## Content

**Intro:** A hold tag is the physical control that stops suspect material from being used or shipped. This template creates a clear, printable tag with part, lot, reason, location and a release block, and exports to PDF or Word.

**Sections:**

#### How to use the tag

**Body:** Complete the identification fields, choose the status and describe the reason in a sentence a stores clerk can understand. Print the tag, attach it to the container, and move the material to the controlled area. Reference the NCR or MRB number so the tag points to the decision record. When the board releases the material, fill the release block with the disposition, quantity and authorizer, and file the tag with the nonconformance record.

#### Status and colour coding

**Body:** Most systems separate hold, which means awaiting inspection or decision, from reject, which means nonconforming and awaiting scrap or return. Rework is its own state, because the material may move but only through an approved process. The status is printed in the tag heading so it is readable at a distance. Keep the number of statuses small and define them in your quality procedure, then train stores and production on what each one allows.

**Bullets:**

- Hold: awaiting inspection or a decision
- Quarantine: segregated suspect material
- Reject: confirmed nonconforming
- Rework: moves only under approved process
- Released: tag closed with authorization

#### Linking tags to the ERP

**Body:** A tag on a box is not enough if the ERP still shows the stock as available. Move the quantity to a quarantine or blocked stock status or location in the system when the tag is applied, and release it with the same transaction trail. Record the tag number against the transaction so a physical audit and a system audit agree. Use quantity in the tag, not just a lot reference, since partial releases are common.

#### Common mistakes

**Body:** Tags without a reason are ignored or removed. Tags attached to a pallet but not to the paperwork get separated. Material left in the normal aisle with a tag still gets used when production is under pressure, so use a physical segregated location. Never reuse a tag number, and do not release by writing OK on a tag without the disposition reference. Review open tags weekly so nothing sits for months.

**Cta:** If your quarantine stock is tracked on paper tags and a spreadsheet, Netray can help connect hold status to the ERP so blocked stock cannot be issued.

**Faq:**

#### Who is allowed to release a hold tag?

**Answer:** Only people named in your quality procedure, usually quality personnel or the material review board. Production and stores should never remove a tag themselves. Record the authorizer and date in the release block.

#### What is the difference between hold and reject?

**Answer:** Hold means the material status is not yet decided. Reject means it has been confirmed nonconforming and awaits disposition such as scrap or return. The distinction helps people know whether the material may still be reworked or accepted.

#### Do I need a physical area as well as a tag?

**Answer:** Yes. A segregated, controlled location is the stronger control. Tags identify the material but do not stop someone from picking it up. Auditors expect both identification and segregation.

#### Should the tag number be in the ERP?

**Answer:** It helps. Putting the tag or NCR number on the stock transfer or blocked stock record lets you match physical tags to system balances during audits and cycle counts.
