## Content

**Intro:** Purchase price variance is the difference between what you paid and what you planned to pay, multiplied by the quantity. This calculator gives the variance for a receipt, the percentage, and a projection for the year, plus a chart showing how sensitive it is to price.

**Sections:**

#### How to use the PPV calculator

**Body:** Enter the standard price per unit, the actual price on the purchase order, and the quantity you bought. Add your annual purchase quantity to see the year-end effect, and use the stock slider to estimate how much of the receipt is still on the shelf. The calculator returns variance per unit, total PPV for the receipt, percent variance and the projected annual PPV. The chart sweeps the actual price from low to high so you can see how a price increase or a negotiated discount would change the number before you commit to it.

#### The formula and sign convention

**Body:** PPV equals actual price minus standard price, multiplied by quantity purchased. If you paid more than standard, the variance is unfavorable and shows as a positive number here. If you paid less, it is favorable. Under standard costing, inventory is received at standard and the difference goes to a price variance account, so PPV is visible at the time of receipt or invoice. Under actual or moving average costing there is no PPV in the same sense, because the price flows into inventory value. Always check which method your company uses, since the same price move will show up in different accounts.

**Bullets:**

- PPV = (actual price - standard price) x quantity
- Positive here means unfavorable
- Standard costing posts variance at receipt or invoice
- Moving average costing spreads it into inventory value

#### Reading the result

**Body:** A single receipt variance is only a data point. Look at percent variance to see how far the supplier is from plan, and annual PPV to see the budget effect. A small percentage on a high-volume part can matter more than a large percentage on a rarely bought one. Repeated unfavorable PPV on one part usually means the standard is out of date, not that buying is failing. If the standard was set a year ago and metal prices moved, update it. If the price is above a contract price, that is a compliance issue to raise with the supplier or the buyer.

#### Common mistakes

**Body:** Teams often blame buyers for PPV that comes from an old standard. Others forget freight, duty and rebates, which can move the true price in either direction. Mixing units of measure is another source of false variance, for example a standard per piece against a price per hundred. Finally, comparing PPV across periods without adjusting for volume mix makes the trend misleading. Report PPV by part and by supplier, and review standards at least once a year.

**Cta:** If your ERP posts price variances by item and supplier, Netray can help you build a read-only view that flags parts whose standard has drifted from the market.

**Faq:**

#### What is purchase price variance?

**Answer:** Purchase price variance is the difference between the actual price paid for materials and the standard price set in the cost system, multiplied by the quantity bought. It shows whether purchasing came in above or below plan for the period.

#### Is positive PPV good or bad?

**Answer:** It depends on the system's sign convention. In this calculator, positive means the actual price was higher than standard, which is unfavorable. Many accounting reports show unfavorable variance as a debit. Check how your ERP displays it before comparing numbers.

#### Does PPV apply to moving average costing?

**Answer:** Not in the same way. With moving average cost, the actual price goes into the inventory value and the item cost changes. PPV as a separate account is a feature of standard costing, where the item is held at a fixed standard.

#### How often should standards be updated?

**Answer:** At least annually, and sooner for commodities that move fast, such as metals or electronic components. Persistent unfavorable PPV on a part is a sign that the standard no longer reflects the market and needs a review.
