## Content

**Intro:** Steering committees decide faster when the report is short and consistent. This template gives you a clean structure with status, milestones, risks and the decisions you need, ready to print or send.

**Sections:**

#### How to use it

**Body:** Fill in the program name, reporting period and the four status dimensions. Write the executive summary in three or four sentences so a sponsor can stop reading there if needed. Then list achievements, plans for the next period and the decisions you need. Complete the milestone and risk tables, and export to PDF or Word. Reuse the same file every period so trends are easy to see.

**Bullets:**

- Summary first, detail after
- Decisions needed on one clear list
- Same layout every month
- Define RAG rules in advance

#### What the committee needs

**Body:** Sponsors want to know whether the go-live date is still credible, whether the budget is safe, what changed since last time, and what they must decide. A status report should therefore lead with forecast versus plan, not activity lists. Put numbers behind Amber and Red statuses, such as days of slip or percent of budget used, and link each one to a risk or issue with an owner.

#### Common mistakes

**Body:** Reports often stay Green until they suddenly turn Red, which hides the trend and erodes trust. Others list tasks done instead of outcomes, or bury decisions in the last paragraph. Be explicit when you are asking for help. Attach the risk register or other detail as an appendix rather than expanding the report, and let the discussion in the meeting focus on the three or four items that matter.

**Cta:** Netray can build a private assistant that drafts these reports from your plans, test results and risk logs, with a human reviewing before sending.

**Faq:**

#### How long should the report be?

**Answer:** One to two pages. Anything longer should be an appendix. Committee members read the summary and the decisions, so keep those on the first page.

#### What do Green, Amber and Red mean?

**Answer:** Define them in advance. A common rule is Green on plan, Amber at risk but recoverable within the current plan, Red needing a decision or change to scope, budget or date.

#### Should I report on every workstream?

**Answer:** Include a one-line status per workstream in an appendix, and call out only the ones that are Amber or Red in the main report.

#### How often should the committee meet?

**Answer:** Monthly is common, and every two weeks around testing and cutover. The sponsor can call an extra meeting if a Red issue needs a decision.
