**Notes:** The renewal cost column assumes a renewal fee of 20 percent of the original cost plus any retest, which is a planning assumption, so replace the formula with your certifier's real fee schedule. The schemes shown are examples only: confirm the actual requirements for your product with the certifier or a regulatory adviser.

## Content

**Intro:** Selling into more countries means more marks, more certificates and more expiry dates. This worksheet gives compliance and export teams one matrix where each product-market pair has a scheme, a certificate number, a status and a date that cannot be missed.

**Sections:**

#### How to use the worksheet

**Body:** Add a row for every product and market where you sell or plan to sell. Choose the market and describe the mark or scheme, then record the certifying body and certificate number as soon as you have them. Update the status as the project moves and enter the expiry date. Export to Excel and sort by expiry to build your renewal calendar. The cost columns give you a view of what each market costs to enter and to keep.

#### Why a matrix beats scattered certificates

**Body:** Certificates are typically held by different people in different folders. When a customer in a new country asks for a certificate, or an auditor asks for proof of your approvals, you need one place to look. A matrix also makes gaps visible: a product marked Approved in the EU and Not started in two other target markets is a sales risk you can quantify. It also shows when one test report might be reused in several markets, which saves cost.

**Bullets:**

- One row per product and market
- Certificate number and body recorded at the time of issue
- Expiry dates sortable for renewal planning
- Cost per market for budgeting

#### Reading the cost columns

**Body:** Total certification spend sums the original cost across rows and the renewal estimate applies a flat fraction plus any retest you expect. Neither is a quote. Treat them as a budget view that you replace with the certifier's actual fee schedule. The average cost per market helps when you are deciding whether a smaller market is worth the entry fee against forecast revenue.

#### Common mistakes

**Body:** The most expensive mistake is letting a certificate expire without noticing, which can halt shipments or customs clearance. Another is applying a certificate to a product revision it does not cover. Record the revision the certificate was issued for, and review it whenever engineering changes a safety-relevant part. Finally, check that the certificate holder name matches the legal entity that actually sells the product.

**Cta:** If you sell through several legal entities, we can help link certificates to the item and sales order data in your ERP so shipments to restricted markets are checked automatically.

**Faq:**

#### Does every market need a third-party certificate?

**Answer:** No. Some regimes allow manufacturer self-declaration supported by test evidence, while others require approval by a recognised body before sale. The requirement depends on the product type and the country, so confirm with the authority or a qualified adviser.

#### How do I plan renewals?

**Answer:** Sort the exported sheet by expiry date and set reminders at least six months ahead, since retests and certifier queues can take time. Include the retest cost in your budget when the standard or product has changed.

#### Can I use one test report for several markets?

**Answer:** Sometimes. Many schemes accept reports from accredited labs, and some markets recognise each other's results, but the rules vary. Ask your certifier which reports they can accept before you pay for duplicate testing.

#### What if a certificate covers only some variants?

**Answer:** Add one row per variant or note the covered model numbers in the scheme column. A certificate is only valid for the models and revisions listed on it, so shipping an uncovered variant is a compliance gap.
