## Content

**Intro:** Plex data requests often start as a chat message and end as a report nobody trusts. This template captures purpose, fields, filters, refresh and ownership in a single document so requests are clear, reviewable and repeatable.

**Sections:**

#### How to use the template

**Body:** Fill in the fields at the top, write the purpose in business terms, and list exact fields and filters. Choose the refresh that the decision actually needs; hourly feeds cost more to build and maintain than daily ones. Export to PDF or Word, route for approval, and keep the document alongside the report it describes.

**Bullets:**

- State the decision the data supports
- List fields by name, not by screen
- Define the date range and plant scope
- Pick refresh based on how often someone acts

#### Why write it down

**Body:** A written request reduces rework. It forces the requester to name the decision, gives the Plex administrator the information needed to judge feasibility and security, and gives the BI developer a validation target. Months later, when numbers differ from another report, the document explains the filters and definitions behind the figures.

#### Validation before trust

**Body:** Always compare the new data source against a known result, such as a screen total for a specific week. Check row counts, totals and a few individual records. Agree on definitions up front, for example whether downtime includes planned maintenance. Sign off only when the data owner confirms the numbers match their understanding.

#### Common mistakes

**Body:** Requests commonly ask for every field just in case, which slows queries and increases exposure of sensitive data. Others skip the data owner and later argue about definitions. Another mistake is forgetting multi plant scope and mixing sites in one result. Keep requests narrow and review them when the purpose changes.

**Cta:** If your team wants plain-language questions answered from Plex and other plant data, Netray can discuss a private, read-only approach.

**Faq:**

#### Is this the same as the Plex API documentation?

**Answer:** No. This is a business and planning document that sits before technical work. It captures what you need and why. The technical details of how to retrieve it come from your Plex administrator and Plex documentation.

#### Who should approve a data source request?

**Answer:** At minimum the requester, the Plex administrator who understands access and feasibility, and the data owner who confirms definitions. For customer controlled data, add whoever manages those obligations.

#### How often should data refresh?

**Answer:** As often as someone will act on it. A weekly review rarely needs hourly data. Faster refresh is justified for live floor decisions such as downtime response, but it adds cost and complexity.

#### Can I reuse the template for other systems?

**Answer:** Yes. The structure of purpose, fields, filters, refresh, sensitivity and validation works for most ERP and MES data requests. Rename the fields where needed.
