line

#### Common mistakes

**Body:** The usual error is basing the surcharge on net part weight when the process buys bar or plate with large offcut losses. Another is ignoring inventory: if you hold three months of stock bought at the old price, the increase reaches your cost with a delay, and charging the surcharge immediately may breach the agreed lag. Finally, remember that a percentage band behaves differently at low and high price levels, so test the band at both ends before you sign.

**Cta:** If your ERP can post a surcharge line from an index table, we can help wire it into quoting and invoicing without manual spreadsheets.

**Faq:**

#### How is a material surcharge calculated?

**Answer:** Multiply the material weight per piece by the change in price per unit weight, then apply the threshold and pass-through share defined in the contract. The result is added to the piece price as a separate line.

#### Should scrap be included in the weight?

**Answer:** Yes. You pay for the material you buy, not only what ends up in the part. Using gross weight, including expected scrap and offcuts, recovers the true cost impact, unless the contract explicitly states net weight.

#### What threshold band is typical?

**Answer:** Bands of a few percent are common so that routine noise does not trigger paperwork, but they vary by industry and customer. Some contracts use a fixed currency amount per kilogram instead of a percentage.

#### Does the surcharge change my margin percent?

**Answer:** It restores margin dollars but the percentage differs slightly because the price base grows. The calculator shows margin with and without the clause so you can see both effects.
