**Notes:** This is a business correspondence starting point, not legal advice. Keep the reason factual and short. Avoid criticizing the customer's pricing or competitors. Log every no-bid with its reason in your RFQ triage log for later analysis.

## Content

**Intro:** Declining an RFQ well preserves the relationship and teaches the buyer what you do best. A silent non-response does the opposite. This template creates a short, respectful no-bid letter in a minute.

**Sections:**

#### How to use the template

**Body:** Fill in your details, the RFQ reference and part, pick the primary reason from the list, and edit the short explanation and alternative. The document updates as you type and exports to Word or PDF. Send the letter within one or two business days of receiving the RFQ. Buyers value fast decisions, and an early no lets them redirect the request. Use the optional information table if the real issue is an incomplete package and you would quote once the gaps are filled.

#### Choosing the reason

**Body:** Be truthful and specific. Capacity, capability, certification and information gaps are all legitimate reasons and tend to be received well. Avoid vague statements such as not a good fit, which invite follow-up questions and give the buyer nothing actionable. When capacity is the issue, offer a later date. When capability is missing, consider naming trusted shops or processes you can support, as long as you do not misrepresent anyone.

**Bullets:**

- Capacity: offer a realistic alternative date.
- Capability: say which process, size or tolerance is the limit.
- Certification: name the requirement, such as AS9100 or IATF 16949.

#### Tone and timing

**Body:** Keep it under 200 words in the body. Thank the buyer, state the decision, give one reason, offer one alternative and close warmly. Do not apologize repeatedly or over-explain. A buyer who receives a quick, clear decline is more likely to send the next RFQ than one who waits two weeks for a hesitant maybe.

#### Common mistakes

**Body:** Quoting an inflated price to avoid saying no distorts your own win/loss data and wastes everyone's time. Another mistake is declining without logging why, so patterns such as repeated capability gaps stay invisible. Finally, never disclose another customer's information when explaining capacity.

**Cta:** If you want declines and their reasons logged automatically against your ERP customer record, we can help set that up. This template needs no integration.

**Faq:**

#### Should I always reply to an RFQ I will not quote?

**Answer:** Yes, briefly. A short decline protects the relationship and saves the buyer from waiting. A silent ignore signals that you are unreliable and can cost future opportunities from the same customer.

#### How much detail should I give for declining?

**Answer:** One clear reason and one alternative are enough. Over-explaining invites negotiation or pushback. If the reason is confidential, such as another customer's work, say capacity is committed without naming anyone.

#### Can I use this for ITAR or export controlled RFQs?

**Answer:** Yes, but do not include controlled technical data in the letter or attachments. Reference the RFQ number only and use approved secure channels for any further exchange of controlled information.

#### Is this legal advice?

**Answer:** No. It is a generic business letter starting point. Contracts, NDAs and framework agreements may impose specific response obligations, so check them with your own counsel where relevant.
