## Content

**Intro:** Most quote disputes start with something the estimator assumed and never wrote down. This page lists the assumptions, price basis and exclusions beside the price so both sides read the same thing. Fill the fields, preview and export a PDF or Word page.

**Sections:**

#### How to use the template

**Body:** Fill the header, then state the quantity breaks you actually priced. Pick the price basis and write the material assumption in the form the estimator used: alloy, form, supplier price date and any surcharge trigger. List exclusions as plain nouns the customer can check against their drawing. Export the page and attach it behind the price sheet so it travels with the quote through approval, order entry and the first invoice.

**Bullets:**

- One page per quote number, not per customer
- Name the drawing revision priced
- Keep exclusions specific, not generic
- Update the date whenever you reprice

#### What belongs in the assumptions

**Body:** Good assumptions are the inputs that move cost: quantity, material form, tolerance class, finishing route, inspection level, packaging and delivery terms. A price built on 250 pieces is not a price for 10 pieces, because setup spreads differently. Validity matters because raw material and subcontract rates move. If the quote depends on a customer-supplied drawing, model or specification, say which one. The test is simple: if this input changed, would you reprice?

#### Reading and checking the result

**Body:** Read the exported page as the customer's buyer would. Every exclusion should match a real cost you did not carry. Every assumption should match what is in the estimate file. Check that the price basis agrees with the freight lines in the quote and that the validity date will not expire before the customer's approval cycle ends. Where the customer must confirm something, the confirmation table gives you a record to point to later.

#### Common mistakes

**Body:** The usual faults are an unnamed drawing revision, exclusions copied from another job, missing validity, and silence on material price movement. Another is writing terms that contradict the customer's purchase order terms, which creates a battle of forms. Keep this page to commercial and technical assumptions, and leave warranty, liability and payment terms to your standard terms and conditions.

**Cta:** If your quotes come out of an ERP, we can draft the assumptions page automatically from the estimate, routing and BOM data, with an estimator approving before it is sent.

**Faq:**

#### How long should a quote stay valid?

**Answer:** Thirty days is common, but match it to how fast your material and subcontract prices move. For volatile metals or long customer approval cycles, use a shorter validity or a material surcharge clause so you are not holding a price you cannot honor.

#### Should exclusions be in the quote or the terms and conditions?

**Answer:** Job-specific exclusions belong on the quote itself, next to the price. General exclusions such as liability limits belong in your standard terms. Putting job-specific items only in the terms means the buyer may never see them.

#### Does this replace a contract?

**Answer:** No. It documents the technical and commercial basis of a price. It is not legal advice and does not replace a purchase order or supply agreement. Have counsel review anything that becomes binding.

#### What if the customer changes the drawing revision?

**Answer:** Treat it as a new quote basis. Review the change for cost impact, update the revision and date on this page, and reissue the price. Quoting a revision you did not price is a common source of margin loss.
