## Content

**Intro:** A monthly operations review works when the same questions are asked in the same order every month. This template gives controllers and operations managers a one-document pack with a headline, KPI table, variance explanation, risks, decisions and an action log.

**Sections:**

#### How to use the template

**Body:** Fill the fields at the top, then export to Word or PDF and complete the KPI and action tables by hand or paste them in from your scorecard. Circulate the pack a day before the meeting so the session is spent on decisions. The default text is an example you should overwrite with your own figures.

**Bullets:**

- Send the pack 24 hours ahead
- Limit the headline to three or four sentences
- Carry open actions forward each month

#### What each section does

**Body:** The headline gives leadership the result before the detail. The KPI table compares actual to target and the prior month, with an owner for each line. The variance section explains why numbers moved, not just by how much. Risks list exposures with a likely impact. The decision block states what is being asked of the meeting. The action log makes sure that each discussion ends with an owner and a date.

#### Making it useful

**Body:** Pick KPIs that each have one owner and one ERP source. Explain variances in cause-and-effect language: overtime caused margin loss because a supplier delay compressed the schedule. Separate one-off events from trends so the meeting does not overreact. Review the list of KPIs yearly and retire any that have not driven a decision.

#### Common mistakes

**Body:** The most common failure is a pack of charts with no commentary and no decisions. Another is changing definitions mid-year, which makes trends meaningless. Avoid long appendices, and always show the data cut-off date so no one debates which numbers are current.

**Bullets:**

- Always state the data cut-off date
- Do not close the review without owners on every action
- Record decisions, not just discussion

**Cta:** If preparing this pack means a week of exports at close, we can show how a read-only ERP agent could draft the KPI table and variance notes for your review.

**Faq:**

#### How long should a monthly operations review last?

**Answer:** Sixty to ninety minutes for a single plant when the pack is circulated in advance. Spend the first part on exceptions rather than reading every figure aloud, and keep the last third for risks, decisions and actions.

#### Who should attend?

**Answer:** The plant or operations manager as chair, the controller, and leads from production, quality, materials, planning, maintenance and customer service. Add sales or engineering when a decision depends on them.

#### How many KPIs should be in the table?

**Answer:** Six to twelve. Cover delivery, quality, cost, inventory, cash and safety at least. Each should have a target, an owner and a stable definition so months can be compared.

#### Can I use it for a multi-plant business?

**Answer:** Yes. Complete one pack per plant and add a roll-up with the same KPI list. Keep definitions identical across plants, or the roll-up will compare unlike numbers.
