## Tool

**Kind:** checklist

**Groups:**

#### Safety and isolation

**Items:**

**Text:** Lock out and tag out all energy sources before touching the drive

**Critical:** true

**Text:** Verify zero energy, including stored energy in springs, counterweights and gravity loads

**Critical:** true

**Text:** Guards present, secured and rated to contain a belt, chain or coupling failure

**Critical:** true

Check that rotating parts cannot be reached through guard openings

Confirm hot surfaces (gearbox, bearings) have cooled before inspection

Record the work order, asset tag and permit numbers

#### Gearbox and gear drives

**Items:**

**Text:** Oil type and viscosity grade match the nameplate and manufacturer's manual

**Critical:** true

Oil level correct at the sight glass or dipstick, with breather clean and open

**Text:** Remove shipping plugs and fit the vented breather before first start

**Critical:** true

Check for leaks at seals, split lines, drain and fill plugs

Take an oil sample and send it for analysis at the planned interval

Check mounting bolts for tightness and torque to specification

Listen for abnormal noise, and record vibration and surface temperature at the bearings

**Text:** Verify direction of rotation before coupling the load

**Critical:** true

#### Belt and chain drives

**Items:**

**Text:** Pulleys and sprockets aligned within the manufacturer's limit using a straightedge or laser tool

**Critical:** true

Belt tension set using a tension gauge or deflection method and recorded

Belts replaced as a matched set, never mixing old and new belts

Inspect belts for cracking, glazing, fraying and oil contamination

Inspect pulley and sprocket grooves and teeth for wear using a gauge

Chain lubricated with the specified method and oil grade

Chain elongation measured and compared with the wear limit (typically 2 to 3 percent for roller chain)

Check chain tensioner or idler for free movement

#### Couplings, shafts and bearings

**Items:**

**Text:** Shaft alignment checked (angular and parallel offset) with a dial indicator or laser, and soft foot corrected

**Critical:** true

Coupling guard fitted and flexible element inspected for wear or cracking

**Text:** Keys, set screws and clamp bolts tight and locked as required

**Critical:** true

Lubricate bearings with the correct grease type and quantity, avoiding over-greasing

Record bearing housing temperature and vibration against the baseline

Check shaft runout and condition of seal journals

Confirm thermal growth allowance is in place between machines

#### Run test and documentation

**Items:**

**Text:** Bump start the motor and confirm rotation and free movement

**Critical:** true

Run unloaded, then at load, watching for noise, heat and vibration

Record motor current and compare it with nameplate full-load amps

Retension new belts and chains after the first hours of running

Record findings, measurements and parts replaced in the maintenance system

Schedule the next inspection and oil change based on running hours

**Scoring Note:** Mark every critical item before returning the drive to service. Use manufacturer manuals and your site procedures as the controlling documents. This checklist is a general aid, not a substitute for them.

## Content

**Intro:** Most failures on gear, belt and chain drives trace back to a short list of causes: misalignment, wrong tension, poor lubrication and loose fasteners. This checklist covers both first startup and routine PM so nothing important is skipped.

**Sections:**

#### How to use the checklist

**Body:** Work through the groups in order and tick each item as you complete it. Critical items are those whose omission can injure someone or destroy the drive quickly, such as locking out energy, fitting guards, and checking direction of rotation before coupling. Export the finished list to PDF and attach it to the work order for the maintenance record, or print blank copies for use in the field.

#### What to measure, not just look at

**Body:** Numbers beat opinions. Record belt tension, chain elongation, alignment readings, bearing temperature, vibration and motor current each time, and compare against baseline values from commissioning. A trend such as a rising bearing temperature or a creeping chain length will show a problem weeks before a failure. Measured values also let a planner schedule parts and downtime instead of reacting to a breakdown.

#### Alignment, tension and lubrication

**Body:** These three drive most of the reliability gains. Misalignment loads bearings and couplings and shortens belt and chain life, so check it after any motor or gearbox move. Under-tensioned belts slip, while over-tensioned belts overload bearings. Lubricant must be the right type, level and cleanliness: more gearboxes die from contaminated or wrong oil than from overload. Use the nameplate and the maker's manual as the source of truth.

#### Common mistakes

**Body:** Frequent errors include replacing a single belt in a multi-belt set, over-greasing sealed or motor bearings, running a gearbox with the shipping plug still in the breather port, and starting a drive without checking rotation direction. Another is skipping documentation, which makes it impossible to prove trends or to meet audit and warranty requirements later.

**Cta:** If you want PM checklists to generate work orders and capture readings directly in your maintenance system, Netray can help connect them.

**Faq:**

#### How often should I inspect a gearbox?

**Answer:** It depends on duty and the maker's manual. Many sites do visual and temperature checks weekly, oil analysis quarterly or at set hours, and oil changes by hours or analysis results. Severe duty, dust and heat call for shorter intervals.

#### How tight should a V-belt be?

**Answer:** Tight enough not to slip under peak load but no tighter. Belt manufacturers publish a deflection force for a given span deflection, measured with a tension gauge. Recheck after the first 4 to 24 hours of running because new belts stretch.

#### When should a roller chain be replaced?

**Answer:** Commonly when measured elongation reaches about 2 to 3 percent of its length, depending on the maker and whether the sprockets are worn. Replace the chain and check the sprockets together, since a worn chain accelerates sprocket wear.

#### Why check rotation before coupling the load?

**Answer:** A wrongly wired motor can drive a pump, fan or backstop-equipped gearbox backward, which can damage the equipment instantly. Bumping the motor uncoupled costs a minute and prevents expensive failures.
