## Content

**Intro:** A return costs more than the refund. Freight, inspection time, refurbishment and scrapped units all hit the P&L, partly offset by restocking fees. This calculator shows the cost per RMA and per month so you can set return policies with real numbers.

**Sections:**

#### How to use it

**Body:** Enter monthly RMA volume, price and standard cost, then the freight you pay, the inspection minutes and your loaded labor rate. Set the share of returned units that go back into sellable stock and the refurbishment cost for those units. Add the restocking fee you charge. The sliders and the chart show how sensitive the monthly cost is to the resale rate, which is usually the biggest driver.

#### The method

**Body:** Net cost per RMA equals handling plus scrap loss plus refurbishment minus fee income. Handling is freight plus inspection minutes divided by 60 times the labor rate. Scrap loss is the share of units not resold times standard cost. Refurbishment applies only to units that return to stock. This view treats the refund itself as a revenue reversal, so it focuses on the extra cost of processing the return.

**Bullets:**

- Raising the resale rate lowers scrap loss but adds refurbishment cost
- Fee income helps only if you really collect it
- Return freight can exceed inspection labor on heavy items

#### Common mistakes

**Body:** Teams often treat every returned unit as resalable and book the full standard cost back to inventory. Disposition should be decided at inspection and recorded against the RMA in the ERP. Another mistake is ignoring the time spent by customer service on the RMA itself. Add a few minutes to the inspection time if your team handles authorizations, labels and credit memo entry for each case.

**Cta:** Netray can read RMA, receipt and disposition data from your ERP to show actual return cost and resale rate by product, so these inputs are measured, not guessed.

**Faq:**

#### Should I include the refund in the cost?

**Answer:** Not here. The refund reverses revenue that was recorded earlier. This tool isolates the extra cost of processing and the loss on units you cannot resell.

#### How do I find my resale rate?

**Answer:** Count the units dispositioned to stock or refurbish divided by total units received on RMAs over a quarter. Use ERP disposition codes rather than estimates.

#### What is a reasonable restocking fee?

**Answer:** Fees of 10 to 25 percent are common for non-defective returns, and defective returns usually carry none. Follow your sales terms.

#### Why is scrap loss based on standard cost?

**Answer:** Because the unit has already been built or bought at that cost, and writing it off removes that value. Use actual or salvage-adjusted cost if you have it.
